    Week 2 2026 delivers a flood of product updates from centralising Company Policies to new reporting, AI evaluation, payroll controls, and enhanced recruitment and communications tools. It also adds in app learning, timesheet previews, public holiday rostering, and sales data visualisation for rostering.

    Core HR

    Display Notice Periods in Employment Details

    Description: As a follow-up to the recent notice period uplift, we’ve extended support to employment contracts by making notice period values available as pre-populated contract variables.
    This ensures that notice period information captured in employment details can now be automatically inserted into contract templates, reducing manual effort and improving consistency between employee records and generated contracts. Note that this will only be available on the new document editor.

    Add Company Policies module to the HeroForce Portal

    Objective: Enhance HeroForce team efficiency
    Description: Previously, our Global Teams (GT) team had to manage each GT organisation’s policies within each individual organisation. This release centralises the control of policies for all GT organisations to the HeroForce Portal. We now also provide visibility of GT policies to Host organisations, so they are aware of HeroForce employee compliance status.
    Key Features

    • HeroForce Portal:
      • Added Company Policies module to the HeroForce Portal
      • Each policy can be assigned to multiple organisations at once, with the same level of employee team/entity/location/etc granularity as before
      • Templates are taken from custom templates within GT organisations at the moment - in the future, this can be switched over when template management is introduced to the HeroForce portal. Regardless, the current GT use case for policies is only file upload rather than template-based.
      • Template variables are applied uniquely for each assigned organisation to avoid exposing client data
      • Aside from sharing logic, all other behaviours are the same as existing organisation policy flows.
    • Host organisation: GT policies can now be viewed in their policy management module and GT employee files, with an “Assigned by Global Teams” tag. They cannot edit these policies, but can view their contents. In the employee file, they can view the policy status and details.
    • GT Employee: GT employees will now see an “Assigned by Global Teams” tag in their E/F policies tab and policies module

    Turnover Report Enhancements

    Description: The Turnover Report now includes a table view of data that can be exported via CSV, making it easier to access, analyse, and share. Additional improvements include updated filters and greater flexibility when generating reports.

    Description: We’ve enhanced the AI Evaluation for completed video interviews in the Recruitment Agent. The updated experience provides employers with clearer, more transparent insights into candidate responses and allows them to give feedback on the AI-generated scoring.
    What’s included in this release:

    • Structured, evidence-based evaluation: Candidate responses are assessed using clearly separated
    • Strengths and Considerations, each directly referencing evidence from the candidate’s answer to support decision-making.
    • Clearer score context: AI-generated scores are displayed prominently alongside the evaluation.
    • Employer feedback on scores: Employers can let us know if the AI score feels accurate. This helps us assess how well our agent is scoring candidates and improve its performance over time.

    Public Holiday Icon Displaying Work Site and Positions Rosters

    A public holiday icon will display on the work site and positions rosters to increase awareness and help rostering managers better schedule their rosters.
    Why It Matters: Public holidays can be a stressful time for rostering managers as employee availability might reduce due to people take leave. Additionally, employees are entitled to penalty rates for working on public holidays, which can impact their roster budgets. The public holiday icon will help roster managers have proactive conversations with their employees to avoid understaffing or increased operational expenditure.
    Key features:

    • A new umbrella icon will appear on the roster for impacted dates - assuming that the public holiday is linked with the work site
    • The ability to link an existing public holiday with a work site via the public holiday settings
    • Public holidays will be inferred based on the work site's address
    • Public holidays can be copied from existing work sites

    Additional Settings for Payroll Partner Account Recovery Flow

    Description: We've rolled out the following updates to give partners more control over how Account Recovery Requests are managed within their business. Partners can now designate a specific user to receive email notifications for all submitted account recovery requests, instead of the default "all partner users." This is set either at the Brand or Partner level, depending on their current payroll champion setup. Account recovery requests, which default to being actioned at the partner level, can now be made actionable by brand-level users.

