Compliance Workflows 6 Policy Issued Action (Slice 1)

Description: We've launched the first step in automating policy compliance 6 the 3Issue Policy 4 workflow action. HR can now automatically assign active policies (e.g. Code of Conduct, WHS) to new hires as soon as onboarding begins.
What’s New:
- 6 New Issue Policy action in the Workflow Editor for the onboarding module (will become a global action across all modules soon).
- 6 For the employee related to the workflow trigger event (e.g. employee record created or employee completes onboarding), the selected policies are automatically assigned to the user..
- 6 Employees are also added to the policy-sharing list in policy management.
- 6 Existing policy logic applies (e.g. for notifications/reminders and audit) after assignment, like normal.
Why It Matters: Removes a repetitive HR admin task 6 manually issuing policies 6 ensuring every new hire receives and can acknowledge mandatory documents instantly. This helps us achieve our OKR of time saved by automating policy assignment.

Objective: To reduce manual entry, maintain sequential and consistent identifiers for employees and independent contractors, and streamline processes.
Description: Automation for Employee and Independent Contractor codes, surfaced in onboarding and quick add processesKey features:
- 6 New field added: Independent Contractor Code field added to contractor profiles.
- 6 Optional by default: Codes remain optional and only become mandatory if enabled via the People Controls setting page.
- 6 Automated generation: Codes can now be automatically generated for onboarding and quick add processes only.
- 6 Sequential numbering: Codes generate sequentially with an optional prefix (up to 6 characters) and configurable starting number.
- 6 Separate sequences: Employee and Independent Contractor codes operate independently, each maintaining its own numbering sequence.
- 6 Manual edits supported: Admins can manually edit codes without affecting future numbering.
- 6 Duplicate code warning: Entering a duplicate code via onboarding, quick add, or directly in a profile triggers a warning, but does not block saving or progression.

Objective: Improve visibility of employee contract information by showing Contract Type and Contract End Date in the Employment Details section, reducing the need to open Employment History.
Description: Previously, while HR admins could record a Contract Type (Permanent or Fixed Term) and End Date within the Employment History form, this information was not visible in the Employment Details section of the employee file. This release makes that information visible, providing clearer contract visibility and reducing the need to navigate into Employment History. Although this enhancement aligns with the Heroforce initiative, it has been made available to all customers for consistency and broader usability.

Support Benefits in Offer Letter
Description: Extending on the Offer Letter functionality, users now have the ability to add Benefits to their Offer letters. When creating a new offer letter, a location must be selected to then display the relevant benefits available to that location. A new Offer Letter Benefits variable is now available to Offer Letter Template types This variable will list all the selected benefit items in a free-text string field but styled as a bullet list.

Display Probation End Date in Employment Details
Objective: Close the HeroForce Efficiency & Data Gaps
Description: Previously, the Probation End Date was only available in reports and not surfaced in the employee profile, meaning admins had to manually calculate this. This release introduces a clear, unified view of Probation End Date and Probation Status across both Employment Hero and Global Teams, ensuring consistency, compliance, and transparency. The update also enables Global Teams host customers to view Probation End Date details for their GT employees (read-only), improving alignment between GT internal systems (GTER) and client-facing data. Although this enhancement was initiated as part of the HeroForce initiative, it has been released to all customers to ensure consistency across the Employment Hero platform.

Company Feed 6 Post Insights
Objective: To help HR and company administrators measure engagement and understand how employees interact with Company Feed posts, improving the effectiveness of internal communication.
Description: Previously, administrators had no visibility into how employees engaged with posts on the Company Feed. Without data on views, reactions, or comments, it was difficult to know whether announcements were reaching employees or resonating with them. This lack of insight led to uncertainty around post effectiveness and occasional misuse of other features, like 3Shoutouts, 4 as a substitute for engagement metrics. With the new Post Insights feature, administrators can now access detailed engagement data directly from the Company Feed. Post Insights can be opened via the 3More 4 button on any post, opening a panel to view detailed engagement data such as:- 6 Views, reactions, comments, and read status.

