AI Scribe: Usage Dashboard in Visualize
Admins and Org Owners at organizations with an active AI Scribe subscription can now view their Scribe minutes usage directly in the Visualize section of Healthie.
The new Scribe Usage dashboard displays minutes used month to date and is refreshed daily. This gives your team a clear, convenient view of consumption without needing to contact support.

Mental Health Carve-Out Plan Designation
Providers can now designate a client's insurance policy as a Mental Health Carve-Out plan type. When enabled for your organization, this option appears in the Plan Type dropdown on a client's insurance policy and carries through automatically to CMS 1500 claims.

Multiple Payout Accounts
For Enterprise organizations with multi-entity or multi-state billing needs, Healthie supports connecting multiple Stripe Connected Accounts within a single organization via Payout Accounts.
Account management — including creating accounts, completing Stripe onboarding, and renaming or listing accounts — is available in the UI.
Routing payments to a specific account at the point of transaction is currently available via API using payout_account_uuid.

Update: Insurance Form Updates for Self-Pay Clients
The Insurance Form has been updated to improve the experience for self-pay clients. A new radio button at the top of the insurance section asks clients whether they have insurance. If a client selects "I don't use insurance," all insurance-specific fields (Member ID, Group Number, Relationship to Policyholder, and card uploads) are automatically hidden, and the form can be submitted without them. This prevents self-pay clients from being blocked or confused by fields that don't apply to them.

New: Task Commenting Now Available on iOS and Android
You can now view and add comments on tasks directly from the Healthie mobile app — the same commenting experience available on web, now on iOS and Android. This update closes a key platform gap, giving providers and clients a consistent way to communicate around tasks no matter where they're working.
- Comment on the go: Add and view task comments directly from your phone.
- Cross-platform sync: Comments added on mobile are immediately visible on web, and vice versa.
- Consistent behavior: Formatting and functionality match the web experience exactly.
- Works on both platforms: Available on native iOS and Android apps.
Task communication now follows you wherever you work — no desktop required.

- The "Should see option to use Fullscript within Healthie" permission now correctly controls Fullscript tab visibility. When disabled, the tab will no longer appear on client profiles.

New Integrations Settings Page
Save time and streamline business operations by linking Healthie with your favorite tools. Review which integrations are already available & connected through your membership, and find other integrations to connect. We have a lot more integrations planned on the Roadmap, so be sure to check the Integrations page frequently. You can also review our Integrations section on the help guide to find more details on existing or planned integrations.
To access your Integrations page within Healthie: Gear icon (top-right) > Settings > Scroll to "Integrations" in the settings menu

Water Intake Tracking (release on web & mobile)
Water Intake Tracking is an optional setting in Healthie that enables clients to log their daily water intake. Providers can set a target water goal, and review logged water intake entries.
Note: By default this setting is turned OFF for all of your clients, but can be manually enabled. When turned "on" as a Default Setting, this will only enable the new journaling setting for NEW clients added to the platform. To enable this setting for existing clients, you will need to go to Client Profile > Actions > Settings > Select "Track Water Intake" > SAVE
If a client does not see "Water" tracking within their account when logged into the Healthie mobile app, please ask them to check that they have updated the app to the latest version.
Stool "Poop" Tracking (release on web & mobile)
Poop Tracking is an optional setting in Healthie that enables clients to log their stools, and for providers to review these entries.
Note: By default this setting is turned OFF for all of your clients, but can be manually enabled. When turned "on" as a Default Setting, this will only enable the new journaling setting for NEW clients added to the platform. To enable this setting for existing clients, you will need to go to Client Profile > Actions > Settings > Select "Track Poop" > SAVE
If a client does not see "Water" tracking within their account when logged into the Healthie mobile app, please ask them to check that they have updated the app to the latest version.
Ability to Pause Recurring Payments
Subscription services within Healthie enable payments to automatically charge to a client's credit card on file, at a cadence determined by their provider.
In lieu of cancelling a subscription service, providers now can "pause" recurring payments, leaving the option to continue in the future.
To pause a recurring payment:
Navigate to your Payments tab > locate the recurring payment (recurring payments are indicated by a recurring symbol) > click the "..." menu icon > Pause Automatic Payments
Payments can be manually resumed at any time, by revisiting the Payments tab and locating the payment > Restart Automatic Payments
Share a Booking Link for a Specific Location
Healthie makes it easy for providers to share a link to an appointment, and to customize that sharing link or embed code. If your business has more than one location, you are now able to specify which location(s) are included within the link.
When customized to include location, clients will only see the option to book at the specific location(s) & the availability will be updated to reflect those locales.
To get started, we suggest:
- Review/update your office locations (Learn how to set up locations & rooms here)
- Make sure you have availability on the calendar for these location(s)
- Grab your sharing link by going to Calendar > More > Share & Embed.
Deselect "All Locations" and from the drop-down, choose which locations you want to be associated with your booking link. You can further customize this link by choosing specific providers in your practice, and which appointments. Tab over to "Sharing Link" for a sharing URL to be use in an email, newsletter, button, or social media pages.
Redesigned Superbills Page
Complete a Superbill in minutes with the Healthie platform, for client's to submit to their insurance payers for possible reimbursement. With our latest update, we've expanded on our Superbill form to include:
- Option to add a modifier code
- Ability to add a line item ie. for taxes
- Clarification on units & fees
- Clarification on diagnostic pointers
- Easy ability to quick-share the Superbill with a client
- Improved "Preview" of a created Superbill
- Pre-fill of information pulled from the Client Profile, for quicker completion & improved accuracy of a Superbill (ie. date of service, patient date of birth client
- Easier navigation back while creating a Superbill
Switch Between Accounts with the Same Email Address
If you've created a provider account and client account with the SAME email address within Healthie, you can now easily toggle between these account.
When logged into Healthie, you'll see on the TOP that you are "Logged in As..." with a SWITCH button. Click "Connect" to the account that you would like to switch to. If you have a "test client" within Healthie, this will make it easier for you to toggle between your provider/client accounts.
Symptom Tracking (released on web)
Symptom Tracking is an optional setting in Healthie that enables clients to log their bodily symptoms, and for providers to review these entries.
Note: By default this setting is turned OFF for all of your clients, but can be manually enabled. When turned "on" as a Default Setting, this will only enable the new journaling setting for NEW clients added to the platform. To enable this setting for existing clients, you will need to go to Client Profile > Actions > Settings > Select "Track Symptom" > SAVE
This journaling feature is not currently available on the mobile app, but we will update this article once it has gone live.
Option to turn Care Plans Feature Off
If you do not use the Care Plans feature within your practice, you now have the ability to turn the entire Care Plans feature off so you do not have to view it within your provider account.
To do so, click on the Settings wheel and navigate to the "Care Plans" settings tab under "Features." A switch should appear near the top of the "Care Plans" settings page; by default, this switch will be marked "ON." Click on the switch to turn it off.
When the Care Plans feature is turned off:
- All of the your "Active" status care plans will automatically become "Inactive’ status
- A "Care Plans" tab will not appear in client profiles within the provider's account
- The "Care Plans" settings page will look like the following:
Nutrient Tracking Disabled for Eating Disorder Clients
Healthie's newest Nutrient Tracking feature will now be disabled when the "Eating Disorder" setting is enabled for a client.
When you turn ON the Eating Disorder setting, the Nutrient Tracking box will become disabled, i.e. the check box will become greyed out and you will be unable to click on the check box. This will occur automatically, even if Nutrient Tracking was previously enabled.
When the Eating Disorder setting is turned OFF, the check box will no longer be greyed out, the setting will be reverted back to its original selection, and you can select/de-select the box as you please.
This will apply to all four levels of the settings hierarchy:
- Global
- Client group
- Individual client
- Care Plan
New Date Picker for Appointment Reports Dashboards
The date filter for the Appointment Reports dashboard is now easier than ever to use.
When you open up the dashboard, by default, the dashboard will show data from the last 30 days.
To adjust the date filter, click on that button and you can select a set date range or set a custom date range. To assist, next to each range of time you can see the exact calendar dates it will display data for.
When you click on the "Custom" option, you can select the date range using a calendar, or choose from any of the set date ranges listed on the left side.
When you log back in, the most recent date selection will automatically apply to the reports dashboard.
E-Fax a Chart Note
You can now E-Fax a chart note for a client directly from their profile. To do so, navigate to the client's profile and select the "Charting" tab. Click on the blue "View Charting Notes" button. Select the chart note you would like to fax, and click on "Share."
Click on the blue "Share All Fields" button, and select "Fax." From there, you can add the recipient's information and fax the chart note over.