    Leave and Expenses

    Ensure Compliance with Leave Requests

    Objective: Prevent employees from being able to delete a leave request that has been approved or previously approved.
    Description: Admins/Owners/Managers can be certain that employees will be unable to delete any leave request that has been approved or previously approved they have already taken. Previously, employees were able to submit a leave request, have this approved, take the leave and then cancel the leave request before it gets processed in payroll. This posed a risk that employees were able to get back a leave balance for leave they have already taken and only relying on a payroll admin email to prevent this. We have now prevented this within platform and only admins/owners/managers/security group users (with access to leave management) will be able to delete a leave request after it has been approved (or previously approved).

    Recruitment – Email Notification Improvements

    Objective: To reduce notification noise and provide HR Admins and hiring teams with clearer, more controllable recruitment email notifications, while ensuring important candidate activity is still surfaced in a timely way.
    Impact: Previously, individual emails were sent for each candidate application and for every hiring stage movement, often resulting in multiple notifications being delivered on the same day. This contributed to inbox fatigue and reduced engagement with recruitment communications. HR Admins also lacked visibility into email content. With this update, we’ve improved the recruitment notification experience by:

    • Consolidating pending candidate application emails into a single daily summary, reducing redundant sends when multiple candidates apply on the same day
    • Consolidating hiring stage movement emails into a single daily summary, reducing noise when candidates are moved through stages multiple times in a day
    • Enabling Candidate Application Report emails by default, with Pending candidate application emails OFF
    • Introducing a template preview, allowing admins to view a live sample of the email with placeholder data before it’s sent
      These changes reduce email noise while improving transparency and confidence in recruitment communications.

    Email Notifications: Consistency for Existing Toggles

    Objective: Improve consistency and transparency in Organisation Emails by adding previews for existing notifications
    Description: Email previews are now available for several existing notifications in the Organisation Emails settings page, bringing them in line with newer emails. HR Admins can view a read-only preview of each email, showing the subject line and full email content. The following emails now support previews:

    Timesheets-related emails are now surfaced in the Organisation Emails settings page (Time > Timesheets), giving HR Admins visibility into what the email is for, when each notification is sent and the ability to toggle delivery on or off at an organisation level. Email previews are now supported for all timesheet-related toggles, allowing Admins to review email subjects and content before managing delivery.

    Support Learning via the Mobile App

    Objective: Employees can now access and complete their assigned learning directly from the Employment Hero Work mobile app. This feature is coming with the latest Employment Hero Work app (version 2.70.1) and will be available to all users as the update rolls out.

    Objective: Reduce email noise while improving transparency and control over notifications
    Description: Company Feed email notifications are now both supported in Organisation Emails.

    • “New post from {organisation}” and “New announcement from {organisation}” can be toggled on/off individually at an organisation-level.
      • "New post from {organisation}" is now → "You have new posts on your Company Feed"
      • Announcement emails continue to be sent immediately when an announcement is published.
    • The “You have new posts on your Company Feed” email is now delivered as a daily summary instead of an email for every new Company Feed post.
      • The summary provides a snapshot of the previous day’s Company Feed activity, including post counts and a highlights section.
      • Individual user preferences in My Notifications > Company Feed > General Posts continue to be respected.
    • Milestone reminder emails (Birthdays, Work Anniversaries and Probation Periods) are now sent as daily summaries, reducing email volume while continuing to respect existing reminder timing configurations such as on the day or X days before.
      • Milestone summaries are generated and delivered based on the recipient’s local timezone, ensuring reminders are sent at an appropriate time for each recipient.
      • Emails now use explicit dates instead of relative phrasing (e.g. "in 2 days") to improve clarity across timezones.
    • Email previews are available for Company Feed and milestone reminders, allowing Admins to review email content before managing delivery.

