Healthie now integrates with Fullscript Labs to automatically sync lab results directly into patient charts; keeping your practice efficient and your data centralized. This integration delivers the workflow simplicity your team needs to manage labs without extra steps.
- One-click for Fullscript Labs and Supplements: Click on Add Recommendation from the Client Profile > Fullscript to access whole-person care.
- Auto-sync results: Fullscript lab results flow directly into patient profiles and the Labs tab - no manual uploads needed.
- Order status at a glance: Track Fullscript orders alongside other lab vendors in one unified view.
- Native notifications: Manage lab result alerts and patient sharing directly within Healthie's familiar interface.
- Unified lab management: Keep all lab data in one place, regardless of which vendor processed the order.

Update: Search for Specific Client when Document Sharing
The Share Document modal has been updated to improve performance for orgs with large client rosters. Instead of waiting for the full client list to load, the modal now displays an initial set of up to 500 clients, groups, and org members on open — with live search available immediately to find any client by name. A "Type to search for more" prompt guides users when their client is not in the initial list. The "Share with All Clients" toggle also now works reliably without requiring all clients to be loaded first. No action is required.

New: E-Rx and E-Labs Direct Orders Link to Chart Notes
Lab orders, prescription orders, and PDMP check records can now flow directly into chart notes - creating a more connected record between clinical encounters and orders, and making compliance-sensitive workflows easier to manage.
- Associate E-Rx Orders with Chart Notes (DoseSpot users): When placing an E-Rx order from the Quick Profile, providers can select a chart note before the DoseSpot prescribing window opens. Once submitted, the prescription is automatically displayed in a "Medication Orders" section on the chart note across all surfaces (view, edit, PDF, share).
- Associate E-Labs Orders with Chart Notes (E-Labs Direct users): A new "Order E-Labs" button within the charting interface opens a side modal, allowing providers to place a lab order and associate it with a chart note without leaving the clinical documentation flow. Lab data populates automatically in a "Lab Orders" section once the order is submitted.
- PDMP Timestamp in Chart Notes (DoseSpot users): For organizations using Bamboo Health through DoseSpot to complete PDMP checks, a timestamp can now appear within the chart note indicating when the most recent check was performed - no additional configuration required when Associate E-Rx Orders with Chart Notes is enabled.

New: Smart Phrases in Chart Note Addendums

Billing workflows just got smarter. You can now set a persistent billing type — Insurance or Self-Pay — directly within each client's profile, giving your practice a reliable source of truth that overrides global Appointment Type defaults when needed.
- Client-level control: Set billing type in Client Profile > Actions for any client whose needs differ from your standard workflow.
- Automatic triggers: The correct billing workflow fires at every appointment — no manual override required.
- Edge case coverage: Easily manage clients with pending insurance verification, or those who prefer self-pay despite having insurance on file.

Ambient Scribe — Now Available 🎉
AI Scribe, Healthie's AI-powered charting tool, now extends to in-person and phone sessions with the launch of Ambient Scribe.
Ambient Scribe brings the same automatic note generation to your in-person and phone appointments — reducing documentation time for providers across your organization.
What's new:
- AI-powered charting now supported for in-person and phone sessions
- "Launch Ambient Scribe for In-Person Session" prompt appears directly within appointment details
- Compatible with existing appointment types that include multiple contact types (telehealth + in-person or phone)
- Chart note templates can be assigned to phone or in-person only appointment types once Ambient Scribe is live on your account

Additional AI Scribe Updates
- AI Scribe Will Ignore Specific Form Fields. You can now exclude specific fields from AI Scribe using the new Exclude Field from Scribe checkbox in the Edit Field modal. Excluded fields are removed from the request before it reaches the AI entirely — meaning Scribe has no knowledge of them — and their original values are preserved after Scribe runs. This is a hard guarantee, not a best-effort instruction. Excluded fields are also visually marked in the generated note so providers can easily distinguish intentionally skipped fields from those that were missed.
- Ambient Session Tab Widget: Providers can now open a new tab during an Ambient session without losing confidence in their transcription — a persistent widget will appear with a live session indicator, along with quick options to mute or end the session.

