    Expanded Bridge Tables

    Unlock dependable access to your Healthie data — no queries required. Bridge by Healthie continuously delivers structured datasets to AWS S3 or via Snowflake Direct Share, refreshing every 15 minutes so your dashboards and models stay current.
    Bridge supports a wide range of Healthie data tables, which are documented in our Data Dictionary.

    Tags Manager Page Improvements

    Tags Manager Page Improvements

    We’ve made updates to the Tags Manager page to ensure a smoother, faster experience — especially for organizations using a large number of tags. To improve reliability and performance, we’ve introduced several enhancements:

    What’s New

    • Faster load times with pagination: The page now loads quickly and reliably, regardless of how many tags your organization uses.
    • Clear separation of tag counts:
      • Total Clients — number of clients across the entire organization assigned this tag
      • My Clients — number of clients assigned to you that have this tag
    • Sorting improvements:
      • You can continue to sort by Total Clients, Org Members, and Created By
      • Sorting by My Clients is not available, but the column is visible for context
    • Fully preserved functionality: Renaming, deleting, and reviewing tag usage all remain available with the same simple actions.

    These updates ensure that even the largest organizations can manage tags effortlessly and without disruptions.

    Account Owner Security Enhancements

    Account Owner Security Enhancements

    We’re strengthening protections around account owner profile information to improve security and prevent unauthorized updates.

    What’s changing:

    • Only the account owner can update their name, email, phone number, profile picture, or permissions.
    • Admins will now see these fields as read-only when viewing an account owner’s profile.
    • Stricter backend authorization ensures these updates cannot be modified through the UI or API unless completed by the authenticated account owner.

    These safeguards protect critical identity, billing, and recovery information and ensure data accuracy across your organization. Account owners can continue updating their own profiles as usual.

    A note for accounts with sub-orgs:
    Parent-organization admins will retain the ability to edit a sub-organization’s account owner only when accessing that sub-org through the Sub-Org tab in their parent-org account. If a parent-org admin switches into the sub-org directly, they will not be able to edit the parent organization’s account owner details.

    Simplified Chat Header

    The “Add Participants” button has been moved into the actions menu with Archive and Close. This makes the header cleaner and ensures more space for client information, while keeping all actions easy to access.

    Workflows: New Context Column

    Workflows: New Context Column

    The Workflows queue now shows Client Tags directly in the Chart Notes view. This new data points provide faster context for prioritizing and routing work — reducing the need to open individual client records while keeping existing queue behavior intact.

    Healthie AI Scribe Updates

    We continue to invest in small, high-impact improvements that make Healthie AI Scribe more accurate, reliable, and better aligned with real-world provider workflows.

    New Permission: Control Who Can View & Delete Session Recordings and Transcripts

    We’ve expanded admin controls to give organizations more flexibility in how they manage Zoom recordings and AI Scribe transcription data.

    Why it matters:

    Many teams want clear governance around who can view or remove recorded or transcribed session content. This enhancement helps practices align access with their privacy policies, supervision models, and internal workflows.

    What’s new:

    A new member-level permission — “Can delete recordings and transcripts” — is now available in the Appointments permissions section.

    • Allows designated team members to delete Zoom recordings or AI Scribe transcripts when appropriate.
    • Automatically appears when “Can view recordings and transcripts” is enabled.
    • Supports cleaner record management and stronger role-based access control.

    This update empowers admins to tailor access to their organization’s needs, promote responsible data handling, and maintain a more intentional, compliant documentation environment.

    Update to Date / Time for Scribe Generated Notes

    When converting an AI-generated Scribe note to a chart note, Healthie will use the calendar-scheduled appointment time as the date and time of service.
    The appointment's scheduled start time is the source of truth for:

    • date_of_service
    • time_of_service
      This logic also applies when a provider creates a chart note directly from an appointment (which already uses the appointment start time).

    More Scribe Updates

    • Clear AI Scribe status indicators in Session Details: The Session Details page now visually shows when AI Scribe is enabled for upcoming appointments and when it was enabled for past sessions, while omitting indicators when Scribe is not enabled for the selected appointment type.
    • Expanded support for larger context windows for larger conversations and chart notes.
    • Expanded support for copied fields in AI Scribe notes: AI Scribe now preserves copied values from additional non-Scribe field types—including complex interactive, date/time, billing, and identity fields—so prefilled data remains intact when generating chart notes.
    • View Instant Transcripts in-app: Instant Transcripts now open in a human-readable format directly within Healthie—no need to download a .vtt file. Transcripts load securely in a modal for quick review during or after a visit.
    • Architecture upgrades to improve Scribe output quality and reduce errors.
    • AI Scribe notes now generate only when at least two participants are present, preventing note creation for no-show sessions.
    • When converting an AI Scribe note to a chart note, Healthie now uses the scheduled appointment date and time as the date of service for improved documentation accuracy.
    • Matrix fields are now visible and editable in generated notes.

    Additional Updates

    • Edit Chart from Workflows: Quickly jump into editing draft or unsigned chart notes directly from the Chart Notes list within Workflows, no need to open the note first.
    • Sex on file field no longer appears on provider settings page.
    • [Programs] – Clearer completed client lists: The Clients Completed view now supports full pagination and clearer separation between individual clients and client groups, making it easier to see everyone who has completed a program module.

    API Updates

    All features added this month are also available directly via the API. In addition, we are laser focused on building a best-in-class customer experience, which includes continuously investing in, and iterating on, our developer experience. This will include updates to documentation, SDKs, Webhooks and more, throughout the upcoming months.

    • Starting 12/9, all webhook payloads will include a new resource_organization_id field to give you clear visibility into which organization triggered each event. This improves routing for multi-org setups and is fully backward-compatible—no changes needed on your end.

    Add Provider Bios to Booking Links 🎉

    Clients can now learn more about providers before booking. Healthie’s new Provider Bios feature lets each provider add a personal bio that appears during the Select Provider step, helping clients select the best match for their needs.

    • Add bios from the Organization > Members setting
    • Use formatting tools for bold, italic, underline, or hyperlinks
    • Preview bios through the provider’s scheduling link
    • Expand or collapse bios during booking for a clean view
    • Access via GraphQL for read and write functionality
      This update helps healthcare organizations build trust, personalize their booking experience, and improve client conversions.
      Bios will only display to clients when booking within organizations that have multiple providers (i.e., when clients are prompted to select a provider during scheduling). If there is only one provider on the account, the provider selection step will be skipped, and the bio will not appear during the booking process.