    What’s New: Rostering Management now supports Sales Import via CSV and Sales Data Visualisation. You can upload your sales data directly into the platform and view it, giving you clearer insight into your schedules, timesheets, and budget info.
    Why It Matters: Previously, rostering decisions were made without visibility into sales data, despite sales being a key driver of how many people you need on shift. With sales data now available in Rostering Management, you can make more informed, commercially-driven rostering decisions

Downstream work cannot be reliably triggered from form workflows, meaning approved requests do not automatically translate into actionable tasks for HR IT or Operations reducing the effectiveness of Custom Forms as operational tools.

    Introduce Assign Functionality to Custom Forms

    Problem We’re Solving:

    1. All published forms was appearing on To Do widget. The "To Do List" is cluttered with all published forms, overwhelming the employee and burying forms that have been assigned to them. Users must manually scan through numerous forms to find which ones have been assigned to them. Users learn to ignore the "To Do List" widget entirely because it is perceived as a "noisy" and unhelpful list of links, not a curated list of tasks.
    2. There is no way to automate the assign for forms to users. Right now, admins must assign these forms manually outside the workflow, which breaks automation and relies on manual follow up. This creates delays, missed steps, and a disjointed experience. Many complex business processes require additional, contextual information to be gathered during the process itself. For example: A new hire needs an IT setup form raised during onboarding, covering things like laptop allocation, software/tools access, system permissions, and account provisioning. Currently, our workflows have no native ability to request this information, creating an "information gap."

    Solution:

    • Removal from To-Do List by Default: Forms no longer automatically appear in the to-do list upon publishing. This change was made because the functionality was opened up to support multiple submissions and self-serve, and having all published forms appear in the to-do list was causing confusion and a "false sense of urgency".
    • Intentional Assignment: To have a form appear on an employee's to-do list, it must now be intentionally assigned.
    • Assign Form Functionality: A new "Assign Form" functionality has been introduced, accessible via a pop-up, allowing a user to send the form to everyone who has access or to specific employees.
    • To-Do Item and Email Notification: Assigning the form creates a to-do item on the employee's dashboard and provides the option to send an email notification, from which the form can be quickly filled out.
    • Workflows Integration: The Assign Forms functionality has been added to workflows, allowing for automated assignment.
    • Configuration: Within a workflow, a new "Assign Forms" action is available. Users select which form to use and who to fill it out for (e.g., the leave requestor in a leave workflow).
    • Notifications: Users can choose to use the system default notification or tailor the email messaging by turning off the system default.
    • Global Availability: The "Assign Forms" feature will be available globally across modules like expenses, leave, onboarding, offboarding, and employee file change, providing flexibility for setting up custom workflows.
    • Permission Check: The workflows functionality includes a permissions check to ensure the form is only assigned to employees who actually have permission to access and submit it

    • New Triggers - Workflows can now start when:
      • Document shared to employee — Covers all documents shared via Document Management, issuing, employee file uploads, and bulk issue
      • Recipient signature is added to a document — Fires when an employee signs a document
    • New Conditions - You can now filter workflows using:
      • Document — Target specific documents from Document Management
      • Document tag — Filter using tags from Document Management
      • Document status — Run workflows based on document status
      • HR document type — Filter by document type from the Template Library (already existed in employee file change workflows, now available in onboarding as well)
    • New Action - Share Documents via Document Management
      • A new global action (available in almost all workflow modules) lets workflows automatically share published documents using existing Document Management access rules.
      • Recipients are dynamic and can include onboarding employees, leave requesters, expense creators, offboarding employees, etc. As well as managers, team leaders, specific employees, or teams.

    Initiative: New EH Document Editor

    Description: The document editor has been revamped! We have created a new document editor experience which ensures feature parity with the existing CK Editor. You can expect a refreshed UI, new variable library and overall a greater experience compared to the current CK Editor.

    EH Template Library Availability: It is expected that an organisation with access to the new EH Editor will only see documents created with the new EH Editor under EH Templates. We are currently in progress with this migration please see the schedule below. We have migrated the majority of high-impact documents. Please note the specific availability dates for Policy documents in different regions:

    Description: We have modernised the Single Sign-On (SSO) authentication flow for Google, Microsoft, and Okta in the EH Work App to address a critical security and accessibility gap. The previous flow, using an embedded webview, did not support modern WebAuthn standards, preventing users with mandated Passkeys or Physical Security Keys (e.g., YubiKey) from logging in.