- “Technical Problems” is now an option for provider and client cancellation reasons.
- Improved editing behavior for group appointment series: while a series is still being created, an informational banner on the Edit Appointment sidesheet confirms the series is still processing and that any edits will apply to the single appointment only - once generation is complete, a separate banner notifies you that the series is ready and edits can be applied to this and future appointments.
- Invoice sender dropdown (multi-org): When creating an invoice in a parent organization, the Sender dropdown now filters to show only providers within that organization. Sub-organization providers are excluded, removing duplicate entries and resolving the "sender doesn't have access to the recipient" error.

New Integrations Settings Page
Save time and streamline business operations by linking Healthie with your favorite tools. Review which integrations are already available & connected through your membership, and find other integrations to connect. We have a lot more integrations planned on the Roadmap, so be sure to check the Integrations page frequently. You can also review our Integrations section on the help guide to find more details on existing or planned integrations.
To access your Integrations page within Healthie: Gear icon (top-right) > Settings > Scroll to "Integrations" in the settings menu

Water Intake Tracking (release on web & mobile)
Water Intake Tracking is an optional setting in Healthie that enables clients to log their daily water intake. Providers can set a target water goal, and review logged water intake entries.
Note: By default this setting is turned OFF for all of your clients, but can be manually enabled. When turned "on" as a Default Setting, this will only enable the new journaling setting for NEW clients added to the platform. To enable this setting for existing clients, you will need to go to Client Profile > Actions > Settings > Select "Track Water Intake" > SAVE
If a client does not see "Water" tracking within their account when logged into the Healthie mobile app, please ask them to check that they have updated the app to the latest version.
Stool "Poop" Tracking (release on web & mobile)
Poop Tracking is an optional setting in Healthie that enables clients to log their stools, and for providers to review these entries.
Note: By default this setting is turned OFF for all of your clients, but can be manually enabled. When turned "on" as a Default Setting, this will only enable the new journaling setting for NEW clients added to the platform. To enable this setting for existing clients, you will need to go to Client Profile > Actions > Settings > Select "Track Poop" > SAVE
If a client does not see "Water" tracking within their account when logged into the Healthie mobile app, please ask them to check that they have updated the app to the latest version.
Ability to Pause Recurring Payments
Subscription services within Healthie enable payments to automatically charge to a client's credit card on file, at a cadence determined by their provider.
In lieu of cancelling a subscription service, providers now can "pause" recurring payments, leaving the option to continue in the future.
To pause a recurring payment:
Navigate to your Payments tab > locate the recurring payment (recurring payments are indicated by a recurring symbol) > click the "..." menu icon > Pause Automatic Payments
Payments can be manually resumed at any time, by revisiting the Payments tab and locating the payment > Restart Automatic Payments
Share a Booking Link for a Specific Location
Healthie makes it easy for providers to share a link to an appointment, and to customize that sharing link or embed code. If your business has more than one location, you are now able to specify which location(s) are included within the link.
When customized to include location, clients will only see the option to book at the specific location(s) & the availability will be updated to reflect those locales.
To get started, we suggest:
- Review/update your office locations (Learn how to set up locations & rooms here)
- Make sure you have availability on the calendar for these location(s)
- Grab your sharing link by going to Calendar > More > Share & Embed.
Deselect "All Locations" and from the drop-down, choose which locations you want to be associated with your booking link. You can further customize this link by choosing specific providers in your practice, and which appointments. Tab over to "Sharing Link" for a sharing URL to be use in an email, newsletter, button, or social media pages.
Redesigned Superbills Page