    Charting Refresh (Full Release)

    We’ve refreshed the Charting Edit view to make everyday charting clearer, cleaner, and easier to use. This update modernizes the Edit view’s design while keeping workflows the same. Providers will notice a more organized layout, more intuitive controls, and refinements that add up to a smoother charting experience. This release was partially deployed in September, but will now be fully live in November for all accounts.
    What’s New:

    • Refreshed layout — cleaner spacing and alignment, with each form answer in its own row.
    • Addendums, organized — add via a clear button; addendums now display in their own section, while the audit trail still records the action.
    • Share in Edit — the Share button has moved under the ⋯ (More) menu for consistency. It remains unchanged in View mode.
    • Responsive design — improved readability across laptops and mobile browsers.
    • Behind the scenes — modernized architecture for more reliable saves and proactive monitoring to catch issues earlier.

    Enhancements to Forms Behavior (Charting & Intake)

    • The “Require Client to Agree” field will now always show the standard text (“I hereby agree to the document above.”) to ensure consistency across all client forms. While custom edits were previously allowed, they never appeared to clients — so there will be no impact to your existing forms or workflows.
    • You can now add and view images more seamlessly within charting notes and forms. Uploaded images will appear below the text field for a cleaner, more consistent viewing experience across both provider and client accounts. Coming soon, we’ll extend this functionality to form templates. We'll introduce a dedicated image field that allows you to include and resize visuals like logos, reference images, or educational graphics directly within your forms.
    • You can now successfully submit or sign a form even when a required Open answer (long) field contains only image attachments (no text). This update removes the “Can’t be blank” error and ensures smoother submission for forms and charting notes that rely on visual uploads. Providers can now include reference images, documents, or client visuals in place of written text — no unnecessary errors or workflow interruptions.

    Insurance: Navigation and Filtering Updates (Full Release)

    Insurance workflows now have a dedicated home in your main navigation — making it easier to manage claims and related tools. This update will be made to all customer accounts in November.
    Key updates:

    • CMS-1500s will be moved from Billing to the new Insurance section.
    • Filters have been updated to match Healthie’s design system.
    • A provider filter is now available for CMS-1500s.
      Coming soon:
    • Insurance Payments tab for tracking payments and future insurance management tools
      These updates simplify navigation and prepare the platform for expanded insurance capabilities.

    New: Data Exports with Bridge by Healthie

    Update to Office Ally Integration Settings

    We’ve made a small update to where you’ll manage your Office Ally integration within Healthie. This is a UI-only change designed to make settings easier to find and maintain. There is no impact to your current workflow if you already use Office Ally.
    What’s changing

    • You’ll now enable Office Ally directly from the Integrations page.
    • The former “Submit claims to Office Ally” setting has been removed from Insurance Settings to reduce duplication.
    • User permissions for sending claims remain exactly the same. Admins can continue to manage which team members can submit claims to Office Ally.
      What’s not changing
    • No changes to the way claims are sent or processed.
    • No action required from your team.
      This update simply streamlines where these settings live in the platform and ensures a more intuitive integration experience.
      No longer supported

    Clearer Product Roadmap: New Status Labels

    We're making a small but meaningful update to how we communicate our product roadmap to you.
    What's changing?
    We're simplifying our roadmap status labels to make it easier to understand where features are in our development process:

    • Under Consideration → "Exploring" (No timeline) – Items being researched and validated. We're gathering feedback and assessing feasibility.
    • Long Term → "Later" (6+ months) – Planned for future development but not yet scheduled. We're committed to building this, but it's not in our immediate pipeline.
    • Up Next → "Next" (3-6 months) – On our roadmap with a near-term timeline. These will move to "Now" soon.
    • In Development → "Now" (0-3 months) – Actively being built by our engineering team. Expected to release soon.
    • Released → "Released" (no change) – Features that have shipped and are available to customers.
      Why?
      We heard your feedback that our current labels could be confusing. The new structure creates a clearer timeline and better sets expectations about our commitment level at each stage.
      As we finalize our 2026 roadmap, we're also using this opportunity to refresh the roadmap to ensure accurate statuses and timelines. You may notice some changes as we align features with our current priorities and development capacity.
      What you need to do:
      Nothing! All your subscribed items will automatically transfer to the new system. You'll continue to receive notifications when features you care about move forward.

    • Improved handling of recurring appointments and time blocks for Healthie Calendar.
    • Office Ally integration must be enabled from the Integrations page, activation is no longer supported from Insurance Billing settings.
    • Insurance Policy Filtering for Client Self-scheduling: When clients use a self-scheduling link and select an insurance policy and choose “No Preference” for a provider, the time slots display for only those providers who accept that insurance policy. Previously when selecting "No Preference", the time slots displayed for all providers in the link, even those who don't accept the selected insurance. As a result, clients could erroneously book with providers outside their coverage.
    • The red "current time" indicator on the organization calendar now reflects the timezone you've selected, rather than your computer's local timezone. This enhancement ensures you can accurately view the current time across timezone - making it easier to schedule appointments and coordinate care.
    • Appointment Request Email Notifications: Providers with notifications enabled will now receive a “New Appointment Request” email whenever a client submits a request — ensuring timely visibility without needing to manually check the Appointment Request list.

    API Updates

    All features added this month are also available directly via the API. In addition, we are laser focused on building a best-in-class customer experience, which includes continuously investing in, and iterating on, our developer experience. This will include updates to documentation, SDKs, Webhooks and more, throughout the upcoming months.

    • [API] Safeguard when archiving users with API keys
      Archiving a user already revokes their API keys. With this upcoming update, the API will raise an error if the user being archived has active keys. To proceed intentionally, add the new parameter bypass_api_key_warning: true to your API call. Please update your workflows before enforcement begins on November 3, 2025 to avoid disruptions.

      We'll enable AI Scribe for you within two to three business days. We'll send an email to let you know when it's ready to use.
      AI Scribe won't run immediately on existing appointments when we turn it on. There's no risk of Scribe showing up unexpectedly in Zoom sessions, and we only bill for usage when Scribe is running and in use on appointments.

    Auto-Billing for Copays, Deductibles, and Coinsurance

    Let Healthie handle patient responsibility — automatically.
    You can now configure Healthie to automatically charge or invoice clients for patient responsibility amounts (copays, deductibles, and coinsurance) tied to insurance-based appointments.

    How it works:

    • Set the Patient Responsibility Billing Method in a client’s insurance policy (copay, deductible, or % coinsurance).
    • Enable Auto-Charge or Auto-Invoice in the appointment.
    • Once the appointment is marked Occurred, Healthie will trigger the charge or generate an invoice.
      This update reduces manual follow-up, improves cash flow predictability, and enhances the patient billing experience.

    Seamless Note Creation + Appointment Updates

    We’ve enhanced appointment workflows so that providers can now create notes and save appointment details in one seamless step — no need to return to the calendar.
    Key improvements:

    • Update appointment status, duration, or price directly within appointment details
    • Click Create Note and your changes save automatically
    • Navigate straight into the client’s record to complete documentation
      This enhancement streamlines charting by reducing duplicate steps and clicks, helping providers stay focused on care instead of navigation.