    Problem Solved: Users who were locked out of the mobile app due to their employer's high-security mandates (requiring a Physical Security Key or Passkey for Google SSO) can now successfully log in.

    Solution Implemented: The SSO flow has been migrated from the non-compliant embedded webview to a system browser-based library.

    Emails Notifications: Leave (Time Off)

    Objective: Give HR Admins greater transparency and control over Employment Hero’s email notifications

    Description: Leave-related emails are now surfaced in the Organisation Emails settings page (Time > Leave), giving HR Admins visibility into what the email is for, when each notification is sent and the ability to toggle delivery on or off at an organisation level. Previously, the “Leave requests status updates” toggle covered multiple different emails. This has now been split into more specific toggles, including:

    • Your leave requests have been updated (approved / declined)
    • Personnel leave calendar events
    • Manager leave calendar events

    For organisations that previously had “Leave requests status updates” turned off, the newly split toggles have been migrated and are also off by default. Email previews are now supported for all leave-related toggles, with the exception of calendar event notifications, allowing Admins to review email subjects and content before managing delivery.

    360 Reviews – Custom Security Permissions

    Objective: Give admins control over which users can access and manage 360 reviews for their reporting employees.

    Impact: With this release, access to 360 Reviews is controlled via Employee Permissions. HR Admins can now:

    • Assign permissions by employee access: Users can be given View, Delete, or Use access for 360 reviews of their reporting employees only.
    • Control actions based on permission level:
      • View – see reviews and feedback
      • Delete – archive or delete reviews
      • Use – create new reviews, edit details, and send reminders

    Notes: Users cannot access 360 reviews for employees outside their direct reporting line. Existing 360 Reviews Management CSS remains unchanged.

    Performance Reviews - Do Not Override Reviewers

    Objective: Prevent reviewers from being automatically updated when reporting lines change

    Description: The Performance Review module supports reviews between an employee and their assigned manager. However, in the past, when a manager is updated for an employee in a review period, the reviewer would be automatically replaced by the new manager. As a result, any existing responses or submissions made by the past manager would be lost.

    Reviewer/manager assignment for Performance Reviews is now fixed at the point an employee is added to a review. It will no longer update automatically when reporting lines change. This prevents reviewer changes that could result in lost review comments or reviews being completed by someone without the appropriate historical context.

    This change applies to all existing open reviews. This change also applies to both Primary and Secondary managers. HR Admins who intentionally want to update to the new manager for an active review can do so by removing and re-adding the employee to the review.

    To support intentional actions, a confirmation modal has been added when removing an employee from a review, clearly communicating that any existing review notes or responses will be lost. An outdated confirmation message shown when updating an employee’s manager in their profile has been removed, as manager changes no longer impact reviewer assignment in open reviews.

    Description: Following the release of our To Do List for Manager Approvals in EH Work, we’ve launched a new “Personal” view in the To Do Widget for employees. This view separates personal tasks from team tasks, making it easier for employees to see, prioritise, and complete critical To Do items faster and more efficiently — starting with Mandatory Policies and Induction Content. This update addresses the friction and delays in completing high-impact compliance and onboarding tasks — particularly on mobile, where limited visibility and prioritisation have made it harder for employees to work efficiently.

    Note: Non-mandatory versions of Policies and Induction Content are not shown in the To Do Widget to maintain clarity and reduce noise.

    Background: Currently there is no way for managers to simply edit a published shift without first unpublishing → editing the shift → republishing the shift. This frustrating and lengthy process for our roster managers and also requires extra notification to be sent from our system. Managers can now edit a published shift directly, as long as the shift isn’t locked. This removes friction from day-to-day rostering and keeps things moving quickly and cleanly.