Complete a Superbill in minutes with the Healthie platform, for client's to submit to their insurance payers for possible reimbursement. With our latest update, we've expanded on our Superbill form to include:
- Option to add a modifier code
- Ability to add a line item ie. for taxes
- Clarification on units & fees
- Clarification on diagnostic pointers
- Easy ability to quick-share the Superbill with a client
- Improved "Preview" of a created Superbill
- Pre-fill of information pulled from the Client Profile, for quicker completion & improved accuracy of a Superbill (ie. date of service, patient date of birth client
- Easier navigation back while creating a Superbill
Switch Between Accounts with the Same Email Address
If you've created a provider account and client account with the SAME email address within Healthie, you can now easily toggle between these account.
When logged into Healthie, you'll see on the TOP that you are "Logged in As..." with a SWITCH button. Click "Connect" to the account that you would like to switch to. If you have a "test client" within Healthie, this will make it easier for you to toggle between your provider/client accounts.
Symptom Tracking (released on web)
Symptom Tracking is an optional setting in Healthie that enables clients to log their bodily symptoms, and for providers to review these entries.
Note: By default this setting is turned OFF for all of your clients, but can be manually enabled. When turned "on" as a Default Setting, this will only enable the new journaling setting for NEW clients added to the platform. To enable this setting for existing clients, you will need to go to Client Profile > Actions > Settings > Select "Track Symptom" > SAVE
This journaling feature is not currently available on the mobile app, but we will update this article once it has gone live.
Option to turn Care Plans Feature Off
If you do not use the Care Plans feature within your practice, you now have the ability to turn the entire Care Plans feature off so you do not have to view it within your provider account.
To do so, click on the Settings wheel and navigate to the "Care Plans" settings tab under "Features." A switch should appear near the top of the "Care Plans" settings page; by default, this switch will be marked "ON." Click on the switch to turn it off.
When the Care Plans feature is turned off:
- All of the your "Active" status care plans will automatically become "Inactive’ status
- A "Care Plans" tab will not appear in client profiles within the provider's account
- The "Care Plans" settings page will look like the following:
Nutrient Tracking Disabled for Eating Disorder Clients
Healthie's newest Nutrient Tracking feature will now be disabled when the "Eating Disorder" setting is enabled for a client.
When you turn ON the Eating Disorder setting, the Nutrient Tracking box will become disabled, i.e. the check box will become greyed out and you will be unable to click on the check box. This will occur automatically, even if Nutrient Tracking was previously enabled.
When the Eating Disorder setting is turned OFF, the check box will no longer be greyed out, the setting will be reverted back to its original selection, and you can select/de-select the box as you please.
This will apply to all four levels of the settings hierarchy:
- Global
- Client group
- Individual client
- Care Plan
New Date Picker for Appointment Reports Dashboards
The date filter for the Appointment Reports dashboard is now easier than ever to use.
When you open up the dashboard, by default, the dashboard will show data from the last 30 days.
To adjust the date filter, click on that button and you can select a set date range or set a custom date range. To assist, next to each range of time you can see the exact calendar dates it will display data for.
When you click on the "Custom" option, you can select the date range using a calendar, or choose from any of the set date ranges listed on the left side.
When you log back in, the most recent date selection will automatically apply to the reports dashboard.
E-Fax a Chart Note
You can now E-Fax a chart note for a client directly from their profile. To do so, navigate to the client's profile and select the "Charting" tab. Click on the blue "View Charting Notes" button. Select the chart note you would like to fax, and click on "Share."
Click on the blue "Share All Fields" button, and select "Fax." From there, you can add the recipient's information and fax the chart note over.

Healthie releases June 2020 platform updates with Care Plans now live, improved calendar and appointment tools, stronger billing and CMS 1500 workflows, easier document and task management, refreshed client emails and video calls, plus new organization branding controls and bug fixes.