    A Clearer Way to See Every Session: Appointment Details

    We’re rolling out a new Appointment Details Page that brings everything about a session into one, read-only view — eliminating the need to toggle between workflows.
    From Workflows > Appointments > View Details, you’ll soon find:

    • Session info: appointment type, client, provider, date/time, and contact method
    • Billing details: self-pay vs insurance, CPT codes, CMS-1500 claims, invoices
    • Documentation: chart notes linked directly to the appointment
      This update gives providers more clarity while creating a structured foundation for billing and reporting.

      This is the first step toward supporting asynchronous care and building the foundation for Episodes of Care.

    Under the Hood: Encounters & Episodes of Care

    To support longitudinal, patient-centered care, we’ve also introduced two new backend concepts:

    • Encounters (live today): Every time an appointment is marked as occurred, Healthie now automatically generates an Encounter object in the backend. This ensures every billable interaction is consistently captured and reportable.
    • Episodes of Care (via API): Through the API, you’ll soon be able to bundle multiple encounters into an Episode of Care — adding a title, start date, and end date to represent a structured patient journey (e.g., a 3-month PT program or 6-month chronic care plan).
      Why It Matters
    • UI: Providers get a clear, consolidated view of every appointment.
    • API/Backend: Organizations and developers gain a framework for interoperability, value-based care models, and longitudinal reporting.
    • Future-proofing: These are the first steps toward supporting asynchronous care and more advanced care workflows.

    🌱 Care Plans Just Got More Flexible

    You can now add custom recommendation types to Care Plans — like Therapy, Breathwork, or Mindfulness — to reflect your unique care model. This enhancement gives care teams the flexibility to personalize treatment plans, improve client engagement, and scale programs with structure that truly fits their approach.
    From the new Care Plans Settings tab, you can:

    • Add, edit, or archive custom recommendation types
    • Use them seamlessly in templates and client-facing views
      Tailor care delivery to your team’s language and treatment style, all within Healthie.

    Recurring Charge Reminder Emails

    Clients on recurring packages will now have the option to receive an automated email 24 hours before their next scheduled payment, including package name, billing frequency, and charge date.
    This helps clients stay informed, avoid surprise charges, and update payment details if needed — while reducing failed payments and billing support for providers.
    Clients can enable this email in their Settings > Notifications > Recurring charge reminder.
    By default, this setting will not be enabled for clients. They will need to go into their Notifications and enable it if they want to receive these payment reminder emails.

    Organization Calendar Enhancements

    We’ve modernized the Organization Calendar to make scheduling smoother, faster, and more intuitive for administrators and providers.
    Key updates:

    • Type-ahead search in the top bar quickly opens any provider’s calendar
    • The calendar’s date range is now more prominent for clearer context
    • Provider names in Day view are clickable to open provider view
    • Location and room details are cleaner and easier to scan
    • Calendar and Availability controls have moved from the left panel to the right
    • A thin red line now indicates the current time directly on the calendar
    • A new zoom setting displays the calendar with 20-minute increments.
      Coming soon:
    • Wider calendar display and relocated saved filters in the top bar
      These updates reduce clicks, improve visibility, and make daily scheduling workflows more efficient for teams.

    Enhancements to Appointment Request Status Tracking

    Appointment Requests now include status tracking to make it easier to manage incoming requests from start to finish.
    How it works:
    When a client doesn’t find a suitable time while self-scheduling, they can submit an Appointment Request for an alternative. Staff can schedule directly from the request and now choose whether to close it or leave it open after scheduling.
    Key updates:

    • Appointment Requests remain open until manually closed (scheduling no longer auto-closes)
    • Selecting a proposed time pre-fills the scheduler for faster entry
    • The Appointment Requests list now includes client phone numbers and expandable request details
    • Requests can be filtered by open or closed status
    • All requests are retained for future analysis
      Coming soon:
    • Appointment Requests Dashboard with metrics such as time from client join to first appointment and time to request closure

    Insurance: Easier Navigation and Organization

    Insurance workflows now have a dedicated home in your main navigation — making it easier to manage claims and related tools.
    Key updates:

    • CMS-1500s will be moved from Billing to the new Insurance section.
    • Filters have been updated to match Healthie’s design system.
    • A provider filter is now available for CMS-1500s.

      These updates simplify navigation and prepare the platform for expanded insurance capabilities.

    Tasks Redesign & Ability to Assign Tasks to Multiple Providers

    We’ve redesigned Tasks to make team collaboration, organization, and accountability easier than ever.
    Key updates:

    • Assign multiple team members to a single task for shared accountability
    • Edit, delete, and complete tasks inline wherever they appear (My Tasks, Client Overview, Quick Profile, etc.)
    • The My Tasks badge now matches your true task count
    • New card layout on the Tasks page with quick sort and advanced filters (status, assignee, creator, client, due date)
    • Completed tasks can be archived and viewed later with “Show Archived”
    • Bulk complete multiple tasks at once (for users with full task permissions)
    • Task reminders now send reliably, even when no client is associated
      These improvements create a more collaborative, efficient workflow — helping teams stay organized and focused on delivering great care.

    Redesigned Quick Profile

    We’ve redesigned the Quick Profile to make charting, reviewing details, and managing clients faster — without changing how you access it.
    Key updates:

    • Redesigned header displays Client ID and tags for quick identification
    • Default-on Vitals section (height, weight, blood pressure, temperature, oxygen saturation) is collapsible for quick scanning
    • Insurance policies can be added, edited, and verified directly from Quick Profile
    • Appointments can be toggled between upcoming, past, and didn’t occur; tasks are editable inline
    • Pediatric profiles now display exact age (weeks/days up to 2 months, then months), plus parent/guardian links
      Organization Owners can fully customize which components appear and in what order under Settings → Client Profile → Quick Profile

    Improvement: Org Membership Tag Filters

    Tag filters on the Org Membership page will now use AND logic, returning only users who match all selected tags.
    Production rollout for this update begins next week.

    • New users will now see a default free text form, and organizations will only receive a global free text form if one doesn't already exist for them. Providers will have their own Free Text form in their forms list.
    • We’ve improved how custom module forms are managed across organizations by moving ADIME and Free Text forms from a shared, global setup to organization-specific versions. This update ensures your forms are consistent, reliable, and easier to maintain, while preserving existing data and preventing duplication. By giving each org its own version, you gain greater stability and flexibility in customizing forms for your workflows—without the risk of conflicts from global changes.
    • Fixed an issue where creating a new CMS 1500 automatically prefilled Box 22 with information from a previously resubmitted claim. Now, Box 22 will be blank when a new CMS 1500 is created, preventing incorrect resubmission data from carrying over.

    We’ve added a “Joining Instructions” link in the Session Details view for appointments with a Zoom meeting. This provides quick access to a help resource so providers can troubleshoot and join sessions smoothly — reducing delays and ensuring calls start on time.