Assign Colours to Positions
Description: Roster Managers often find it difficult to visually distinguish between different positions when viewing large or multi-week rosters. This lack of visual differentiation makes it challenging to quickly identify patterns, gaps, and scheduling inconsistencies across positions. To solve this problem, we have introduced a new opt-in colour feature that allows Work Site managers to assign a colour to a position. This makes it easy for the managers to visualise gaps in their scheduling and/or avoid costly overstaffing issues.
Key features- 6 Assign colours via the Work Sites and Positions settings page.
- 6 Assigned colours will appear next to the position's name in all Work Site views in the roster.
- 6 Assigned colours will appear on the top of the shift cards in employee view for 2 weeks, 4 weeks and monthly views.

Rollout of the New Go1 Learn User Experience
Description: Go1 is introducing a refreshed, AI-powered learning experience designed to make learning simpler, smarter, and more engaging for both administrators and learners. As part of this, some legacy functionality is planned to be deprecated.
- 6 Learners will enjoy a cleaner, more intuitive design with personalised recommendations and an easier way to find and complete training.
- 6 Administrators will gain access to smarter tools for curation, reporting, and skill insights, helping them save time and better measure learning impact.
- 6 Some core administrative tasks will continue to be managed in the legacy Go1 interface for now, including user management, group management, and learning assignments.
Note: Employment Hero customers do not need to take any action. All existing courses, assignments, and progress will automatically carry over to the new experience.
Key changes & deprecations:
- 6 Events: Clients can still record external learning events, but event scheduling will be removed. Customers using this feature can continue until 31 December 2025.
- 6 Group Discussions: This feature is being retired due to low usage. Go1 is exploring future collaboration and gamification features instead.
- 6 Custom Branding: Admins will no longer be able to edit branding for Go1 system email templates after 31 December 2025. Note: Go1 system emails are turned off by default for Employment Hero clients.
- 6 Manager User Creation: Managers will no longer be able to create new users, though admins will retain full user management access.

Description: Organisations have no way to enforce review or sign-off on submitted forms, leading to unverified requests and inconsistent decision-making. The absence of an integrated approval process creates compliance gaps, manual follow-ups, and no reliable audit trail for accountability.
Product features:- Form Submitted trigger – Automatically initiates an approval workflow when a selected custom form is submitted.
- New Forms Condition - Select the specific form to be used in the workflow configuration
- Single-level approval workflow – Supports one approver per workflow, managed through the existing Request Approval (V2) action.
- Approver experience (Approvals tab) – Approvers can view, filter, and action submissions assigned to them (Approve or Decline with reason).

We are now rolling out the same changes to partner brands. Partner brands will have a different account recovery process.

Prevent the Use of Breached Passwords for User Accounts
Description: Enhanced Password Security. In August, we updated the HR Web App to prevent users from creating or updating passwords exposed in known data breaches. Previously, users could still set these passwords in the EH Work App, but that is no longer possible. Now, when you create or update your password, if it has been exposed in a known data breach, you will receive an immediate notification and be asked to provide a new, unique password. This release allows Business Account admin users to select a checkbox to be visible and selectable as an organisation owner, similar to the existing worksafe authority and authorising signatory visibility checkboxes.

Why it matters:- Save hours by creating multiple worksites and positions in one upload.

- Stay accurate with built-in validation, error review, and re-upload options.

Admins became the bottleneck for simple queries (“Did I submit?”, “What’s the status?”), creating unnecessary support load and back-and-forth.
Product features:- Dedicated My Submissions Tab – Employees can access a central page within the Forms module to review all their submissions.
- Submission List View – Displays form title and submission date.
- Date Filtering – Employees can filter submissions by start/end date for easier discovery.