Care plans
- Healthie's Care Plans feature is now live! Apply common protocols and methods of care to clients, while still facilitating the customization/personalization that may happen on a per-client basis. Within a Care Plan, you can add nutrition or activity recommendations, upload documents for clients to access, automatically set goals, and more.
CMS 1500s
- "Include Referrer information" is now by default enabled when creating a CMS 1500 form
- Added status filtering to the CMS 1500 page. You can now quickly sort through your CMS 1500 claims based on the status of the claim including:
- Not Sent
- Sent
- Denied/Rejected
- Fully Paid
- Partially Paid
- Ignored
- You'll also be able to see the number of claims for each status, allowing you to more efficiently keep track of claims.
Calendar
- Now possible to remove one-time availability while using Safari as browser
- Updates to how Appointment Types are created and configured
- Updates to the visual display of Healthie's calendar, to make it easy to understand appointment status and view details, both on the web platform and the Healthie mobile app. Learn more about viewing and filtering your Calendar here.
Client Profile
- Providers can now remove a client's credit card on file without messaging Healthie support
- Providers can now view a Client's Quick profile while charting on a client during a session
Documents
- The first update, in a series of updates, makes it more intuitive to rename or delete a document (or folder) within Healthie.
Emails to Clients
- Design changes made for the default emails that send to clients on behalf of your provider accounts, such as Client Invite email, Appointment reminders, and Package Purchased confirmations. The text will now align to the left (instead of center) and the Healthie mobile app download links will appear at the bottom of the email to make it convenient for clients to locate the app. As well as some additional smaller color changes to the email designs. Payments and Billing
- Displaying client date of birth when charging for a package. Use this indicator to help differentiate between clients who may have similar (or the same) name to correctly identify the client you'd like to charge for services.
- Failed Payment Details: When a transaction has failed for any reason, you will be emailed with the error from our payment processor. Your payment dashboard will now show an indicator for the failed payment, with details on why the payment failed. Hover over the "status icon" to see the details. Programs
- If you have created a module that contains a document, you can now easily modify your module by replacing the document. Either upload a new document from your local drive, or select another document that lives in your Documents Library. Learn how to modify your module here.
Tasks
- Additional capabilities of Tasks on mobile, including the ability to edit or delete a task
Video Call
- Updated Video Call UI to make it clearer to exit an existing session
Organizations
- Organizations can now have multiple brands / logos within one umbrella. To set this up, enable "can set up own brand" within Organization Permissions
- Organization administrators can now view Chat logs of other providers.
Other Updates
- Fixed bug in which packages set to GBP (Pounds) were showing as $ in some instances
- Fixed bug in which when provider removes group from a group appointment, all clients are now being removed, as intended, from that group appointment.

Healthie's Quick Profile has been upgraded with new clinical data access when they need it the most.
What's new:
- More clinical data, right where you need it: Org owners choose from Medications, Labs, Diagnoses, and Allergies components via Settings > Client Profile > Quick Profile.
- Your layout, your way: Add, remove, and reorder components to match your team's clinical workflow (all four new components default to inactive).
- Built for performance: Components load asynchronously so your Quick Profile stays fast, even with multiple sections enabled.
This update helps providers spend less time navigating and more time focused on patient care.

New: Client Restrictions for Enhanced Privacy Controls
We’ve introduced Client Restrictions to give organizations greater control over sensitive client records. When enabled, users outside of a client’s Care Team must provide a reason before accessing the client’s information. These access attempts are logged in detailed reports, helping your team monitor usage and meet compliance needs.

Updated: E-Labs Direct Now Reflects Cancelled Order Status
Lab orders placed through E-Labs Direct that are cancelled will now display a Cancelled status in Healthie. This update ensures providers have a complete view of every lab order's lifecycle, including cancellations. No action is required; status updates sync automatically.