    • Edit published shifts directly (when the shift is not locked)
    • Edit via the shift panel
    • Drag and drop unlocked published shifts

    Background: We have introduced 3 x new lock shifts settings to promote data hygiene between the roster management page and the timesheet management page. When enabled the locked shifts will prevent the roster managers from edited locked shifts which in turn will limit discrepancies between the pages.
    These settings will be disabled by default, however organisations can opt-in to enforce these data hygiene practices. Furthermore, the settings will support the new 'edit published shifts' feature to reduce human error while scheduling shifts.

These options ensure full parity with legacy approval routing and enable accurate migrations for organisations relying on admin-only or owner-only workflows. They also give customers more targeted control, reducing unnecessary approval noise.

Once approved, tasks are automatically synced with the To Do List in the HR Platform, collapsing if already actioned in-app.

    To keep things user-friendly:

    Introduce Bulk Reminder Notifications in the GT Portal

    What’s new: We have released bulk reminder notifications in the Reports and Documents module of the Global Teams Portal. GT Admins can now send reminder notifications for overdue Policies and Induction Content, Certifications, and other supported compliance items directly from their respective reports. This gives Global Teams a faster way to follow up on outstanding items across all PEO organisations and removes the need for manual reminders outside the platform.

    Admins can remind all personnel, remind selected individuals, or trigger one off reminders for a specific row, all from within the same reporting view. This brings consistency to compliance workflows across HeroForce and improves completion rates for time-sensitive items.

    Description: Users frequently received multiple emails on the same day for certificate assignments, approvals, or expiries, creating a perception of spam. HR Admins also lacked the ability to preview email templates, understand triggering rules, or adjust delivery controls. With this uplift, we’ve improved both the experience and the manageability of Certifications notifications:

    1. Redundant emails have been reduced. Expiry emails are now consolidated into a single daily summary, instead of separate sends for each certificate event. They will be sent at the start of each day for the following emails:
    • You are required to obtain new certifications
    • You are required to review an employee's certification
    • Your certification has been approved
    • Certification reminders: team members requiring action

    Description: As we are moving towards removing the use of Email as a 2FA method for all Payroll users across both web and mobile app, we want to ensure all users with 2FA enabled have set up either Authenticator App or SMS Authentication. From app version 2.67.1, users logging in with email and password who currently have 2FA enabled without either Authenticator App or SMS Authentication will be required to setup either method before they are able to continue using the app.

    Enhanced Security for Employee Account Email Updates

    Description: We've implemented critical security and data integrity improvements to the employer-initiated employee account email update workflow. This change addresses severe risks related to security lock bypass and the creation of orphaned user accounts.

    The Problem we solved: Security Lock Bypass: Employers could change the email of a system-locked account, inadvertently creating a new, unlocked profile and bypassing security controls.

    The Solution implemented: Strict Security Block: We now prevent an employer (HR Owner/Admin) from updating the email of a system-locked account. The Account Email edit icon is now greyed out and disabled for locked accounts. Hovering over the disabled icon displays the message: "This account is locked. Please contact Support for assistance."

    Description: The Self-Service Account Recovery (SSAR) flow was causing significant friction, with a 71.41% failure rate primarily driven by confusion around the selfie verification requirement. We've shipped improvements to the back-end failure reasons and the user notification process to make it clearer why an account recovery attempt was declined, reducing repeat attempts and support overhead.

    • Expanded Decline Options for Support: EH support staff now have an expanded and more granular list of reasons to accurately categorize a failed submission (e.g., 'Selfie doesn't show the user pictured with their ID and note w/ “Employment Hero” + submission date').
    • Multiple Reason Selection: Support staff can now select multiple reasons for a single decline, ensuring complete feedback is captured.
    • Clearer User Email Notification: The specific, client-facing reason(s) for the failure are now included in the decline email sent to the user, providing immediate, actionable feedback on what they need to correct.