What’s New: We’ve redesigned how admins assign employees to worksites and positions with a new assignment modal.
- Assign by Group in one click – Add an entire Group at once instead of selecting people individually.
- Auto-Assign toggle (instant sync) – When turned on, Group membership drives the assignment. Every
- Group member is automatically assigned to the right worksite and position, and updates happen instantly as employees join or leave between Groups.
- Flexible editing – Search within available/assigned employees, add or remove individuals (even those in a selected Group), and see a live count of who’s assigned.
- Quick bulk actions – Use Select All / Unselect All to speed up manual changes.

Enhanced User Access Overview Dashboards on Payroll Web
Description: Updates have been made to the existing User Access and Admin Access pages within the Partner Dashboard to display additional information regarding users. This is done to improve visibility over user’s access and security posture. Additional information includes:
- User’s Last Login timestamp
- User’s 2FA Status based on methods set up and enabled
- 2FA Methods a user has setup
- Whether a user has enabled Passkeys or not
Similar updates have also been made within a Business’ Payroll Settings on the new Security Dashboard page. In addition, a business’ Two Factor Authentication Settings has been moved from the Manage Users page to the Security Dashboard page.

AI People Insights consolidates this data into a clear overview of their team, surfacing relevant, actionable insights to help managers offer meaningful support and guidance. The initial focus is on leave insights, highlighting patterns such as repeated absences, spikes in leave or behaviours that may require a check-in.

This creates confusion around which subscriptions have access to what, where to manage approvals and limits flexibility in automation. By consolidating these features into the new Workflows engine, we improve clarity, reduce duplication, and provide customers with greater flexibility in automating the employee lifecycle.
Description: Employers have more flexibility with managing their Employee Requisitions and Onboarding Approvals in the new Workflows, unlocking greater automation options. This also causes the deletion of forms with responses which cannot be retrieved by users. Without categories or settings to organise and manage forms, both admins and employees face cluttered views, difficulty locating the right form, and wasted effort maintaining form usage at scale.
Product features:- Lifecycle management: Archive forms with responses, delete forms without responses, and complete forms to stop new submissions.
- Form actions: Clear, state-based actions for Draft, Published, Archived and Completed forms (manage, duplicate, delete, archive).

Objective: To create a more distinct and streamlined user experience for contractors within the platform. This initiative improves clarity for administrators and removes irrelevant information for contractors, making the platform more intuitive for all user types. This work is the second phase of our contractor management enhancements. Phase 1 introduced the foundational ability to classify individuals as contractors.
Description: This release refines the portal experience for both administrators and contractors. It introduces a tailored portal view for contractors, ensures consistent data presentation for restricted users, and updates platform-wide terminology to be more inclusive. These changes reduce confusion between employee and contractor profiles and simplify platform navigation.
Key aspects of the feature include:- The term 'Employee Portal Access' has been updated to the more inclusive 'Portal Access' throughout the platform to cater for both user types.
- A tailored portal view has been created specifically for contractors, removing sections and information that are not relevant to them (e.g., leave balances, pay slips, detailed personal information).
- Restricted access users will now see a contractor profile view that is consistent with the standard contractor profile, ensuring a uniform experience for all administrators.

Description: Today, employees can’t independently discover or start forms. They must be manually assigned by an admin, which blocks them from completing common tasks (e.g. equipment requests, training enrolments, or allowances) in their own time. Every form requires manual assignment, even when the form should apply to entire teams or the whole organisation. This creates unnecessary bottlenecks, slows down repeatable processes, and often leads to forms being abandoned or replaced with external tools like Google Forms.
Product features:- New “Forms” menu item in navigation (Employee view): Employees see a dedicated Forms module in the sidebar.
- Forms tab: A centralised, searchable list of forms available to the employee, with form cards showing title and description
- Start Form: Employees can independently initiate any available form without needing admin assignment.
- Unlimited submissions: Employees can make unlimited submissions to an assigned form.
Contractor Payments
Objective: Log changes made to Contractors in Audit Trail report
Description: Currently, any changes made to a contractor's profile are not logged in the Audit Trail report. This means that admins would need to reach out to support to know who made a change to a contractor profile. It makes it hard to self-serve and investigate any changes made on the platform. As we will be rolling out contractor sync soon, we need to easily let our users triage and investigate when a particular information is updated by any one on the platform.
What's Changing? We are introducing audit trail logs regarding any updates made to a contractor within Reports > People > Audit Trail. This will allow admins/owners to view any logs regarding changes made to a contractor.