Update: Improved Visibility of Results vs. Status in Labs Dashboard
The Labs Dashboard has been updated to display lab order status and lab result status as two separate, distinct columns — making it easier to understand the state of a lab order and its result at a glance.
Previously, order status and result status were combined into a single view, which could make it difficult to distinguish between a completed order and a critical result. With this update, each signal is independently visible, sortable, and — for order status — filterable.
What's new:
- Separate columns for Lab Order Status and Lab Result Status in the Labs Dashboard
- All three columns (Description, Lab Order Status, Lab Result Status) are independently sortable
- Lab Order Status is independently filterable for faster triage
No action is required, the updated layout is available automatically.

New: Appointment Request Metrics Dashboard
Appointment Requests metrics are now available in the Visualize tab. With the launch of the Appointment Request Metrics Dashboard, practices have a dedicated space to see exactly how their scheduling pipeline is performing - from first request to first appointment.
- Time to first appointment: Measure the time between request submission and the scheduled date/time of a client's first appointment - your clearest indicator of client access and practice capacity.
- Time to close: Track how long appointment requests stay open before being marked done - a direct measure of team efficiency and pipeline throughput.
- Closure outcome rate: See what percentage of requests close with a booked appointment versus without, to understand client fit and whether capacity is meeting demand.
This dashboard gives your team the insights to schedule smarter, respond faster, and ensure no client request goes unaddressed.

New: Secondary Claim Creation via API (Claim.MD Integration)
Healthie now supports secondary insurance claim creation and electronic submission for API customers using the Claim.MD integration. This update closes a major gap in the insurance billing lifecycle — providers no longer need to manage secondary claims manually in external portals or via paper.
- Designate payer order: Flag claims as Primary or Secondary using the new payer_order field in createCms1500 and updateCms1500 mutations.
- Store COB data: Capture Other Payer subscriber information (EDI Loop 2320) and claim- and line-level primary payer adjudication data (EDI Loop 2430) directly on the claim.
- Submit electronically: Secondary claims with complete COB data are transmitted to Claim.MD using the existing submission workflow, with full error logging and status tracking.
- Built-in validation: Required COB fields are enforced before submission, preventing duplicate or incomplete claims from reaching the clearinghouse.
API customers with an active Claim.MD connection can now handle the full primary-to-secondary billing lifecycle programmatically — reducing rejections, accelerating reimbursement, and keeping billing workflows inside Healthie.

- Updated: Insurance Billing Checkbox Now Consistently Visible. When your organization has "Enable insurance billing" turned on, the Insurance Billing checkbox now reliably appears on all eligible individual appointments - no longer dependent on CMS 1500 auto-creation settings being active. No action is needed; the updated behavior takes effect automatically based on your existing account configuration.

We've upgraded the Labs section on the Client Overview to make it faster and easier to find, prioritize, and act on client lab results. Lab data from Fullscript, E-Labs Direct, Change, and Rupa all surface in one unified view, and the previous 10-result cap is gone.
- Filter by status: Surface Error, Pending, Client Action, or Complete results instantly.
- Sort your way: Organize results by ordered date, last updated, or status.
- Search by test name: Type any lab name (e.g., "Comprehensive Metabolic Panel") to locate results.
- Full lab history, no limits: View a patient's complete record without pagination or workarounds.

Stronger Protections for CMS 1500 Billing Records
We're introducing two new safeguards to help keep your CMS 1500 data accurate and audit-ready. A dedicated view-only mode prevents accidental edits for insurance-permissioned users, while an automatic lock on sent claims stops smart fields from retroactively overwriting historical billing data — all without any manual action required.
- LIVE NOW - View-only mode: Users with insurance permissions can view CMS 1500 forms at any stage of creation without the ability to make edits or changes.
- COMING SOON - Auto-locking for sent claims: Claims that reach "Sent" status are automatically locked by the system - no manual step needed.
- Historical data protected: Smart fields can no longer retroactively overwrite data on submitted claims, keeping records consistent and reliable.

We've upgraded our health data integration to Google’s Health Connect - ensuring your clients' fitness and wellness data keeps flowing smoothly.