- Pressing a phone number on the “Session Details” screen will initiate a phone call (mobile app update)
- Added organization member setting controlling ability to "add, edit, and delete products"
- Ability to change the "contact" type when editing a scheduled appointment
- Reduction in notifications that appear in the "bell icon" of your provider account, by removing irrelevant notifications

Healthie releases June 2020 platform updates with Care Plans now live, improved calendar and appointment tools, stronger billing and CMS 1500 workflows, easier document and task management, refreshed client emails and video calls, plus new organization branding controls and bug fixes.

Care plans
- Healthie's Care Plans feature is now live! Apply common protocols and methods of care to clients, while still facilitating the customization/personalization that may happen on a per-client basis. Within a Care Plan, you can add nutrition or activity recommendations, upload documents for clients to access, automatically set goals, and more.
CMS 1500s
- "Include Referrer information" is now by default enabled when creating a CMS 1500 form
- Added status filtering to the CMS 1500 page. You can now quickly sort through your CMS 1500 claims based on the status of the claim including:
- Not Sent
- Sent
- Denied/Rejected
- Fully Paid
- Partially Paid
- Ignored
- You'll also be able to see the number of claims for each status, allowing you to more efficiently keep track of claims.
Calendar
- Now possible to remove one-time availability while using Safari as browser
- Updates to how Appointment Types are created and configured
- Updates to the visual display of Healthie's calendar, to make it easy to understand appointment status and view details, both on the web platform and the Healthie mobile app. Learn more about viewing and filtering your Calendar here.
Client Profile
- Providers can now remove a client's credit card on file without messaging Healthie support
- Providers can now view a Client's Quick profile while charting on a client during a session
Documents
- The first update, in a series of updates, makes it more intuitive to rename or delete a document (or folder) within Healthie.
Emails to Clients
- Design changes made for the default emails that send to clients on behalf of your provider accounts, such as Client Invite email, Appointment reminders, and Package Purchased confirmations. The text will now align to the left (instead of center) and the Healthie mobile app download links will appear at the bottom of the email to make it convenient for clients to locate the app. As well as some additional smaller color changes to the email designs. Payments and Billing
- Displaying client date of birth when charging for a package. Use this indicator to help differentiate between clients who may have similar (or the same) name to correctly identify the client you'd like to charge for services.
- Failed Payment Details: When a transaction has failed for any reason, you will be emailed with the error from our payment processor. Your payment dashboard will now show an indicator for the failed payment, with details on why the payment failed. Hover over the "status icon" to see the details. Learn more about managing failed payments and how to update (or invoice) a client for a failed payment.
Programs
- If you have created a module that contains a document, you can now easily modify your module by replacing the document. Either upload a new document from your local drive, or select another document that lives in your Documents Library. Learn how to modify your module here.
Tasks
- Additional capabilities of Tasks on mobile, including the ability to edit or delete a task
Video Call
- Updated Video Call UI to make it clearer to exit an existing session
Organizations
- Organizations can now have multiple brands / logos within one umbrella. To set this up, enable "can set up own brand" within Organization Permissions
- Organization administrators can now view Chat logs of other providers.
Other Updates
- Fixed bug in which packages set to GBP (Pounds) were showing as $ in some instances
- Fixed bug in which when provider removes group from a group appointment, all clients are now being removed, as intended, from that group appointment.

Update: Search for Specific Client when Document Sharing
The Share Document modal has been updated to improve performance for orgs with large client rosters. Instead of waiting for the full client list to load, the modal now displays an initial set of up to 500 clients, groups, and org members on open — with live search available immediately to find any client by name. A "Type to search for more" prompt guides users when their client is not in the initial list. The "Share with All Clients" toggle also now works reliably without requiring all clients to be loaded first. No action is required.

New: E-Rx and E-Labs Direct Orders Link to Chart Notes
Lab orders, prescription orders, and PDMP check records can now flow directly into chart notes - creating a more connected record between clinical encounters and orders, and making compliance-sensitive workflows easier to manage.
- Associate E-Rx Orders with Chart Notes (DoseSpot users): When placing an E-Rx order from the Quick Profile, providers can select a chart note before the DoseSpot prescribing window opens. Once submitted, the prescription is automatically displayed in a "Medication Orders" section on the chart note across all surfaces (view, edit, PDF, share).
- Associate E-Labs Orders with Chart Notes (E-Labs Direct users): A new "Order E-Labs" button within the charting interface opens a side modal, allowing providers to place a lab order and associate it with a chart note without leaving the clinical documentation flow. Lab data populates automatically in a "Lab Orders" section once the order is submitted.
- PDMP Timestamp in Chart Notes (DoseSpot users): For organizations using Bamboo Health through DoseSpot to complete PDMP checks, a timestamp can now appear within the chart note indicating when the most recent check was performed - no additional configuration required when Associate E-Rx Orders with Chart Notes is enabled.

Ambient Scribe — Now Available 🎉
AI Scribe, Healthie's AI-powered charting tool, now extends to in-person and phone sessions with the launch of Ambient Scribe.
Ambient Scribe brings the same automatic note generation to your in-person and phone appointments — reducing documentation time for providers across your organization.
What's new:
- AI-powered charting now supported for in-person and phone sessions
- "Launch Ambient Scribe for In-Person Session" prompt appears directly within appointment details
- Compatible with existing appointment types that include multiple contact types (telehealth + in-person or phone)
- Chart note templates can be assigned to phone or in-person only appointment types once Ambient Scribe is live on your account

Additional AI Scribe Updates
- AI Scribe Will Ignore Specific Form Fields. You can now exclude specific fields from AI Scribe using the new Exclude Field from Scribe checkbox in the Edit Field modal. Excluded fields are removed from the request before it reaches the AI entirely — meaning Scribe has no knowledge of them — and their original values are preserved after Scribe runs. This is a hard guarantee, not a best-effort instruction. Excluded fields are also visually marked in the generated note so providers can easily distinguish intentionally skipped fields from those that were missed.
- Ambient Session Tab Widget: Providers can now open a new tab during an Ambient session without losing confidence in their transcription — a persistent widget will appear with a live session indicator, along with quick options to mute or end the session.

- “Technical Problems” is now an option for provider and client cancellation reasons.
- Improved editing behavior for group appointment series: while a series is still being created, an informational banner on the Edit Appointment sidesheet confirms the series is still processing and that any edits will apply to the single appointment only - once generation is complete, a separate banner notifies you that the series is ready and edits can be applied to this and future appointments.
- Invoice sender dropdown (multi-org): When creating an invoice in a parent organization, the Sender dropdown now filters to show only providers within that organization. Sub-organization providers are excluded, removing duplicate entries and resolving the "sender doesn't have access to the recipient" error.

Healthie's Quick Profile has been upgraded with new clinical data access when they need it the most.
What's new:
- More clinical data, right where you need it: Org owners choose from Medications, Labs, Diagnoses, and Allergies components via Settings > Client Profile > Quick Profile.
- Your layout, your way: Add, remove, and reorder components to match your team's clinical workflow (all four new components default to inactive).

New: Client Restrictions for Enhanced Privacy Controls
We’ve introduced Client Restrictions to give organizations greater control over sensitive client records. When enabled, users outside of a client’s Care Team must provide a reason before accessing the client’s information. These access attempts are logged in detailed reports, helping your team monitor usage and meet compliance needs.