Objective: Provide the option to send remittance advice via email
Description: A new configuration option, “Send Remittance Advice via Email,” has been introduced within the OCBC Payment File. When enabled, employee email addresses will be included in the payment file to support the seamless delivery of remittance advice via email. Conversely, if the option is not selected, employee email addresses will be excluded from the file to ensure data is only shared when intended.

Objective: IRAS Revisions Submission Feature & Decommission amendments feature
We have launched a new "Revisions" submission type for IRAS lodgements in Singapore, aligning with the Inland Revenue Authority of Singapore's (IRAS) latest legislative changes. This update moves us beyond the limitations of our previous "amendments" feature, which was restricted to income values and often unstable. The new "Revisions" process offers a more reliable and complete solution by allowing a full re-lodgement of all affected employee data, ensuring a more robust and compliant system for your tax filings.
Key Changes to IRAS Lodgement Workflow:- Introduction of "Revisions" Submission Type: A new "Revisions" submission type has been introduced, allowing admins to fully overwrite previous records and ensuring compliance with the new IRAS standard. The IRAS lodgement report will now automatically highlight impacted employee records that require a revision.
- Enhanced Filtering: A new status filter option, "Revision Required," has been introduced to the IRAS lodgement report. This allows admins to easily filter the report to show only the relevant employees.
Simplified Lodgement Process: Admins can now lodge revisions for multiple employees using a new bulk action button or for individual employees directly from the report. Both methods initiate a secure SingPass session for electronic submission. - Improved Post-Lodgement Experience: After a successful submission via SingPass, a success page will display the submission number and confirm the submission type. Additionally, all successful "Revisions" will be recorded in a dedicated report, with the "File Type" listed as "Revision" / R for future reference and audits.
- Robust API Support: Our system now uses the IRAS API V2 revision submission type to accurately send all finalized pay run data, including both income and personal data values.

Custom Forms Uplift Slice 1 - Custom Templates (Partial Release)

Description: Employment Hero’s Custom Forms currently lack basic usability features like form duplication and change discard warnings. This results in wasted time recreating similar forms and increases the risk of accidental data loss, making form creation more error-prone and frustrating for admins.
Product features:- Admins can duplicate existing forms from the Forms tab.
- Duplicated forms open as drafts in the form builder with pre-filled fields and settings.
- Duplicated form titles automatically include a numeric suffix (e.g. "(1)").
- Users see a confirmation modal when clicking "Cancel" after making edits to a form
- If no changes are made, clicking "Cancel" exits the form without showing a modal.
Increase adoption of Workflows
Objective: Allow non-admins to access and manage workflows
Description: Currently, only full administrators can create and manage workflows, which creates a bottleneck for teams. HR admins, Department Heads, and IT leads—who actually own these processes—have to go through an admin to build or change the workflows they need, which slows things down and can lead to less effective workflows. We have more than $1.5 mil in ARR for this FR!
What's Changing? We are introducing a new "Workflows" permission in the "General Permissions" tab within Custom Security Settings. This will allow admins to grant non-admin users the ability to view, modify, or delete workflows.
New Permission Levels:- View Permission: A non-admin can see the "Workflows" item in the side navigation and view all workflow templates and existing workflows in a read-only mode. While the non-admins is able to view the template, they will not be view it in the workflow editor (for now).
- Modify Permission: This includes all "View" permissions. Additionally, a non-admin can create new workflows (from scratch or templates), edit any existing workflow, publish/unpublish workflows, and delete workflows they created themselves.
- Delete Permission: This includes all "View" permissions and grants the ability to delete any workflow.