- One-time reconnection required: Clients using Google Fit will need to disconnect and reconnect to Health Connect through the Healthie mobile app

Updated: Document Sharing Performance & Usability
We've enhanced document sharing to make it faster, more reliable, and easier to manage — especially when sharing with large groups of clients. These updates address performance bottlenecks and add new visibility features to help you stay in control.

- Faster loading: Share Settings now load efficiently, even for documents shared with hundreds of recipients.
- Document context: See the document name directly within the Share Settings view.
- Clear removal feedback: When you remove someone from your shared list, their name remains visible with an updated icon confirming the removal.
- Asynchronous processing: Sharing happens in the background after you click Share, preventing interface delays while Healthie distributes documents to all recipients.

Draft Scribe notes now display prominent Convert and Delete buttons directly on the note, so you always know exactly what you can do next.
Feedback when deleting a draft
When deleting a Scribe draft, you'll be prompted to share a quick reason (e.g., inaccurate information, missing details). This helps us continuously improve Scribe quality based on real provider input.
AI-generated note indicator on converted notes
Converted notes now display a banner confirming the note was generated using AI Scribe, along with a "Give Feedback" button to share thoughts in context.
AI Scribe Webhook Coverage — Full Lifecycle Events
We've extended Healthie's webhook infrastructure to cover the end-to-end AI Scribe workflow.
This update closes two gaps in the lifecycle:
Transcription Pipeline
- appointment.transcript_started — fires when the transcription job begins
- appointment.transcript_failed — fires when transcription fails; payload includes failure_reason and failure_message
Chart Note Lifecycle
- generated_form_answer_group.converted — fires when provider accepts/converts the AI-generated note into a chart note
- generated_form_answer_group.rejected — fires when provider rejects the note
- generated_form_answer_group.updated — fires when the AI Scribe note is regenerated or updated
- generated_form_answer_group.deleted — fires when the generated note is soft-deleted

- Copied fields can no longer be duplicated repeatedly, reducing accidental or confusing form setups.
- Bug Fix - Appointment Banner Dismissal: The appointment banner will now stay dismissed once closed, rather than reappearing unexpectedly. This fix applies automatically across all plans — no action required.
- Addendums to charting notes now display in chronological order, consistent with how signatures appear. This fix ensures all charting note actions (signatures, addendums, and audit events) display chronologically across all viewing contexts.
- Active DoseSpot medications now visibly appear as active in chart notes, improving clarity while preserving their read-only behavior.
- Conditional charting modules now display consistently, even when responses include extra spacing, ensuring a predictable experience across view and edit states.
- Recurring form requests can now only be removed for the selected client from the Client Profile to prevent accidental deletion across all client groups, reducing confusion and ensuring requests behave as expected.
- Images uploaded in form answers (charting and intake) will now display inline with text, rather than as an attachment below the text box.
- Added an org-level setting to require insurance card photo uploads when clients complete the Insurance Form, helping reduce claim denials caused by missing card images. The setting is off by default and can be enabled by emailing [email protected].
- Fixed an issue where display-only fields (e.g. Title, Label, Read Only) in the Form Builder could be marked as required, preventing clients and providers from completing the form.

Healthie Dev Assist 2.0
Dev Assist 2.0 is a ground-up rebuild of the schema exploration server, faster, leaner, and cross-platform. Instead of making sequential tool calls to explore the API schema (search, wait, introspect, wait, follow a reference, wait again), the server now executes all schema operations in a single parallel block.
What's new
- Single execute_healthie_code tool replaces the previous search_schema + introspect pair
- Parallel schema traversal, explore multiple types simultaneously in one execution
- Live API execution via healthie.query() and healthie.mutate(), test against real response shapes, not just schema definitions
- Structured JSON responses instead of raw SDL text, for cleaner reasoning by Claude or ChatGPT
- Removed macOS-only binary dependency; now pure Node.js, runs on any platform
- Pagination support on large types (e.g. User's 455 fields) to prevent runaway token consumption
The result is 64% fewer tokens consumed, 55% fewer round-trips, and ~5x faster responses on average, with the most complex cross-type queries seeing up to 84% token reduction.