    Description: We have integrated our AI-powered screening question (SQ) assistance into the direct application flow to ensure a consistent, faster experience for all candidates. This feature was previously only available in the 1-click apply flow.

    The AI automatically reads a candidate's application form and profile information to populate answers for screening questions where the relevant data is available. We have also included bug fixes and improvements to ensure the generated answers are more accurate and relevant. This change is expected to reduce the time candidates spend on applications by minimising the need for manual data entry.

    Introduce Geofencing to Work Sites

    Description: Work site Geofencing is a feature that will give our admins the ability to create a virtual fence around their work site, that will ensure that employees are clocking in and out from their physical work sites. This feature will provide our customers with the ability to set a geofence radius around their work site that will require an employee to be within the geofence radius to be able to clock in/out of work. Along with this, we are also introducing the warning option, that will still allow an employee to clock out, but it will flag their timesheet that they clocked out from outside of the geofence radius.

    • Switching ON the Geofence feature will offer 2 options:
      ◦ Disable: This will prevent employees from clocking out if they are outside the geofence range
      ◦ Enable with warning: This will allow employees to clock out outside the geofence range, but provide a warning in their timesheet submission
    • Once switched ON, Admins/Managers with access to Work Site settings will be able to enable a geofence
    • They will be able to set a geofence radius starting from 50m-500m (increments of 10m)

This release introduces a clear, unified view of Probation End Date and Probation Status across both Employment Hero and Global Teams, ensuring consistency, compliance, and transparency. The update also enables Global Teams host customers to view Probation End Date details for their GT employees (read-only), improving alignment between GT internal systems (GTER) and client-facing data. Although this enhancement was initiated as part of the HeroForce initiative, it has been released to all customers to ensure consistency across the Employment Hero platform.

    Description: Previously, administrators had no visibility into how employees engaged with posts on the Company Feed. Without data on views, reactions, or comments, it was difficult to know whether announcements were reaching employees or resonating with them. This lack of insight led to uncertainty around post effectiveness and occasional misuse of other features, like 3Shoutouts, 4 as a substitute for engagement metrics. With the new Post Insights feature, administrators can now access detailed engagement data directly from the Company Feed. Post Insights can be opened via the 3More 4 button on any post, opening a panel to view detailed engagement data such as:

    Description: Roster Managers often find it difficult to visually distinguish between different positions when viewing large or multi-week rosters. This lack of visual differentiation makes it challenging to quickly identify patterns, gaps, and scheduling inconsistencies across positions. To solve this problem, we have introduced a new opt-in colour feature that allows Work Site managers to assign a colour to a position. This makes it easy for the managers to visualise gaps in their scheduling and/or avoid costly overstaffing issues.

    Description: Go1 is introducing a refreshed, AI-powered learning experience designed to make learning simpler, smarter, and more engaging for both administrators and learners. As part of this, some legacy functionality is planned to be deprecated.

    • 6 Learners will enjoy a cleaner, more intuitive design with personalised recommendations and an easier way to find and complete training.
    • 6 Administrators will gain access to smarter tools for curation, reporting, and skill insights, helping them save time and better measure learning impact.
    • 6 Some core administrative tasks will continue to be managed in the legacy Go1 interface for now, including user management, group management, and learning assignments.

    Note: Employment Hero customers do not need to take any action. All existing courses, assignments, and progress will automatically carry over to the new experience.

    SmartMatch Summary Enhancement

    Description: We've updated the SmartMatch Summary to provide more insightful and action-oriented feedback to job seekers about their fit for a specific job, moving away from a generic profile overview.
    Problem: The previous SmartMatch Summary was too generic and failed to communicate why a job seeker was a good fit for a specific job, relying only on a clinical numeric score.
    Solution: We've replaced the generic user summary with a short, insight-driven version of the match criteria tailored to the specific job. The numeric SmartMatch Score Tag (percentages) has been replaced with qualitative, more resonant bands to give a clearer signal of fit: Top Candidate, Good Match, Potential Match.