Update User Account Recovery Requirements on Payroll
Description: Our current account recovery flow requires an uploaded ID and a selfie to be taken separately. To mitigate the possibility of identity fraud, we now require customers to take a selfie holding their selected form of ID, and a note with 'Employment Hero' and the request date. We have provided a text update and example image to guide users through the new requirements.
This aligns payroll’s process to match HR’s process change from last week.

Improve Email Sync between EH and GO1 Learner Accounts
Objective: To reduce confusion and support smoother learning access, we’ve improved how employee email updates are reflected in their associated GO1 learner accounts. This ensures the right email is used, especially when organisations supply a company email post-hire or update personal contact details.
Description: Previously, an employee’s account email was used to create their GO1 learner account, and changes to email fields in EH were not synced to GO1. With this update:- When a company email is provided, it will now sync to GO1 and update the associated learner account.
- If a company email is not provided, updates to the account email will sync to GO1 instead.
This ensures the learner’s email remains aligned with the most relevant and up-to-date information in EH
Note: If an employee already has access to multiple GO1 portals, changes to their emails in the HR platform will not be reflected GO1. This is due to a security restriction from our GO1 partner, as we cannot verify ownership across multiple learning accounts.

Objective: Enable users to easily close and reopen jobs in the EH Hiring Kanban Dashboard for better job management and workflow clarity.
Description:- Close Job: Hirers can now close jobs directly from the Kanban dashboard via the ellipsis menu. Closing a job updates its status to “Closed,” helping hirers keep their job boards organised by clearly marking completed or inactive positions. Confirmation prompt for closing a job ensures no accidental closures.
- Reopen Job: If a closed job needs further attention or hiring resumes, hirers can easily reopen it from the same ellipsis menu. Reopening a job changes its status back to “Open,” allowing edits and progress tracking to continue seamlessly. Confirmation prompt for reopening a job.

Description: Admins lack visibility into which workflows are linked to each form, making it hard to manage, troubleshoot, or audit configurations. This causes duplication, misconfiguration, and low transparency, leading to confusion, inefficiency, and higher support burden as forms and workflows scale.
Product features: Linked Workflows section added to each form’s Settings tab, showing all published workflows that use that form.- Workflow details displayed: name, last published date & time, publisher, and a “View Workflow” action.
- Empty state message when no workflows are linked (“No published workflows currently use this form”).
- Permission handling: users without workflow access can still see the section but only as read-only text with an informational message.
- View Workflow action opens the workflow configuration page in a new tab.

This enhancement streamlines workforce management by automatically populating primary worksite and position data across rostering, timesheets, and reporting modules. The Primary Position acts as the system’s anchor for payroll, rostering, and reporting — ensuring every employee has one consistent ‘home role’ that drives downstream logic.
Previously, there was no dedicated field to capture an employee's primary worksite and primary position during onboarding or within employment details, creating inefficiencies in workforce management and impacting downstream processes like compliance, payroll alignment, and workforce planning.
Now, Primary Worksite and Primary Position fields are available in employee onboarding (Pay Details section) and Employment Details- "Primary" badge displays in Position Details to clearly identify the employee's main assignment.
- CSV import support for bulk assignment of primary and additional worksites and positions.
- Auto-population of cost centres based on selected worksite and position.
- Automatic sync between Employment Details and Position Details when primary assignment change.

Allow Payroll Users to Set Up both Authenticator App and SMS Authentication 2FA Methods on the EH Work AppDescription: As we are moving towards removing the use of Email as a 2FA method for all Payroll users across both web and mobile app, we need to ensure users can easily manage their 2FA methods on both platforms. Previously, payroll users were only able to set up one method of 2FA on the EH Work App. To improve user’s ability to manage their security settings on the go, users will be able to do the following from app version 2.65.2 onwards:
- See which 2FA method they have setup.
- Set up a second 2FA method.
- Disable a 2FA method (if both have been setup).
This update provides parity with our HR users.

- Option B: Based on approved + pending leave
Some organisations consider pending leave as part of the “used balance,” so with this new options users cannot oversubscribe their entitlement while requests are still pending approval.