🔐 Authentication Platform Update

Healthie has transitioned to a new authentication platform for all production accounts (excluding white-label customers). This update strengthens login security, improves reliability, and lays the foundation for expanded multi-factor authentication (MFA) enforcement later this quarter.What’s changed
- A new provider sign-in experience is now live
- Enhanced login security protections are enabled in production and staging
- Additional verification prompts may occur if a login appears unusual
These updates apply to provider and admin accounts only. Client (patient) accounts are not impacted.
Enhanced Security Protections
Our authentication system includes multiple layers of monitoring and enforcement, which may include:- Bot detection
- Recognition of unknown devices
- Repeated failed password attempts
- Breached password detection
- Impossible travel detection
- Suspicious IP analysis
- Stale account management
- Email credibility checks
These controls may prompt additional verification, temporarily restrict access, or flag activity for review. A verification prompt does not indicate an issue with your account, it is a normal security safeguard.
Shared logins are not supported. Each team member must have their own account.White-Label Customers
White-label customers will continue using their existing authentication experience for now.
To access your current login experience, please use your organization’s dedicated white-label URL (e.g., https://yourorg.gethealthie.com/users/sign_in ). Logging in via secure.gethealthie.com will route users to the new authentication experience.
We will reach out directly with migration details ahead of the planned white-label transition in March 2026.MFA Requirement (Coming this Spring)
If MFA is already enabled on your account, it remains enabled. Providers may see expanded verification options during login. MFA will be required for all provider accounts later this quarter. We will communicate in advance before enforcement begins.

- When viewing Metrics within a client's profile, your last selected date range will remain when you return to the Metrics page so that you don't need to reapply filters when navigating away and back.
- We've ensured attendance visibility for Group Charting Notes by consistently displaying "Attended" next to a client's name when they have checked in or have been marked as attended by the provider.
- We resolved an issue where the Drug Allergy field could extend beyond the form layout, ensuring it now displays consistently with other allergy selections.
- Provider signatures on chart notes are now immutable. Previously signed notes retain the original provider name, while new signatures reflect any updated profile information.
- Live auto-scoring now correctly calculates matrix field totals, aligning the real-time score with the final submitted form score.
- Draft AI-generated notes will no longer display Download PDF, Send Fax, or Create Superbill actions; these options are now available only after the note is converted to a finalized chart note.
API Updates

- Date Validation Update: We’ve rolled out an improvement to how Healthie validates date fields submitted through the platform and API. New or updated records will be required to use valid dates. Invalid dates (such as years outside the supported range: 1900-2099) will return an error rather than being accepted.
- This update applies only to new or updated data, existing records will not be impacted.
- There is no change to the accepted date formats.
- Complexity Based Rate Limiting: We’ve released an update to Healthie’s API rate limiting. Rate limits will now be based on query complexity, not just request volume, an industry best practice that helps ensure consistent performance and reliability across the platform.
- We employ an algorithm for managing rate limiting which computes points based on the complexity of the operation being performed and stops processing new traffic for a given organization once they hit the maximum number of points allowed. Traffic is allowed again once some of the previous queries have been completed freeing up available points.
- The number of points an operation consumes (especially queries) can be reduced by pulling back only the necessary fields for your operation from our API, rather than requesting all available data.
- This is primarily targeted at managing traffic spikes, not normal traffic scenarios.

We’ve made updates to the Tags Manager page to ensure a smoother, faster experience — especially for organizations using a large number of tags. To improve reliability and performance, we’ve introduced several enhancements:
What’s New
- Faster load times with pagination: The page now loads quickly and reliably, regardless of how many tags your organization uses.
- Clear separation of tag counts:
- Total Clients — number of clients across the entire organization assigned this tag
- My Clients — number of clients assigned to you that have this tag
- Sorting improvements:
- You can continue to sort by Total Clients, Org Members, and Created By
- Sorting by My Clients is not available, but the column is visible for context
- Fully preserved functionality: Renaming, deleting, and reviewing tag usage all remain available with the same simple actions.