Updated: E-Labs Direct Now Reflects Cancelled Order Status
Lab orders placed through E-Labs Direct that are cancelled will now display a Cancelled status in Healthie. This update ensures providers have a complete view of every lab order's lifecycle, including cancellations. No action is required; status updates sync automatically.

Update: Improved Visibility of Results vs. Status in Labs Dashboard
The Labs Dashboard has been updated to display lab order status and lab result status as two separate, distinct columns — making it easier to understand the state of a lab order and its result at a glance.
Previously, order status and result status were combined into a single view, which could make it difficult to distinguish between a completed order and a critical result. With this update, each signal is independently visible, sortable, and — for order status — filterable.
What's new:
- Separate columns for Lab Order Status and Lab Result Status in the Labs Dashboard
- All three columns (Description, Lab Order Status, Lab Result Status) are independently sortable
- Lab Order Status is independently filterable for faster triage
No action is required, the updated layout is available automatically.

New: Appointment Request Metrics Dashboard
Appointment Requests metrics are now available in the Visualize tab. With the launch of the Appointment Request Metrics Dashboard, practices have a dedicated space to see exactly how their scheduling pipeline is performing - from first request to first appointment.
- Time to first appointment: Measure the time between request submission and the scheduled date/time of a client's first appointment - your clearest indicator of client access and practice capacity.
- Time to close: Track how long appointment requests stay open before being marked done - a direct measure of team efficiency and pipeline throughput.
- Closure outcome rate: See what percentage of requests close with a booked appointment versus without, to understand client fit and whether capacity is meeting demand.
This dashboard gives your team the insights to schedule smarter, respond faster, and ensure no client request goes unaddressed.

New: Secondary Claim Creation via API (Claim.MD Integration)
Healthie now supports secondary insurance claim creation and electronic submission for API customers using the Claim.MD integration. This update closes a major gap in the insurance billing lifecycle — providers no longer need to manage secondary claims manually in external portals or via paper.
- Designate payer order: Flag claims as Primary or Secondary using the new payer_order field in createCms1500 and updateCms1500 mutations.
- Store COB data: Capture Other Payer subscriber information (EDI Loop 2320) and claim- and line-level primary payer adjudication data (EDI Loop 2430) directly on the claim.
- Submit electronically: Secondary claims with complete COB data are transmitted to Claim.MD using the existing submission workflow, with full error logging and status tracking.
- Built-in validation: Required COB fields are enforced before submission, preventing duplicate or incomplete claims from reaching the clearinghouse.
API customers with an active Claim.MD connection can now handle the full primary-to-secondary billing lifecycle programmatically — reducing rejections, accelerating reimbursement, and keeping billing workflows inside Healthie.

- Updated: Insurance Billing Checkbox Now Consistently Visible. When your organization has "Enable insurance billing" turned on, the Insurance Billing checkbox now reliably appears on all eligible individual appointments - no longer dependent on CMS 1500 auto-creation settings being active. No action is needed; the updated behavior takes effect automatically based on your existing account configuration.
API Updates
All features added this month are also available directly via the API. In addition, we are laser focused on building a best-in-class customer experience, which includes continuously investing in, and iterating on, our developer experience. This will include updates to documentation, SDKs, Webhooks and more, throughout the upcoming months.

Healthie’s August 2020 release brings richer Apple Health data, expanded appointments and care plans, multi‑tab charting and new chat features. It adds e‑Labs, E‑Fax refinements, improved metrics, mobile home redesign, and a monthly Release Notes indicator.

Apple Health Integration
A new release enables more data and metrics to be pulled in for clients who have enabled the Apple Health integration with Healthie. The list of data that now syncs includes:
- Body Fat Percentage
- Cycling Distance
- Heart Rate
- Height
- Mindful Minutes
- Sleep Analysis
- Steps
- Walking & Running Distance
- Weight
- Duration for some activities
- Calories burned for some activities
Appointments & Calendar
- Ability to track group appointment attendance. Manually indicate within your group appointment settings which clients attended, enabling more detailed record keeping. Learn how
- Improved appointment-related emails, including the ability for clients to add their appointment to their personal calendar.
- Option to view the calendar with different time intervals (allowing you to Zoom in/out of the calendar) for Calendar and Organization Calendar. Learn more
- For clients, their "Next" appointment has been updated to be clearer, included a link to join their call if scheduled as a telehealth session (from the mobile app). Learn more
- Improved clarity of the confirmation status for an appointment. Within the mobile app, both providers and clients now will clearly see if an appointment is unconfirmed (and by whom). Tapping "Confirm" will render the appointment confirmed.
- Ability for providers to edit appointments that have occurred in the past from the mobile app -- including updating the status of the appointment as occurred or rescheduled. Learn more
Care Plans
Healthie's Care Plans feature enables providers to share recommendations, resources, and goals for clients in a comprehensive way. Clients can now access their Care Plan from the Healthie Mobile app, so that your recommendations are always just a tap away. Learn more about your clients' experience with Care Plans.
Charting
You now have the ability to have multiple charting tabs open simultaneously within the same charting session. This will allow you to toggle between different notes or intake forms (ie. a new chart note and past notes) for more efficient charting and workflows. You can open a new charting tab whether you are currently writing a new note or previewing a note. To open a tab:
- Go to Charting for a client > Choose "View Charting Notes" or Create Charting Note"
- Click the "Plus" sign in the top menu (if you hover over it, it will read Create a New Tab")
- A menu will appear, prompting you to either CREATE a new note or to OPEN an existing form. If opening an existing form, select the form category from the drop-down (Intake form, Charting Note, or Program Form). Then select the specific document you'd like to open.
Chat
- Personalize your client's onboarding experience by enabling an automatic welcome message. This chat message will appear to clients when they first log into their Healthie platform, encouraging them to use Healthie Chat as a direct way to communicate with their provider. Add your own custom text to this message. Learn how
- A new Chat setting enables providers to receive a "Chat Notification" when the Chat Autoresponder is on. Learn how to enable or disable this setting.
Client Allergies
Healthie enables wellness professionals to quickly document and review client allergies, food sensitivities, food intolerances, and food preferences. This client information is easily accessible so that it stays top-of-mind while making care recommendations. Learn more here.
More updates can be expected for client allergies documentation, including:- Addition of client allergy/sensitivity information in the "Client Overview" tab of the client profile
- Addition of client allergy/sensitivity information within the Quick Profile, which will be visible/accessible while charting on a client
- Addition of client allergy/sensitivity information into the Healthie Smart Form, for clients to provide this information during the onboarding/intake process, and have details automatically stored within their EHR/Client Profile.
Client Goal Reminders
Clients will now see a setting to turn on/off goal reminders -- allowing them to self-manage the notifications that they receive through Healthie related to goals. You can share this client help article with your clients to walk-through how to manage their settings related to goals.
Documents
- New update to the design of documents from the web browser, for an easier and more intuitive experience. Learn more about Healthie Documents.
- Addition of "breadcrumbs" within subfolders >> these are links that make it easy to go back to the higher level of the folder, without have to click the browser "Back" button. This allows for easy navigation through folders and resources.
- Updates to the design for sharing documents.
E-Labs
Last month we piloted a new E-Labs feature. This month we're pleased to share that e-Labs is now available to all Healthie members on Practice Plus plans and above. Healthie's e-Labs feature enables providers to offer, and clients to purchase, labs directly within the Healthie platform, and fully electronically, to save providers time and the need to navigate to external platforms.
This is currently restricted to Quest Labs and there is no additional fee for you to offer e-Labs in your business. At this time, clients are required to pay for labs out of pocket, and labs purchased via Healthie are not processed via insurance. Healthie's e-Labs feature is tied to the Client Packages platform, for Clients to seamlessly purchase labs from you via your Healthie account. Currently, e-Labs are not available to clients in NY, NJ, RI, and outside the U.S.E-Fax
It is now easier to navigate Healthie's E-Fax feature. Clicking the "Faxing" tab from the main menu will now display one page with two tabs for Sent faxed and Received faxes. Learn more about E-Faxing via Healthie.
Planned updates will enable you to click the actions tab (3 dots) for more options, such as preview the e-Fax, resend, add sender to "Referring Provider" tab, and more.Metrics
As part of a larger redesign, Healthie's Metrics feature has seen some initial updates this month, including:

Healthie Mobile App
Redesigned provider “Home” tab on the app.
With a new "Home" button, you'll now see an overview of important information, just as when you log into Healthie from the web browser on your computer. This includes information on upcoming appointments and pending tasks. Tab over to "Journal Entries" to see your feed of most recent client logged food and metric entries.New In-Product Release Notes Indicator
A new indicator within your Healthie provider account will now appear when a new monthly Release Note article is available. Pressing the question-mark icon will reveal a “Product Updates” option. Click it to open the latest Release Note page in a new web browser tab. After pressing the icon, the red dot disappears. When the next release notes become available, the red dot will reappear. We expect this indicator to appear once per month. This will allow you to actively seek and review what is new from the Healthie product, without interrupting your current workflow.