    A Faster Way to Manage Client Info

    We’ve updated the Actions Tab in the Client Profile to help you view and update client information more efficiently—reducing clicks and eliminating the need to navigate away from the page.

    What’s New:

    • For sections like Addresses and Allergies, you can now quickly add new entries using the streamlined “Add” button within each section.
    • Edit, delete, and manage existing details via a consistent three-dot menu across all sections.
    • All updates now open in a side panel on the right, so you can stay focused on your workflow without losing your place.

    Quick Profile Customization

    We’ve introduced a new Client Profile customization setting in Settings that lets Organization Owners decide which components appear in both the Client Overview and Quick Profile, and in what order. The first phase of this rollout starts with Quick Profile customization.

    The Quick Profile appears alongside charting and note-taking workflows, giving clinicians at-a-glance client context. Now, Organization Owners can:

    • Choose which components display in the Quick Profile
    • Reorder sections to match fast-paced clinical workflows
    • Surface the right information at the right time for more efficient charting

    Customize the Client Overview

    We’ve introduced a new Client Profile Settings section in Settings that allows Organization Owners to customize which components appear in the Client Overview and Quick Profile, and in what order.     • Client Profile Settings
      A new tab in Settings > Client Profile gives Organization Owners control over what’s displayed across client views.

    What’s Included:

    • A combined view of self-reported and e-prescribed medications

    Your account includes the "System Default" letterhead, and new custom versions can be added and set as default as desired.

    • Clicking the icon and selecting Contact Support will open a new Help panel where users can:

    • The Quick Profile will now automatically open when creating a new chart note from the client's charting notes page, providing a consistent experience with creating notes from the Charting tab.
    • Enjoy enhanced date and time selection across the platform! You can now select dates using a date picker or by typing, with specific updates to Service Date, Group Charting client notes, and separate date/time fields. Additionally, the date of birth field now utilizes the improved date picker.
    • Members can no longer upload documents into shared folders if their "Can modify folders and documents shared within your organization" permission is disabled. This prevents unauthorized users from adding documents to folders.
    • Clients are now correctly added to and removed from group appointments when changes are made to the client list within a user group. Previously, clients were not automatically removed from recurring group appointments edited.
    • Now, when filtering the Organization Calendar for a specific provider, group appointments where that provider is listed as an "Organization Member" are included in the filter results. Previously, these appointments were not displayed.
    • Improved Chat Button Behavior in Quick Profile
      We’ve updated the Chat button in Quick Profile, so it now works just like the Chat button in the main Client Profile. Even if you don’t have a direct conversation with a client, clicking the Chat button will take you to the Organization chat view filtered for that client (when you have permission to see those conversations). This ensures a consistent experience when starting or finding chats from any profile view.
    • Consistent Diagnosis Code Order in Chart Notes
      We’ve fixed an issue where diagnosis codes in chart notes could appear in a different order than in the client’s profile. Diagnosis codes will now display consistently, making it easier to review and reference information across the platform.
    • View Chat Images Without Errors
      We’ve fixed an issue where opening an image from chat in a new browser tab could sometimes cause an error. Images in chat will now open in a popup viewer, allowing you to see them full-size (with scroll bars if needed) without disruption.
      Note: Images will no longer open in a new tab, since they will expire due to security concerns.

    Assign Insurance to Providers for Streamlined Booking

    We've introduced new functionality to filter providers by accepted insurance plans — making it easier to connect clients with in-network providers during booking and scheduling. This enhancement streamlines insurance management workflows by integrating filtering directly into both the client booking experience and organizational calendar views.

    What's New

    • Client Booking Flow: Insurance-Based Filtering
      • Clients can now filter to see only in-network providers by selecting their insurance plan during booking
      • When enabled, clients are prompted to select their insurance at the start of the booking process and will only see providers who accept that specific plan

    Organization Calendar: Insurance Filtering

    • New "Insurance Accepted" filter allows you to view providers by accepted insurance plans in your calendar
    • Quickly sort and identify which providers accept a specific client's insurance when scheduling appointments

    Step 1: Configure Insurance Accepted at the Org Level
    Add your accepted insurance policies in Settings > Organization > Insurance

    Step 2: Assign Insurance to Providers

    Your CPT Codes, Smarter. Everywhere You Need Them.

    Simplify billing by managing your CPT codes in one place — and automatically use them across claims, superbills, and appointment types.
    Starting next week, we’ll begin rolling out a major improvement to how CPT codes are managed and used in Healthie:

    ✅ What’s New:

    • The CPT Codes you add to your Services page will now drive your experience across Healthie. Once added, these codes will appear in:
      • Appointment Types
      • Superbills
      • CMS 1500 Claims
    • The legacy CPT Code Favorites experience will be deprecated.
      • Previously, CPT Code Favorites were limited to CMS 1500 claims only. With this change:
      • You’ll no longer see the full CPT code drop-down or your old favorites
      • You’ll only see CPT codes that you’ve added to your Services page

    Once you've added your CPT Codes and Rates to your Services page, you'll be able to:

    • Update to API Folder Permissions
      We’ve made an important update to how document upload permissions are enforced for API users. Going forward, API users will only be able to upload documents into shared folders if they have the “can modify folders and documents shared within your org” permission enabled.
      • If you notice that uploads are no longer working as expected, we recommend checking this permission setting by navigating to: Organization > Member Permissions > Shared Organization Resources.
      • This update helps ensure more secure and intentional access management across shared folders.
    • Improved folder permissions for API users:
      Organization members without edit access can no longer upload documents via the API into folders shared with them — ensuring stricter permission enforcement and data integrity.
    • We’ve added a short delay to the appointment.updated webhook to ensure updated Zoom links are included when an appointment is converted to a recurring series. This prevents stale data from being sent.
    • You can now pass an argument to bulkUpdateClients to disable patient.updated webhooks. This is useful for large migrations where webhooks may cause performance issues. By default, webhooks are still sent unless explicitly suppressed.

    You’ll notice that the Reports tab in your sidebar navigation is now called Visualize. This update reflects a refreshed layout that makes it easier to explore your data and identify meaningful trends.

    We've improved the design of the Allergies and Diagnoses sections on the Client Actions Tab to help you quickly scan and review critical client health information. There is no functionality change as part of this update.

    What's New

    Status Indicators: Both sections now use status chips to clearly display active vs. inactive items, making it easier to identify relevant information at a glance.

    Responsive Layout: Improved design adapts when you adjust your browser window size for optimal viewing.

    Allergies and Sensitivities Section:

    • Allergy severity and reaction details are now combined in one column, reducing the time needed to assess allergy risks.

    Diagnoses Section:

    • Primary diagnoses now display with a special icon, helping you quickly focus on the most important health conditions.

    These design improvements help you access critical health information more efficiently during care delivery.