Video Call (Telehealth) Updates
Clients/providers who go to join their first video call will see an explanation why they need to allow access to their phone’s camera/microphone, and if they deny access they’ll see guidance on how to fix it.

- Change of terminology from "Workout" to "Activity" to be more inclusive of the types of activities clients may log.

- Client journal entries that are not published, now will save if a client closes the app. When they return to Journal entries, the information from their last, unpublished entry, will populate. Client can then go ahead and complete the entry/publish.

Billing
Redesign of the "Billing Transfers" page for improved clarity. Billing > Payments > Transfers. This page details include:
- Date the bank transfer was initiated
- Amount included in the transfer
- Number of included transactions
- Status of the transfer
- Date the transfer is expected to be completed
Note: Within Healthie, bank transfers happen automatically, each day. All transactions from the day are included in this transfer.

If you are no longer working with a client, Healthie enables you to "Archive" them within your account. Learn what happens when you archive a client here (don't worry, their information is kept secure, and you can unarchive them at any time!). In Healthie, you can now select several clients at once to archive, saving you time as you manage your client base.
We'll continue to update our community on other bulk-editing options as they become available within Healthie.Calendar
Ongoing updates to the client booking flows and experience, including:
- Updates to the date/time step in the client booking process, for a cleaner and more modern booking experience
- If an appointment type has no availability, it will be displayed clearly from the onset of booking to the client.
- Ongoing updates to enable clients to add their Healthie appointment directly to their personal calendar (iCal, Google Calendar, Outlook) from the appointment confirmation screen or confirmation email.
Other update(s) to Calendar include:
- Ability to more easily view client attendance status for group sessions, directly within the session details. Select your group appointment from your Calendar > Click "Track Attendance." Check off any clients who attended the session. Once saved, you'll now see the list of "Attended" and "Not Attended" clients on the main session details page. Learn more about group scheduling.
- Addition of appointment attendance to the Appointments Report.
- If a chart note has been written for a client in association with an appointment, you can now click the "Chart Note Written" button within the appointment details to display the chat note.
Care Plans
- Option to notify a client about a new active Care Plan via email. Once you set a Care Plan to "Active" a green success banner will appear, with a button "Notify Client via Email." Learn more about Care Plans.
Chat
- A new setting has been added for Organizations, that when enabled will allow org members to respond to chat messages that they are not participants in.
- Sending a Loom video link in Healthie chat will now embed the video within the chat message.
- Ability to mark a conversation as "unread" -- simply click the actions tab (three dots) next to a chat message and select "Mark as Unread"
Documents
Healthie allows you to directly upload documents and resources to your client's chart.
In our latest redesign, all client documents have been consolidated under the "View Documents" tab. Don't worry, your private client documents are still there! Click the Documents tab and you'll see all documents associated with your client. You'll also notice new icons that help clarify the visibility and sharing permissions of each document/folder.

Journal Entries
- More clarity in the source of journal entries and metrics. On each journal entry posted, you'll now see where it came from (ie. Healthie, Apple Health, Fitbit, Google Fit, client, or a specific provider).
- For clients, "Reflection" option on a journal entry has been renamed "Thoughts after eating" for more clarity.
- You can now filter journal entries by client group. From your home screen when logged into Healthie, select the Journal Entries tab. A drop-down menu on the left-hand side will automatically show "All Groups" > Select a specific group from the menu to filter. This will allow you to quickly keep tabs on specific groups, and provide personalized feedback to those clients.
Metrics
- Ongoing improvements to the display of metrics graphs.
- Addition of an "All Time" button to the date picker when viewing metrics on a graph.
- The date-range that you select from the date-picker will be remembered the next time you visit your client's metrics (ie. if the last selection you made was "All Time," then the next time you go to any client's Metrics tab, the graphs will display with All Time data). Learn more.
- Expansion of metrics graphs for a wider view, making data points clearer to read.
Mobile App Updates
A series of updates to the Healthie mobile app have gone live, improving the client experience with booking appointments, completing programs, and more.
- Redesign of the client booking flow process from the mobile app, for a smoother and easier booking experience.
- If an appointment type is set as bookable by clients but there's no availability for it, the client will see "no availability" from the beginning of the booking process.
- If there is no availability for the day that a client has selected to book an appointment, Healthie will automatically suggest an alternate date/time for easier booking.
- Ability for clients to see how many credits they have available during the client booking flow process, if their wellness provider requires credits for booking.
- Option for clients to add an appointment to their personal calendar, from the booking confirmation page.
- If booking a phone session, clients will be required to provide a phone number to complete the booking process.
- For clients who have purchased a program, they will now see their program status from the mobile app (Not Started, In Progress, Complete) as well as the option to tab between "Program Information" and "Modules." They'll see more details on their progress through each module, including upcoming modules that they do not yet have access to. Review the client experience with completing a program.
- Option for clients to disable email and/or push notifications for goals reminders -- both from the web browser and the mobile app. Find step-by-step instructions on disabling goals notifications you can share with your clients (or refer them to this ClientHelp article).
- Appointments that are unconfirmed but have a status of Cancelled, No Show, or Rescheduled will no longer display in the "Unconfirmed Sessions" section of the mobile app.
- Faster loading of the "Home" tab for clients
Settings
- Addition of a settings section for "Charting." Currently, this section contains the option to set a default charting note for your business. Your default charting template is the one you will see by default when you create a new chart note on a client. We recommend setting your default charting template as the template you use most frequently during your sessions. You can select your default chart note in your account settings -- navigate to Settings > Charting > "Default Chart Note" and you will see a drop down of all possible charting templates that you are able to set as default. Walk through all Account Settings.
- Redesign of "Organization Settings." Within Healthie, you have the ability to customize the experience/capabilities for each of your organization members. These settings can now more conveniently be accessed by navigating to the settings wheel (gear icon) > Settings > Organization Settings. Now you'll see all of your organization members, and can "EDIT" each one to customize their settings (or add a new member).
- You'll also notice there are now three tabs at the top of the Organization page. Navigate between these tabs to quickly access important organization information. This can be accessed by going to Settings > Organization or by clicking the "Organization tab in your main Healthie menu.

Telehealth
- To reduce the issue of clients joining video calls without allowing access to their camera/microphone -- Healthie will now automatically prompt any users who have not allowed access (permission) to do so.
Additional Updates
- Minor bug fixes
- Update to the mobile app that fixes an issue where some clients using Healthie app for Android phones were unable to add a photo to their journal entry.
- Clicking the side menu tabs during a telehealth video call will now trigger a confirmation screen, asking if you're sure you want to navigate from the page and end your video session. Click "Cancel" to continue with your video session.
- More clarity around diagnosis codes and CPT codes when creating a Superbill, and the ability to enter decimal points in the code search field.
- Ongoing improvements to the display of metrics graphs.
- Ensuring there's a client phone number added to every call booked as a "Phone session."
- Any documents already shared with a Group will automatically be shared with any clients newly assigned to the group.
- Automatically sync metrics for Google Fit including: Bed time, wake time and sleep time.

Healthie's Goal Setting feature now gives providers and clients greater visibility into how goals are being managed. You can now see who created each goal and review a complete log of actions taken - including who made each update.
- Goal creator visibility: Each goal now displays the provider or user who created it.
- Action history log: View a chronological record of all activity on a goal.
- Who did what: Each history entry identifies the user who completed that action.
- Multi-provider clarity: Clients can see exactly which provider is working with them on a given goal.
These updates make it easier for providers to track progress, maintain accurate records, and coordinate care - while giving clients a clearer view of who is guiding their goals.
Enhanced Labs Component on Client Overview
We've upgraded the Labs section on the Client Overview to make it faster and easier to find, prioritize, and act on client lab results. Lab data from Fullscript, E-Labs Direct, Change, and Rupa all surface in one unified view, and the previous 10-result cap is gone.
- Filter by status: Surface Error, Pending, Client Action, or Complete results instantly.

Stronger Protections for CMS 1500 Billing Records
We're introducing two new safeguards to help keep your CMS 1500 data accurate and audit-ready. A dedicated view-only mode prevents accidental edits for insurance-permissioned users, while an automatic lock on sent claims stops smart fields from retroactively overwriting historical billing data — all without any manual action required.
- LIVE NOW - View-only mode: Users with insurance permissions can view CMS 1500 forms at any stage of creation without the ability to make edits or changes.
- COMING SOON - Auto-locking for sent claims: Claims that reach "Sent" status are automatically locked by the system - no manual step needed.
- Historical data protected: Smart fields can no longer retroactively overwrite data on submitted claims, keeping records consistent and reliable.

Updated: CMS 1500 Generation Now Supported for Group Chart Notes

We've enhanced document sharing to make it faster, more reliable, and easier to manage — especially when sharing with large groups of clients. These updates address performance bottlenecks and add new visibility features to help you stay in control.

Draft Scribe notes now display prominent Convert and Delete buttons directly on the note, so you always know exactly what you can do next.
Feedback when deleting a draft
When deleting a Scribe draft, you'll be prompted to share a quick reason (e.g., inaccurate information, missing details). This helps us continuously improve Scribe quality based on real provider input.
AI-generated note indicator on converted notes
Converted notes now display a banner confirming the note was generated using AI Scribe, along with a "Give Feedback" button to share thoughts in context.
AI Scribe Webhook Coverage — Full Lifecycle Events
We've extended Healthie's webhook infrastructure to cover the end-to-end AI Scribe workflow.
This update closes two gaps in the lifecycle:
Transcription Pipeline
- appointment.transcript_started — fires when the transcription job begins
- appointment.transcript_failed — fires when transcription fails; payload includes failure_reason and failure_message
Chart Note Lifecycle
- generated_form_answer_group.converted — fires when provider accepts/converts the AI-generated note into a chart note
- generated_form_answer_group.rejected — fires when provider rejects the note
- generated_form_answer_group.updated — fires when the AI Scribe note is regenerated or updated
- generated_form_answer_group.deleted — fires when the generated note is soft-deleted
Additional Updates

- Copied fields can no longer be duplicated repeatedly, reducing accidental or confusing form setups.
- Bug Fix - Appointment Banner Dismissal: The appointment banner will now stay dismissed once closed, rather than reappearing unexpectedly. This fix applies automatically across all plans — no action required.
- Addendums to charting notes now display in chronological order, consistent with how signatures appear. This fix ensures all charting note actions (signatures, addendums, and audit events) display chronologically across all viewing contexts.
- Active DoseSpot medications now visibly appear as active in chart notes, improving clarity while preserving their read-only behavior.
- Conditional charting modules now display consistently, even when responses include extra spacing, ensuring a predictable experience across view and edit states.
- Recurring form requests can now only be removed for the selected client from the Client Profile to prevent accidental deletion across all client groups, reducing confusion and ensuring requests behave as expected.
- Images uploaded in form answers (charting and intake) will now display inline with text, rather than as an attachment below the text box.
- Added an org-level setting to require insurance card photo uploads when clients complete the Insurance Form, helping reduce claim denials caused by missing card images. The setting is off by default and can be enabled by emailing [email protected].
- Fixed an issue where display-only fields (e.g. Title, Label, Read Only) in the Form Builder could be marked as required, preventing clients and providers from completing the form.
API Updates
All features added this month are also available directly via the API. In addition, we are laser focused on building a best-in-class customer experience, which includes continuously investing in, and iterating on, our developer experience. This will include updates to documentation, SDKs, Webhooks and more, throughout the upcoming months.
Healthie Dev Assist 2.0
Dev Assist 2.0 is a ground-up rebuild of the schema exploration server, faster, leaner, and cross-platform. Instead of making sequential tool calls to explore the API schema (search, wait, introspect, wait, follow a reference, wait again), the server now executes all schema operations in a single parallel block.
What's new
- Single execute_healthie_code tool replaces the previous search_schema + introspect pair
- Parallel schema traversal, explore multiple types simultaneously in one execution
- Live API execution via healthie.query() and healthie.mutate(), test against real response shapes, not just schema definitions
- Structured JSON responses instead of raw SDL text, for cleaner reasoning by Claude or ChatGPT
- Removed macOS-only binary dependency; now pure Node.js, runs on any platform
- Pagination support on large types (e.g. User's 455 fields) to prevent runaway token consumption
The result is 64% fewer tokens consumed, 55% fewer round-trips, and ~5x faster responses on average, with the most complex cross-type queries seeing up to 84% token reduction.

Changes to Adding Participants in Chat
We’re making a small but impactful update to improve visibility and keep Chat conversations clutter-free. The Add participants button will now live in the existing More actions (⋯) menu, alongside Archive and Close. This helps free up space while keeping all actions easy to access.

- Clients are now automatically added and removed from appointments as expected when their user group client list is changed. Previously, clients were not automatically removed from recurring group appointments that had been edited.
- Our PDF generation now efficiently handles larger documents by processing up to 5 notes synchronously before transitioning to asynchronous generation for larger batches. This ensures that users can generate extensive PDFs in a single instance without experiencing timeouts, eliminating the need to create and fax multiple documents.
- Users can now successfully set up calendar sync on both their whitelabel and non-whitelabel accounts, resolving an issue where only one account could connect to an external calendar.
- Healthcare providers can now add information to client profiles with one-click access to "Add" functions across all CAT components, minimizing navigation and clicking and streamlining patient documentation workflows.
- Providers can now easily access and copy full Zoom meeting details, including dial-in numbers, directly from the appointment details page. Previously, only the Zoom meeting URL could be copied. Now, a new "(joining instructions)" hyperlink provides a side sheet with comprehensive meeting information, such as your link, client link, one-tap mobile, dial-by-location, meeting ID, and passcode.
- Now, when filtering the Organization Calendar by provider, group appointments where that provider is listed as an "Organization Member" are included in the filter results. Previously, these appointments were not displayed.
- Users with disabled "Can modify folders and documents shared within your organization" permission will no longer be able to upload documents into shared folders. This prevents unauthorized users from adding documents to folders, ensuring greater control over shared content.
- AddendumContainer component has been redesigned to be a collapsible section. Behavior change: Users now click "Add Addendum" to reveal the textarea for content. Existing addendums display above the button and text area. The "Save Addendum" button includes a loading state and new addendums populate instantly upon saving. Users can add addendums from both Edit and View states of the note.
- The Quick Profile no longer automatically opens after creating a new chart note from a client's charting notes page, which will revert to automatically opening for a consistent experience.
- For existing users invited to multiple organizations, email notifications now provide clearer, personalized details about each organization they've been added to, making account setup easier. This updates the welcome email subject line and body copy to reflect multiple organization invitations, including a bulleted list of organizations.
- [Mailer] Fixed provider email delivery when patient emails are disabled
For non–white label customers, disabling patient emails previously blocked provider emails as well. This has been corrected—provider emails now send as expected, even if patient emails are turned off. - Receipts for Late Cancellations & No-Shows
Client payment receipts will now clearly display the reason for charges related to late cancellations or no-shows (e.g., “Fee for Late Cancellation on [Date]”). This enhancement improves transparency for clients and reduces confusion or disputes for providers. - To maintain data integrity and prevent duplicate forms, new organization-specific custom module groups will be created, with some automatically marked as deleted to ensure users only see relevant ADIME and Free Text forms. This change helps streamline form management and reduces potential confusion from multiple similar forms.