    Refreshed Sub-Org Creation Form (Design Update Only)

    We’ve given the Create Sub-Organization form a visual refresh! While functionality remains the same, you’ll notice a cleaner, more consistent design that improves usability. Longer tool tips have been replaced with streamlined text and helpful links to documentation—making the form easier to scan and complete. Learn more about sub-organizations.

    Updated Appointment Details Experience (In Progress)

    We’re rolling out an updated Appointment Details experience that’s cleaner, more intuitive, and built for what’s next. While the interface will feel familiar, you’ll notice a more organized layout—and a rename from Session Details to Appointment Details.

    • Faster Navigation: Improved load time and responsiveness
    • Streamlined Layout: Key info is easier to review and edit
    • Future-Ready: Built on modern code for performance, scalability, and upcoming enhancements

    New Stripe Fee for Countering Disputes

    Stripe will now charge a $15.00 fee when you counter disputes, initiated 6/17/2025. If you win, this fee will be returned. The existing $15.00 dispute fee, charged each time you receive a dispute, is not changing. Per Stripe documentation, this newly introduced fee is due to increased fees from card networks for handling disputes. You can read more here.

    Updated label from “Note Type” to “Chart note template”

    To reduce confusion, the Create Charting Note modal now uses clearer language—“Note Type” has been updated to “Chart note template” to better reflect what template providers are selecting.

    Scheduling:

    • We've resolved an issue where location and room info weren't properly cleared when switching an appointment or availability from in-person to virtual. Now, virtual appointments and video call availability blocks will no longer retain or display outdated in-person location details. No changes to workflows or settings—just a more accurate experience.
    • Fixed an issue to ensure that client groups remain correctly assigned when saving updates to a group appointment.

    EHR:

    • Update to Video Call Options for Group Appointments — we’ve refined the video call setup experience for group appointments! Now, only the video call methods configured for your account—Zoom and/or External URL—will display. This helps ensure the correct option is selected and avoids confusion from seeing unavailable choices.
    • We’ve fixed an issue in the Form Builder where long question labels hid the delete button—labels are now truncated so the button stays visible.
    • We've resolved issue where 'intake flow complete' emails were not sent when only one form was attached; emails now send regardless of the number of forms.
    • Improved Photo ID Form Behavior in Intake — we've updated the Photo ID form to better guide clients through the intake process. If a photo ID is required, the option to indicate "I don't have a photo ID" will no longer appear, and clients must upload a valid ID to move forward. If a photo ID is not required, clients can now proceed without uploading one. This ensures a smoother and more accurate intake experience.
    • Removed the Insert/Edit Media option from the Open Answer (long) field in Form Builder—use the dedicated Video field to add videos to your form.
    • Field order changes in templates no longer affect existing client forms. Updating field positions in a form template will no longer reorder fields on existing client forms or chart notes. This ensures form layouts remain consistent, even if the template is edited later.
    • We’ve improved how PDF documents are processed when sending faxes—no more manual flattening required! PDFs are now automatically converted behind the scenes for smoother, error-free faxing.
    • Updated fax delivery timing so received faxes now arrive every 15 minutes instead of only on the hour.
    • We’ve refreshed the “Add Organization Member” modal to match Healthie’s latest design standards. No functionality changes—just a cleaner look, more consistent layout, and a shortened tooltip.

    Engagement:

    • To improve security, iFrame HTML is now restricted in chat messages (e.g. via API and via the UI), unless they are from specific whitelisted websites (YouTube, Vimeo, and Loom).
    • Improved chat behavior so new conversations now appear instantly in the sidebar and are auto-selected without needing a refresh.
    • Updated Smart Phrase behavior to ensure selected phrases are inserted without adding an extra paragraph break, whether clicked or selected with "Enter."
    • To reduce confusion, the Create Charting Note modal now uses clearer language—“Note Type” has been updated to “Chart note template” to better reflect what template providers are selecting

    Billing:

    • We’ve updated CMS1500 behavior to ensure that CPT codes don’t prefill on a client’s first form unless explicitly added. This helps prevent unintended codes from being submitted on claims.

    API Updates

    All features added this month are also available directly via the API. In addition, we are laser focused on building a best-in-class customer experience, which includes continuously investing in, and iterating on, our developer experience. This will include updates to documentation, SDKs, Webhooks and more, throughout the upcoming months.

    • Additional webhooks for Zoom — send a webhook with a Zoom recording starts or stops.
    • API Support for Multiple Clinic Locations in e-Rx Order - Organizations interacting with Healthie exclusively through the API may require that prescriptions be routed through a specific clinic location — especially when proximity to a pharmacy is a key factor.     Faster Entry for Custom Medications

    We’ve streamlined the workflow for adding custom medications. Now, if a medication isn’t found in our database, you can enter it directly—no need to retype or use the “Add Custom Medication” option. This update reduces repetitive typing and makes it quicker to document medications that aren’t in the system.

    Improved Visibility in the Personal Information Tab for Sub-Orgs

    We’ve made updates to the Personal Information tab to improve clarity when managing clients across sub-organizations.

    What’s new:

    • Selected values now always display, even if the assigned Provider, Care Team Member, Group, or Referring Provider belongs to a different organization than the current user.
    • The Provider field continues to show options from the user’s org, making it easy to reassign clients across orgs.
    • Fields like Care Team Members, Groups, and Referring Provider now show options based on the client’s org, ensuring the correct information is always visible.

    More Granular Permissions for Group Form Sending

    We’ve updated permissions to give teams more control over who receives group form requests.

    • Now, if a team member has the permission “Can do group-level actions” enabled but not “Can search across all clients in the organization,” any forms they send to a group will only be delivered to clients they are directly assigned to—either as a provider or care team member.
    • Previously, forms sent to a group would go to all clients in the group, regardless of provider assignment.
    • This change ensures tighter data access and improved client privacy.

    Notification Bell Behavior Update: Clearer Seen vs. Read Distinction

    We’ve updated how notifications behave within the bell icon for a more intuitive experience.

    What’s changed:

    • Clicking the notification bell now marks all notifications as seen, which clears the red badge counter—but does not change the background color of notifications.
    • Notifications will only be marked as read (background changes from blue to white) when:
      • You click on an individual notification
      • You click the new “Mark All as Read” button (renamed from “Mark All as Seen”)
    • For multiple notifications related to the same source (e.g. a single chat), clicking one will mark all related notifications as read.
    • The “Mark All as Read” option will only appear when there are unread notifications.

    Reminder on terminology:

    • Seen = Notification tab opened (no background change, clears red badge)
    • Read = Notification clicked or explicitly marked as read (background changes from blue to white)

    This update ensures clearer distinction between seen vs. read notifications and creates a more intuitive experience for users.

    Clients Can Self-Cancel Recurring Packages

    In alignment with the FTC’s new “Click-to-Cancel” requirement, Healthie is enhancing recurring package functionality to help providers stay compliant with evolving consumer protection standards.