Archiving a user already revokes their API keys. With this upcoming update, the API will raise an error if the user being archived has active keys. To proceed intentionally, add the new parameter bypass_api_key_warning: true to your API call. Please update your workflows before enforcement begins on October 31, 2025 to avoid disruptions.

Healthie has transitioned to a new authentication platform for all production accounts (excluding white-label customers). This update strengthens login security, improves reliability, and lays the foundation for expanded multi-factor authentication (MFA) enforcement later this quarter.What’s changed
- A new provider sign-in experience is now live
- Enhanced login security protections are enabled in production and staging
- Additional verification prompts may occur if a login appears unusual
These updates apply to provider and admin accounts only. Client (patient) accounts are not impacted.
Enhanced Security Protections
Our authentication system includes multiple layers of monitoring and enforcement, which may include:- Bot detection
- Recognition of unknown devices
- Repeated failed password attempts
- Breached password detection
- Impossible travel detection
- Suspicious IP analysis
- Stale account management
- Email credibility checks
These controls may prompt additional verification, temporarily restrict access, or flag activity for review. A verification prompt does not indicate an issue with your account, it is a normal security safeguard.
Shared logins are not supported. Each team member must have their own account.White-Label Customers
White-label customers will continue using their existing authentication experience for now.
To access your current login experience, please use your organization’s dedicated white-label URL (e.g., https://yourorg.gethealthie.com/users/sign_in ). Logging in via secure.gethealthie.com will route users to the new authentication experience.
We will reach out directly with migration details ahead of the planned white-label transition in March 2026.MFA Requirement (Coming this Spring)
If MFA is already enabled on your account, it remains enabled. Providers may see expanded verification options during login. MFA will be required for all provider accounts later this quarter. We will communicate in advance before enforcement begins.

A new version of the Candid integration is now available for Healthie’s Enterprise customers. This update automates claim creation and provides real-time claim status visibility - less manual work and faster resolution from submission to payment.
When providers lock chart notes in Healthie, claims generate and submit to Candid automatically. As claims are processed, status updates sync back to Healthie, giving billing and operations teams full visibility without switching between systems.

Healthie now gives administrators granular control over which appointment-related emails clients receive. With new toggle switches in both Appointment Settings and Appointment Type Settings, you can enable or disable notifications to match your practice's communication preferences — no more all-or-nothing.
- Choose which emails clients receive for scheduled, booked, updated, and canceled appointments — all independently toggleable.
- Customize at the appointment type level to tailor notifications for different visit types or workflows.
- Clearer naming conventions: "Initial appointment confirmations" is now "Appointment scheduled/confirmed" for easier identification.
- Two new notification types: Get dedicated toggles for "Appointment booked by client" and "Appointment updated" emails.

- When viewing Metrics within a client's profile, your last selected date range will remain when you return to the Metrics page so that you don't need to reapply filters when navigating away and back.
- We've ensured attendance visibility for Group Charting Notes by consistently displaying "Attended" next to a client's name when they have checked in or have been marked as attended by the provider.
- We resolved an issue where the Drug Allergy field could extend beyond the form layout, ensuring it now displays consistently with other allergy selections.
- Provider signatures on chart notes are now immutable. Previously signed notes retain the original provider name, while new signatures reflect any updated profile information.
- Live auto-scoring now correctly calculates matrix field totals, aligning the real-time score with the final submitted form score.
- Draft AI-generated notes will no longer display Download PDF, Send Fax, or Create Superbill actions; these options are now available only after the note is converted to a finalized chart note.
API Updates

This will include updates to documentation, SDKs, Webhooks and more, throughout the upcoming months.
- Date Validation Update: We’ve rolled out an improvement to how Healthie validates date fields submitted through the platform and API. New or updated records will be required to use valid dates. Invalid dates (such as years outside the supported range: 1900-2099) will return an error rather than being accepted.
- This update applies only to new or updated data, existing records will not be impacted.
- There is no change to the accepted date formats.
- Complexity Based Rate Limiting: We’ve released an update to Healthie’s API rate limiting. Rate limits will now be based on query complexity, not just request volume, an industry best practice that helps ensure consistent performance and reliability across the platform.
- We employ an algorithm for managing rate limiting which computes points based on the complexity of the operation being performed and stops processing new traffic for a given organization once they hit the maximum number of points allowed. Traffic is allowed again once some of the previous queries have been completed freeing up available points.
- The number of points an operation consumes (especially queries) can be reduced by pulling back only the necessary fields for your operation from our API, rather than requesting all available data.
- This is primarily targeted at managing traffic spikes, not normal traffic scenarios.

Automatic Charging for Late Cancellation and No-show Appointments
Healthie now enables providers and organizations to automatically charge for appointments that are marked as a late cancellation or no-show, helping to protect revenue and streamline workflows. Administrators are now able to set up late cancellation and no-show settings and prices within account settings.
This new feature is available for Plus Plans and above.To enable this function, head to Settings>Calendar>Appointments>Edit Payments and Credits. Once there, you will be able to toggle on the Automatically charge for late cancellation and no-show appointments setting and set specific fees.
Providers or calendar administrators will be able to designate an appointment status as a "Late Cancellation" or "No-show" directly from a calendar appointment, when appropriate.

[Update] Client Package Header Refresh
You will notice an updated design in the Client Package header. The improved design maintains functionality while making it easier to view, save, and filter client packages options. You will notice the "sort" option has now shifted under the "Filter" tab to enable sorting of all packages. In addition, we added the ability to save which filters were in place when you navigate back to the page after setting filters, then viewing a package.
[Update] Organization Member Permissions
We have made an update to the "Can be added as a care team" permission for organization members. Please note that as part of this update, if the "Can be added as a care team" setting is disabled for an organization member, they will automatically be removed from the client's care team and lose client visibility.
This setting can be accessed by going to Organization>Member>Edit Settings>Permissions>Care Team Members

Unlock Charting Notes is Now Live!
We’re excited to announce that the ability to unlock chart notes is now live in Healthie! You can now easily edit, update, and correct documentation included in a charting note all within the Healthie platform.
This feature is automatically enabled for members of a solo practice and account owners and automatically disabled for all other team members. For multi-provider accounts, the account owner can head to Organization>Members>Permission Settings>Charting to enable the new "Can unlock charting notes" permission for other team members.

Platform Font Update
As part of our commitment to providing a best in class user experience, we have updated the font used in the Healthie app to enhance overall legibility and make it easier for you to read and interact with our platform. The new font — called Inter — enhances readability of dense data and improves accessibility to make our app more user-friendly for people with visual impairments. This type style is pre-optimized for a screen-based reading experience; integrating letter spacing, line height, and paragraph spacing. [Mobile Update] Goals Dashboard Refresh
You will notice an updated design in the mobile Goals Dashboard. This improved design maintains functionality while making it easier for you and your clients to view, add, and edit goals. You will notice the dashboard now contains high level goals metrics and goals are more easily edited and filtered.