    Effective May 12, 2025, clients will be able to cancel future automatic payments for recurring packages directly from their client portal.

    Clients can now:

    • Stop future automatic payments for recurring packages at any time via their portal (on web, not from the mobile app).
    • Receive confirmation via email and in-app notification

    Additionally:

    • Organization owners will receive a notification when a client stops recurring payments

    Here are some best practices to ensure your business continues to run smoothly with this change:

    • Review and update your financial policies – Be clear on your package purchase terms (ie. minimum notice, refund policy) and include them in:
      • Your recurring package descriptions
      • Your intake paperwork or signed agreements
    • Review your client packages – Review how you’ve structured your package and the renewing items (if included). You’ll find an overview of the packages feature here.
    • Communicate clearly with clients – Set expectations on what happens when a subscription ends (ie. loss of access, final session use, billing end date).
    • Quickly address cancellations – Since account owners will receive a notification when a client stops future automatic payments, you can quickly follow up, offer alternatives, or gather feedback.

    This change is designed to promote transparency, protect clients, and support your business in maintaining compliance. We also recommend you review the FTC “Click to Cancel” fact sheet and policy for further guidance.

    Improved Access to Signed Chart Notes Across Parent & Sub-Organizations

    We’ve resolved an issue that previously prevented sub-organization providers from viewing signed chart notes created by parent organization members. Now, if a provider in the parent org signs a note for a client in a sub-org, sub-org members will be able to view that note—provided they have access to the client’s profile.

    Please note: Sub-org members will not be able to remove signatures from notes signed by parent org providers. If edits are needed, we recommend reaching out to the signing provider to request changes or to remove their signature to restore the note to an editable state.

    New: Balance Due Column in Invoices Tab

    You can now quickly see what’s still owed on an invoice with our new Balance Due column. This column factors in the total billed amount, any payments received, and write-offs—giving you a clear view of the remaining balance at a glance.

    New Billing Tab: Keep Track of Client Disputed Charges

    It’s now easier to stay on top of client-initiated charge-backs with the newly launched Disputes tab in your Billing dashboard. This update gives you more visibility when a client initiates a charge-back (a dispute of services or charges).

    Here’s what you’ll see:

    • A centralized view of all charge-backs associated with your account
    • Status updates and next steps clearly outlined
    • Notifications to alert you when action is required

    Since Healthie integrates with Stripe on the back end, you won’t submit your evidence directly through Stripe—but we guide you through what’s needed and handle the submission on your behalf. By acting quickly when a dispute is opened, you can help ensure valid charges are protected and funds are retained.

    Mobile Release 15.2.1

    • Enhanced Profile Settings — Clients can now update their personal information directly from the Healthie mobile app. The new Profile Settings (Settings > Account) screen allows edits to:
      • Preferred and legal first name
      • Last name
      • Gender, sex on file with insurance, and pronouns (including custom options)
      • Email and cellphone number
      • Credentials
      • Password
    • Update Reminder Prompt — To ensure you’re always using the latest version of the Healthie app, users will now see a reminder to update if a newer version is available. This prompt appears when opening the app, helping you stay up to date with the latest features and fixes.
    • Appointment Cancellation Reasons — Clients cancelling an appointment in the Healthie app will now be asked to select a reason for cancellation. Options include:
      • Scheduling conflict
      • Illness or medical issue
      • Personal or family emergency
      • Financial concerns
      • No longer needed
      • Other
    • We've fixed an issue where patients could schedule in-person appointments without an assigned location. Now, the system will ensure that every in-person appointment is correctly tied to a specific location (appointment_location_id) for a smoother experience. This issue was implemented via changeset.

    NEW! Receive & Manage Appointment Requests

    Healthie’s Appointment Requests feature makes it easier than ever to capture interest from both new and existing clients—even when your calendar is fully booked! By allowing clients to request specific dates and times (even if there’s no availability), you can stay organized, avoid missed opportunities, and simplify scheduling all within Healthie.

    This feature works differently than our waitlist for group appointments, which is designed specifically for group sessions. Instead, Appointment Requests let clients—or new clients—submit a request for an individual appointment, essentially creating a personalized waitlist for availability.

    With this tool, you can easily manage appointment requests, turn interest into confirmed visits, and grow your client base without the hassle.

    Turn Appointment Requests ON in your account by heading to Settings > Appointments > Appointment Requests.

      • Failed payments will no longer generate receipts, preventing confusion and ensuring only completed transactions are documented.
      • We've resolved an issue that could result in duplicate charges when a client's recurring payment date was updated. With this fix, clients will now be charged and invoiced accurately—on the same adjusted date—ensuring a smooth and consistent billing experience.
    • Charting
      • You can now easily view nutrition details directly in the journal entry summary—making it simpler to track key information at a glance.
      • We’ve resolved an issue where invalid dates in the Medication field caused chart notes to become inaccessible. Now, if an invalid date is entered, the field will simply appear blank—ensuring you can always view and edit chart notes without disruption.
      • Healthie now displays a clear message when you try to share a Program that was originally shared with you: “Cannot reshare a course that was shared with you.” This update helps clarify why the action isn’t permitted and ensures Programs can only be shared by their original creators.
      • Users are now redirected to the client charting note page from the client search bar even if they are on already on a different chart note page.
      • To make it easier to differentiate between similar email addresses, we’ve added hover-to-view functionality when merging client accounts. Now, if an email address is too long and gets truncated, providers can simply hover over it to see the full address—helping prevent errors and ensuring the correct contact is selected.
    • Scheduling
      • Appointments that were changed from Cancelled to Late Cancellation now appear correctly in the Appointment Report. The report will reflect each appointment’s current status, ensuring more accurate tracking.
      • Dates across the platform now consistently reflect your account’s set timezone, rather than the timezone of the user’s device—ensuring greater accuracy and consistency.
      • We have enhanced the calendar's usability by displaying external appointments when the "No Status Set" option is selected in the Status filter. Remember that the "Synced Appointments" option must also be selected.
    • Other
      • We’ve fixed an issue where Weekly Goal reminder push notifications were incorrectly appearing as emails in the client’s notification history. Now, these reminders will correctly display as push notifications, ensuring consistency between the type of notification sent and what’s shown in the client’s history. This change improves clarity and aligns notification records with actual delivery methods.
      • Clients using the Healthie mobile app will now receive a push notification 5 minutes before their scheduled appointment—when providers enable the “A reminder 5 minutes before a scheduled appointment” setting. The notification reads: “Your session is starting in 5 minutes,” — clients can manage these notifications via their device’s settings if they prefer not to receive them.
      • Full white labels can use alt logo for their sign in page.

    API Updates

    All features added this month are also available directly via the API.     Delete Locations & Linked Availability Update

    We're excited to announce the launch of our latest update. Now, when you delete locations from your Organization Calendar, any linked availability will be removed automatically. This change helps keep your Locations list current by ensuring outdated time slots are eliminated.
    Please note that while availability will be removed, existing appointments remain unaffected. Be sure to review your upcoming availability before deleting a location to reassign any scheduled time slots if needed.