EHR
- Resolved issue where flattened PDF faxes were sent inconsistently. Now any flattened PDF can be sent, ideally flattened by Adobe or other trusted 3rd party.
- Resolved issue to ensure proper formatting of images when they are exported to PDF. Specifically, retain the image orientation and the aspect ratio, and set a max width of 100% of the page.
- Fixed issue so that access to viewing/editing organization members is more consistent. If the user can't access organization members via Organization tab due to settings, they should not see Members page on Settings.
- Fixed issue to ensure the Cancel button is visible no matter the size of the text field.
- We've Improved Save Banner Visibility in Client Actions Tab. The save banner in the Client Actions Tab will now be visible from any part of the form, keeping you informed about validation messages no matter where you are on the page.
- Resolved an issue that allowed users to have multiple active instances of the same ICD-10 code. We’ve now implemented a fix that alerts providers when they try to add multiple active instances of the same code. Users can still have one active and one inactive instance, enabling accurate tracking of current and past conditions.
Scheduling
- Improved video call experience to ensure if client and provider are both connected to the call they can automatically see and hear each other.
- Resolved issue to ensure the "Licensed In" and "Provider" dropdowns are not hidden when all "General Availability" settings are disabled and the "Filter Availability" section of the org calendar is collapsed.
- Fixed calendar issue where providers were unable to add new client from appointments sidebar
Billing
- Fixed issue to allow generation of reports with large datasets that currently fail to complete due to database statement timeouts.
- Resolved issue to allow providers to share packages with promo codes that remove all costs to any client
- Resolved an issue with the billing filtering system to ensure that only relevant notes are shown when filtering to create a Superbill. This may lead to a shorter notes list when generating a superbill as it is now filtering out notes that should not count towards the Superbill.
- Previously, when clicking "Create Superbill" we populated the list of chart notes with all chart notes in the system rather than only the ones that would actually be covered on the Superbill. Now, the list is clean and only includes the notes that will actually populate billing items onto the Superbill.
- Resolved issue so that now card information in Healthie should update when it gets updated in Stripe.
- Added note signed status and CPT codes used to appointments report to support biller workflows for checking on overall appointment statuses (e.g. needs followup, complete, etc.).
Charting
- Resolved the flickering behavior to restore intended functionality on the intake flow page and allow for easier management of an organization's intake flows.
- Resolved issue to ensure no crash occurs when creating a new goal and the goal creation modal appears correctly.
- Improved the chat experience by ensuring that drafts entered by a provider will not be reverted when a new message is received.
- Fixed issue where text appears white when viewing another organization member's sent chats via the Organization section
- Resolved issue so that images added to the Agreement field will be easily visible and no longer be rendered with a black background.
API & SDK Updates

If you're using the DoseSpot integration, you can now create prescriptions directly from the Client Quick Profile while charting. This update streamlines the prescribing process, allowing you to manage prescriptions without leaving the charting screen, making your workflow more efficient and seamless. New! Update to Client Actions Tab
The Actions tab within the Client Profile has been redesigned to enhance visibility, improve flexibility, and ensure consistency across the platform. Key updates include:
- Refreshed Design: A modern, color-coded layout improves visibility and streamlines the user experience.
- Flexible Section Saving: Individual sections can now be saved independently, allowing for more precise and efficient updates.

Update to Product Colors and Borders
We have made updates to streamline color management within Healthie, focusing on backgrounds, text, borders, and shadows. You will now notice a higher contrast between elements and new colors and shadows used in borders. These updates are in line with Healthie's dedication to increasing visual consistency and improving visibility and accessibility through out the application.
This design quality of life work is foundational to ensure consistent color and design elements across the platform as we continue to introduce new features and platform updates.

Easily share the link to a specific charting note with other team members in Healthie. This update makes it easier for tram members to refer to specific charting notes, e.g. when you need to have other members sign and/or lock those notes.
When viewing a charting note for a client, display the form_id (the charting note ID / Form Answer ID) in the page URL.Update: Required Form Field Behavior when Signing Charting Notes
Healthie's Charting Feature enables you to save, sign, and lock your charting notes. We've implemented an update that will make it more clear which fields are set as "required" within your form template, and therefor must be completed in order to sign or lock the note — ensuring that essential (and required) information is always captured.
This update enforces validation for the following fields if they are marked as "Required":- Diagnosis
- Name
- Address
- Height
- Anatomical Charting
- Signature
- Referring Provider
These field labels will now also display an asterisk in their title if they are marked as "Required" so that it's easier for providers to know which fields need to be completed. If a required field is not completed, the provider will see a banner notification when trying to sign or lock the note. The provider will be prompted to complete the missing information.

EHR / Platform
- Enabled independent scroll through content using the sidebar when navigating through the EHR
- Organization page performance improvements.
- The Organization page (including the calendar) is the center point of a lot of users days on Healthie.
- We have done work behind the scenes that won't be visibly noticeable — but will provide meaningful improvements for the experience with the Organization pages (ie. loading time)
- Improved forms viewing from the mobile app.
- Removed the "Card Issues" tab from the Patient Portal so patient's will no longer view an "Unauthorized" error. Patients will no longer see this tab moving forward.
- When users reassign clients to another provider in a Sub-org from a Parent Org, the dropdown now indicates which Sub-org the provider belongs to to prevent this confusion. This change will allow for less confusion and less mistakes when reassigning clients, ultimately leading to smoother org management.
Scheduling
- The calendar zoom setting has been changed from an organizational to a personalized user setting. Users can now customize their calendar views (Week and Day) for a more tailored and flexible experience.
- Appointments should immediately update to reflect the color scheme when a charting note is added to them.
- We are now preventing providers from scheduling appointments with Archived Clients. They will need to unarchive the client before booking again.
- Updated the behavior of /organization/calendar to redirect to /organization/. This resolves issues with organization calendars displaying personal calendar data and ensures users no longer see a filtered personal view when expecting the unfiltered organization calendar.
- We’ve fixed an issue where forms attached to group appointments weren’t sent to clients if the primary provider didn’t have access to their profile at the time of booking. Forms will now always be delivered, ensuring a seamless experience for clients and organizations alike.
- Unarchiving a client when booking a session with them now saves the provider time and reduces confusion if they have to take other actions like sending them intake flows.
- Organization Calendar should show the appointments and availability for all providers selected to be displayed on that page regardless of how you navigate to it.
Chat
- Addressed an issue where patients added to a Group Appointment would be added to any associated Community Chats twice.
Journaling
- Nutrients using our Edamam Nutrient Database food logging option should be calculated the same in all views where these food entries can be viewed or edited.
API & SDK Updates

Update to Displayed Prescriptions
If you are actively prescribing medications via Healthie's E-Rx integration with DoseSpot, any prescribed medications will display on the Client Overview page of their account (in E-Prescriptions).
E-Prescriptions show separately from other medications that may have been collected from a client through an intake form or charting note.
To make it easier for you to manage patient medications, we’re updating the E-Prescriptions widget to show only active prescriptions. This means you’ll no longer see duplicate entries for refilled medications—just the most recent active prescription. If you need to view a patient’s full medication history, You can still click through the "Add & Manage" option to view a comprehensive prescription history.

We've updated the notification banner that displays upcoming appointment details. The notification now includes:
- Time of the appointment
- Appointment name
- Time remaining until appointment
- Button to join the appointment directly (for virtual appointments)
Clients will see a similar banner from their Client Portal.

The Client Profile serves as your all-in-one hub for managing client details and actions. With everything you need in one place, delivering personalized care has never been easier or more efficient.- Redesigned Client Profile: A cleaner, more intuitive layout to streamline your on-the-go workflow.
- Addition of Client Tags: Now you can leverage client tags within the mobile app to:
- Add tags to categorize clients.
- Create custom tags to fit your workflow.
- Easily remove or update tags.
- Addition of Quick Notes: Save time with a dedicated section to view and add quick notes on a client instantly.
Organization "Support" Email Address
We've added an Organization Email Address field to the Organization settings page. The email field defaults to the organization owner’s email address. This address is not visible to clients right now, but you’ll want to visit Organization > Settings and update the field with your preferred address.
You could use a catch-all address, like [email protected], or a main office email address. If you have sub-orgs, the Organization Email Address field for each sub-org defaults to the parent organization owner’s address. We recommend updating the email address as needed for each sub-org.
On December 9th, we’ll publish this address to the Get in touch page of the client portal. The email address will only be visible to clients when direct messaging is disabled—it’s not shown anywhere else in Healthie, and is not used for any other purpose.

Calendar
- We fixed the following issues within the organization calendar filter logic.
- When selecting a tag to filter by, only providers with that tag will be displayed in the calendar. If multiple tags are selected, providers with any of those tags will be shown.
- When a user filters the organization calendar by provider, if an organization member is on the group session (Whether "Provider" or "Organization member"), the session should appear in the filtered calendar.
- Improvements to the "Find a Time" booking flow in UTC timezone. Times returned by UTC should match other timezones (except the case where it causes a date cutoff ie. past 00:00h).
- Improvements to helping clients find available appointment time when self-booking; Previously, clients would see "Go to Next Month" when searching for availability. Clients will now see "Go to next availability" which will redirect them to the next available appointment date for their selected appointment criteria.
- Improvements to Calendar Syncs to reduce sync errors.
- We've ensured that the state license and tags fields are saved and updated as a part of a saved filter and your calendar view settings.
Billing
- Invalid ICD codes are now hidden from the dropdown.
- [Change Labs] Lab result bell notification now sends to the orderer of the lab.
Engagement
- Quicker loading of Edamam database for foodSearchQuery containing Meal Search (aka My Meals)
- If provider does not have allow_group_level_actions enabled within their user permissions, they will not be able to message blast or community blast multiple patients.
Documents
- Non-visible documents can now be moved into non-visible folders created by other providers.
- Resolved an issue where providers were experiencing the error 'Can't Modify Frozen String' when attempting to fax documents from within the Documents folder. This also happened if a Provider generated a PDF from a Charting Note and tried to fax it with or without uploading it to Healthie. This fix reduces the need for providers to "flatten" a document before trying to fax it.
- Improved speed & functionality when sharing a document with a large number of clients.
Reports
- We've added a new data point to our Client List report for date_archived (to indicate when a client was archived)
Charting
- We've deployed and live tested all requirements for ONC b(11)

- Resolved an issue that allowed users to create appointments through the API without a Contact Type
- Resolved an issue contributing to double booking — we update the code so that the is_at_free_slot method does not use cached responses. This will help to prevent double booking issues.

Smart Phrase Hotkeys
Healthie currently supports the use of Smart Phrases, your go-to phrases, recommendations, and responses that you can save, and quickly apply while charting.
We've introduced hotkeys you can use to access your smart phrases.
To utilize this feature:- Type "." in a charting note to open a dropdown of smart phrases.
- To find a specific phrase, type "." followed by keywords from the phrase.
Write-offs for Invoices
Healthie's Invoicing feature allows providers and administrators to send invoices to clients for specific one-time payments – like copays, client owed amounts, and specific services. . This new feature will allow you to further customize invoicing, helping you offer sliding scale, discounts, and account for financial hardship and uncollectible debt.
When creating or editing an invoice (Billing > Payments > Invoices), you will notice a new Write-offs section with a drop-down to select the Write-off reason and a field to add in the write-off amount.Collect Client-Side Cancellation Report
We’ve introduced a new feature to help you track and understand why clients cancel their appointments. You can now view client-provided cancellation reasons directly within the session details of an appointment, as well as in a dedicated Cancellation Report. This report is available under the Reports tab in the Appointments section.
This update provides your organization with actionable insights to identify trends and take steps to reduce future client cancellations.

We’ve made several updates to improve the display and functionality of the BAC metric in the journal section:
- BAC values less than 0.015 now display as 0 in the UI, while the actual value continues to be stored on the backend.
- Graph entries for BAC are now truncated to display up to three decimal places (e.g., 0.076).
- The graph’s Y-axis dynamically adjusts to range from 0 to the maximum BAC value + 0.01.
These updates ensure a cleaner, more accurate display of BAC data in both the journal and its corresponding graphs.
Update: Permissions and Notifications
This update will ensure that “Parent” permissions, which control access to other related permissions, follow the intended behavior when disabled. If you disable a parent permission, any permissions that depend on it will be automatically deselected and disabled.
Specific parent permissions that will now follow this intended behavior include:- Can View Organization Tab - disabling this permission will also deselect the following:
◦ Can view the organization calendar that includes all org members' schedules
◦ Can edit and delete appts on behalf of other members
◦ Is notified when a client for any other team member books an appointment or purchases a package
◦ Is notified via email and notification bell if an appointment is canceled by a client with any other org member.
◦ Can add members to the organization
◦ Can edit and remove members in the organization
Update: Referring Provider Client Management
We’ve updated the Clients Referred section within the Referring Provider form to improve performance and usability for large organizations.
- The "Clients Referred" section now displays a read-only view, eliminating dropdowns that could cause timeouts.
- You can no longer delete clients associated with a Referring Provider directly from this section. To delete these clients, navigate to the Main Settings area.
This update ensures smoother navigation and better performance for organizations managing large client lists.
Update: Change in Access to Sub-org Appointments for Parent Orgs
We implemented an update that impacts Parent Organizations with Sub-Organization accounts. To streamline workflows, certain actions now need to be performed directly within the sub-org. Specifically, Parent Organization members can no longer edit appointments created by a sub-org unless logged into the sub-organization account.
Parent Org members still have the ability to view appointments created by sub-org members. If you need to change the owner of an appointment in the sub-org, please reach out to Healthie support at [email protected].
We understand this may have required some adjustments to your workflow, but we believe it will improve data management and efficiency across the platform.Additional Updates

Scheduling
- Released update to allow providers to save filters on the organization calendar.
- Resolved an issue where archived providers would have any upcoming blocks marked as "Cancelled" instead of being deleted.
- Fixed issue to ensure clients (or org members booking for clients) booking a group appointment receive attached forms regardless of if the primary provider on the group appointment has access to the client profile.
- Resolved an issue where providers from a parent organization could edit appointments for sub-organizations, which caused appointment cards to malfunction. Providers from the parent organization can no longer edit sub-org appointments.
- Resolved formatting issue causing the rescheduling fields to render incorrectly.
- Fixed an issue to ensure 1:1 appointments that were canceled and later reactivated now appear correctly on the client's profile.
Charting
- Released update to allow providers to search chat setting history.
- When a user copies an Autoscored form (e.g. when viewing form template edit page, click Options > Copy), the copied form will now retain the Autoscoring functionality of the form that it was copied from.
- Fixed issue that prevented saving of the insurance policies field.
- Resolved issue to ensure parent org forms can be added to programs.
- Resolved issue to ensure there is a success message when updating to a new payment method.
- Fixed issue so that Metrics are plotted across a graph.
- Fixed an issue where medications added through forms appeared as duplicates in the Client's Profile; they now display as entered.
- Resolved an issue where completed intake forms are requested again when not present in a client's most recent intake flow.
- Fixed an issue to ensure non-billable ICD codes are hidden in the diagnosis section of the client's profile.
- Included a new informational confirmation screen when users archive forms.
- Resolved issue to allow providers to complete the goals on behalf of patients.
- Chart notes that were unlinked from an appointment will now automatically relink if they match an existing appointment, preventing errors and ensuring smooth note saving.
Billing
- Resolved an issue to ensure the provider associated with a Superbill shows on Superbill reporting.
- Resolved an issue to ensure more accurate package history.
- Fixed an issue where sending a receipt for an outside payment on an invoice incorrectly granted package credits again. Clients will no longer receive duplicate credits.
- Fixed an issue to ensure invoice templates can be created without errors.
EHR
- Blood pressure smart field will no longer be pre-populated and will remain blank until updated.
- Resolved issue to ensure that the "Download PDF" button the top-right of the Lab Results page header is displaying correctly.
- Resolved an issue to ensure Healthie correctly assign forms to clients when user group is changed from the client list page.
- Updated sent faxes to sort by date in descending order by default, ensuring the most recent faxes appear at the top.
- Resolved issue to ensure self-reported medications and drug allergies sync to Dosespot
- Fixed an issue where users with archived status could log in if certain general settings permissions were updated; archived users can no longer log in.
- When a client profile is merged into another, org members can now edit, sign, and lock the merged client's forms.
- Fixed an issue to ensure the first entry in the 'Food Intolerance/Sensitivity' and 'Food Preferences' modules can be successfully deleted without affecting other entries.
API & SDK Updates
All features added this month are also available directly via the API. In addition, we are laser focused on building a best-in-class customer experience, which includes continuously investing in, and iterating on, our developer experience.