    View Rejection Reasons Directly Within Healthie Claims

    Managing rejected claims just got easier. Healthie now displays detailed claim rejection and denial reasons for customers using our Claim.MD integration, helping you take faster, informed action.

    • Real-time claim status updates — See clear statuses like “Rejected by Clearinghouse” or “Denied by Insurance” right within your CMS 1500 claim view.
    • Understand why a claim was rejected — Click into any rejected claim to view remark codes and payer messages (e.g., OA 109 - “not covered by payer”), giving you full visibility into what needs to be corrected.
    • Quickly make corrections and resubmit — With greater clarity on rejection reasons, you can correct and resubmit claims faster, minimizing delays in reimbursement.

    Updates to the Provider Self-Signup Workflow for E-Rx

    Healthie offers a E-Rx integration with Dosespot which enables clinical providers to prescribe medications electronically on behalf of their clients. For accounts that are setup with the integration, your providers can more easily set themselves up with E-Rx.
    Within a client profile the provider will see the option to Connect E-Rx if the following criteria are met:

    • The organization has been set up with DoseSpot self sign-up by the Healthie team
    • The current user has DoseSpot Self Sign up permission enabled for their user (by an admin within their account)
    • The user does not have an active DoseSpot login

    Providers will be prompted to complete the required information to configure their E-Rx profile, and for validation purposes by Dosespot.

    Archived Clients Won’t Receive “New Forms to Complete” Emails

    We’ve updated our email logic to prevent archived clients from receiving “New Forms to Complete” emails if their client group is changed and a new intake flow is assigned.
    Previously, archived clients could receive form reminder emails if their group was updated post-archiving. This no longer happens for the "New Forms to Complete" email.
    This update only applies to this specific email type. Archived clients may still receive other types of notifications from Healthie at this time.

    Updated: A Cleaner, More Intuitive Calendar Experience

    We’ve refreshed the look and feel of your calendar to make it easier to navigate and use every day. While the core functionality remains the same, you'll notice the following visual changes:

    • You’ll notice a new, modern header across both Organization and Provider calendars, along with simplified Week, Month, and Day views.
    • Filtering is now more intuitive with a redesigned multiselect experience and consistent buttons throughout.
    • We’ve also improved tooltip readability—making it quicker to get the information you need at a glance when you hover over an appointment on the calendar.

    Enhanced Branding for Full White-Label Accounts

    Full web white-label customers can now take their branding even further with Enhanced Branding. In addition to setting primary and secondary brand colors, you can now customize 12 additional color values—covering buttons, hover states, input fields, and more. This update enables full control over the look and feel of your Healthie experience, including the ability to update the signature “Blue Button” seen across the platform.

A new "Jump to Issue" button now appears in a sticky notification banner when validation issues—like required fields left blank—are detected. This update makes it faster to identify and resolve charting errors without manually scanning the entire note.

    Previously, when an organization member applied filters on the client's Charting Notes page, those filters would not persist when closing a note tab from the Edit view (ie. by locking the note or clicking the X button).
    With this update, filters applied on the Charting Notes page will now persist when the provider returns to the View page after editing a chart note (ie. after signing, locking, or clicking Save & Close) — for more streamlined charting workflows.
    Charting Notes filters include:

    • Note Type (Charting, Intake, or Program)
    • Charting Statuses (Signed, Unsigned, Locked, Unlocked)

    Configure Contracted Payer Rates by CPT Code

    We’ve updated how Intake Flows are assigned when clients are moved between providers or groups, ensuring they receive the correct onboarding experience. When a client is assigned to a new provider or client group with a different default Intake Flow, they’ll now automatically receive that Intake Flow—even if they’ve already completed a different one.
    Examples of updated behavior:

    • If a client completes Intake Flow A and is then assigned to Provider B (whose default is Intake Flow B), the client will now receive Intake Flow B.
    • If a client completes Intake Flow A and is then assigned to a Client Group with Intake Flow B, they will now (correctly) receive Intake Flow B as well.
      This fixes previous inconsistencies where clients did not receive updated intake forms after being reassigned.

    Required Conditional Fields No Longer Block Submissions When Re-Hidden

    We’ve addressed an issue affecting both charting notes and forms, where users were unable to submit if a required field—revealed by conditional logic and then re-hidden—was still holding a value. Now, when a required conditional field is re-hidden, its value is automatically cleared (set to nil).
    This allows users to:

    • Save, Sign, Sign & Lock, or Lock a charting note
    • Submit a form even if a required field was temporarily exposed and then hidden again.
      Previously, the hidden field’s value was retained, which caused submission to fail.

    Add Addendums to Signed (But Unlocked) Notes

    You can now add an addendum to any chart note that has been signed, regardless of whether it’s locked. This enhancement gives providers the flexibility to append important updates, clarifications, or corrections—without needing to remove a signature or modify the original signed content. The original note remains unchanged, and all addendums are tracked in the note’s history for full transparency.

    We’re launching a new section in Healthie called Workflows —built to give providers and administrators a clearer, more actionable way to manage the clinical and billing follow-up process.
    Rather than switching between Calendar, Charting, and Billing tabs, you’ll now have a centralized place to view appointment activity, monitor documentation status, and complete follow-up—all in one streamlined interface.
    From missing chart notes to unsubmitted claims, Workflows helps you stay organized, reduce delays, and ensure nothing gets overlooked.

    Coming Soon: Client Invite Links will Expire

    Client invite links will soon expire after 4 Days to enhance security.

    • Users will notice a message in the client invite flow that says: “Expires in 4 days.” While this text is now visible, the expiration logic behind it hasn’t been turned on yet—so links will continue to work as usual for now.
    • We’ll notify you once the expiration behavior is fully live. When it rolls out, invite links will automatically expire after 4 days to help your team manage access and keep your account secure.

    Additional Updates

    • Improvements to adding & editing a URL when using an iFrame module within forms.
    • Improvements to ERA handling within Healthie, including the frequency of data syncing and look-back window timeframe.
    • Improvements to payer mapping for Claim.MD integration users.
    • Added mapping for Facility Atypical ID (Box 32b) and ensured taxonomy codes are successfully transmitted with claims, including support for ClaimMD integration.
    • In Video Call Settings, the external URLs list will now display only active providers, making the list more relevant and easier to navigate. Inactive providers have been removed.
    • Clients with the "View and complete programs" setting disabled will no longer receive program-related notification emails. This ensures that communication aligns with each client’s access settings.
    • The default PTSD Checklist for DSM-5 (PCL-5) form now uses the correct 0–4 scoring scale, in alignment with official guidelines. This change applies to the PTSD form being added into new provider Forms Library only, and does not impact existing forms or past responses.
    • We've resolved an issue where previewing an individual chart note (via the Share Note > Preview flow) would incorrectly display all of a client's notes. With this update, the preview will now correctly show only the specific note selected for sharing. This change improves clarity and ensures that shared content reflects the intended chart note only.

    Form Builder Design Enhancements

    We’ve introduced key design updates to Healthie’s Form Builder to make creating and editing forms more intuitive and efficient.

    Standardized Behavior for Gender and Sex on File with Insurance Fields

    The Gender, Gender Identity, and Sex on File with Client’s Insurance fields now behave consistently across the Client Profile and Form Builder.
    This consistency ensures that demographic and insurance-related information is collected accurately across your workflows. It also helps enhance the accuracy of claims submissions, improves clinical assessments, and ensures that patients’ demographic data is properly recorded.

    Charting Signatures Now Use Legal Name

    We’ve updated chart note signatures to align with compliance best practices. All signatures in Chart Notes and Chart Note History Events will now display the user’s legal name instead of their display name.
    This ensures greater consistency and meets documentation standards for clinical record keeping.

    New Webhooks for Prescriptions and Custom Modules

    We’ve released the prescription.updated webhook, which is triggered by DoseSpot prescription status changes. These updates occur when a prescription is approved, sent, printed, pharmacy verified, or encounters an error.
    The webhook payload includes:

    • Prescription ID
    • Patient Healthie ID
    • Patient DoseSpot ID
    • Clinician ID
    • Clinic ID
    • Status details of the change
      As part of this same release, we also added support for tracking activity on form templates and questions:
    • custom_module_form.created/updated/deleted – Fires when a form template is created, updated, or when a question is added to the template.
    • custom_module.created/updated/deleted – Fires when an individual question is created or updated. The payload includes the custom_module_form_id so you know which template it belongs to.

    Link Appointment Types with Billing CPT Codes

    Billing just got easier! You can now link CPT codes directly to appointment types, ensuring pricing accuracy, reducing manual work, and setting the stage for automated CMS 1500 claim generation.
    Here’s how to get started:

    1. Add your CPT codes under Organization > Settings > Services
    2. Link CPT codes to specific appointment types in Settings > Appointment Types > Insurance Pricing

    Invoice for Automated Charges

    Healthie’s billing system now automatically generates invoices for automated and failed charges, making it easier to track client balances and reconcile payments.
    Invoices will be automatically created for:

    • Packages with recurring billing enabled
    • Appointments marked as Occurred, Late Cancellation, or No-Show
    • Failed manual and automatic charges
      These invoices can be viewed under:
    • Client Profile > Billing > Invoices
    • Billing > Payments > Invoices
      This update helps organizations maintain accurate financial records and reduce manual invoicing efforts.

    Associate Multiple Chart Notes to a Single Appointment

    Healthie's charting feature allows providers to take notes on clients during or after a session, build customizable charting templates, and share chart notes with other providers via HIPAA-compliant E-Fax.
    Providers can now associate multiple chart notes with a single appointment, making documentation more flexible and efficient. You will see a new "Create Note" button in Session Details that allows you to add multiple chart notes as needed, ensuring all relevant information is captured within the same appointment.

    Update to Chart Note Signature Management

    Update to Chart Note Signature Management
    We’ve introduced additional updates to chart note signature management to further strengthen compliance and control over signed chart notes. These updates help ensure the accuracy and integrity of signed documentation while giving organizations more control over charting workflows.
    Previously released updates:

    • Signature removal option – Providers can remove their own signatures from signed chart notes to make edits if needed.
    • New admin permission – Organization admins with the Can edit and remove members in the organization permission enabled can manage who has the ability to remove other org member's signatures.
      New update:
    • Editing restrictions for signed chart notes – Once a chart note is signed, it can no longer be edited. To make changes, all signatures on the note must first be removed.
      Note: API users will still be able to sign a note that is already locked, consistent with current API behavior.

    Auto-Create CMS 1500 Claims

    One of our most requested features is here! Automatically generate CMS 1500s for eligible appointment — saving your team hours each week and making claim submissions fast, easier, and more accurate.
    You will now notice a new Automated Insurance Billing section in your Insurance Settings. Once there, you have the ability to enable the Automatically Create CMS 1500s setting. When toggled on, a CMS 1500 will be automatically created each night for any appointments that meet the following criteria:

    • Insurance billing is enabled for that appointment type.
    • Automated billing is selected for the scheduled appointment.
    • Appointment status is set to "no status" or "occurred" at the end of the day.

    Charting

    • Autoresponders will now send to both clients and other org members, regardless of whether the sender is the owner of the chat conversation.
    • Session Scheduled emails sent when a client books through a share/embed link will now be logged in the client's notification history as "New Appointment Scheduled."
    • Patients can now only be enrolled in courses and programs within their own organization, ensuring proper assignment and preventing cross-enrollment between parent and sub-orgs.
    • When switching tabs in the Quick Profile while editing a charting note, the page will now maintain the user’s scroll position instead of resetting to the top.
    • Client email addresses will now correctly appear in the Client Email column on the Form Responses report, ensuring accurate reporting regardless of the email domain.
    • When a care plan is activated for a client, any associated documents are now automatically added to a Care Plan folder that is shared with the client.
    • Org members can now add addendums to their own charting notes, even if the note was locked by another user. They can also add addendums to other org members' notes if they have the “Can write addendums to charting notes of other providers” permission enabled.Viewing or editing a group chart note from a client’s charting section will now launch the full group charting experience, ensuring all individual notes are visible and accessible.
    • Autoresponders are now automatically disabled for org members marked as inactive, and will no longer be sent in direct or community chat messages.

    EHR

    • Provider and care team member information in a client’s personal information tab now pulls from the client’s assigned organization instead of the user’s organization.
    • Clients in a sub-organization can no longer be enrolled in courses from the parent organization, ensuring proper organization alignment.
    • When a provider reassigns a task, the edit task modal will now dismiss properly, even if they don’t have permission to view the task afterward.
    • The names of the filters shown on the Labs pages have been updated for improved clarity and experience. Updates are as follows: All Statuses → Statuses, All Clients → Clients, All Providers → Orderers, All Labs → Labs.

    Scheduling

    • Availability blocks will now always be visible when the "Show Availability" filter is toggled on, regardless of the "Show One-Time Availability" or "Recurring Availability" selections.
    • Availability blocks now display in the Appointments Calendar when using Safari.
    • Providers will now receive email notifications only for client cancellations, ensuring clearer and more relevant updates.

    Mobile

    • We’ve made it easier to access client info on mobile. Now, tapping a client’s name from Appointments or Tasks will take you directly to their profile, so you no longer have to search for them in the client list.
    • Phone numbers are now clickable and easy to copy on mobile.

    • Fee Schedules (Per CPT Code per Payer): We’re working on the ability to set unique, payer-specific pricing for each CPT code.