Account Owner Security Enhancements
We’re strengthening protections around account owner profile information to improve security and prevent unauthorized updates.
What’s changing:
- Only the account owner can update their name, email, phone number, profile picture, or permissions.
- Admins will now see these fields as read-only when viewing an account owner’s profile.
- Stricter backend authorization ensures these updates cannot be modified through the UI or API unless completed by the authenticated account owner.
These safeguards protect critical identity, billing, and recovery information and ensure data accuracy across your organization. Account owners can continue updating their own profiles as usual.
A note for accounts with sub-orgs:
Parent-organization admins will retain the ability to edit a sub-organization’s account owner only when accessing that sub-org through the Sub-Org tab in their parent-org account. If a parent-org admin switches into the sub-org directly, they will not be able to edit the parent organization’s account owner details.Learn more about Admin and Owner roles in Healthie.

The “Add Participants” button has been moved into the actions menu with Archive and Close. This makes the header cleaner and ensures more space for client information, while keeping all actions easy to access.

Healthie AI Scribe Updates
We continue to invest in small, high-impact improvements that make Healthie AI Scribe more accurate, reliable, and better aligned with real-world provider workflows.
New Permission: Control Who Can View & Delete Session Recordings and Transcripts
We’ve expanded admin controls to give organizations more flexibility in how they manage Zoom recordings and AI Scribe transcription data.
Why it matters:
Many teams want clear governance around who can view or remove recorded or transcribed session content. This enhancement helps practices align access with their privacy policies, supervision models, and internal workflows.
What’s new:
A new member-level permission — “Can delete recordings and transcripts” — is now available in the Appointments permissions section.
- Allows designated team members to delete Zoom recordings or AI Scribe transcripts when appropriate.
- Automatically appears when “Can view recordings and transcripts” is enabled.
- Supports cleaner record management and stronger role-based access control.
This update empowers admins to tailor access to their organization’s needs, promote responsible data handling, and maintain a more intentional, compliant documentation environment.
Update to Date / Time for Scribe Generated Notes
When converting an AI-generated Scribe note to a chart note, Healthie will use the calendar-scheduled appointment time as the date and time of service.
The appointment's scheduled start time is the source of truth for:- date_of_service
- time_of_service
This logic also applies when a provider creates a chart note directly from an appointment (which already uses the appointment start time).
More Scribe Updates
- Clear AI Scribe status indicators in Session Details: The Session Details page now visually shows when AI Scribe is enabled for upcoming appointments and when it was enabled for past sessions, while omitting indicators when Scribe is not enabled for the selected appointment type.
- Expanded support for larger context windows for larger conversations and chart notes.
- Expanded support for copied fields in AI Scribe notes: AI Scribe now preserves copied values from additional non-Scribe field types—including complex interactive, date/time, billing, and identity fields—so prefilled data remains intact when generating chart notes.
- View Instant Transcripts in-app: Instant Transcripts now open in a human-readable format directly within Healthie—no need to download a .vtt file. Transcripts load securely in a modal for quick review during or after a visit.
- Architecture upgrades to improve Scribe output quality and reduce errors.
- AI Scribe notes now generate only when at least two participants are present, preventing note creation for no-show sessions.
- When converting an AI Scribe note to a chart note, Healthie now uses the scheduled appointment date and time as the date of service for improved documentation accuracy.
- Matrix fields are now visible and editable in generated notes.

Add Provider Bios to Booking Links 🎉
Clients can now learn more about providers before booking. Healthie’s new Provider Bios feature lets each provider add a personal bio that appears during the Select Provider step, helping clients select the best match for their needs.
- Add bios from the Organization > Members setting
- Use formatting tools for bold, italic, underline, or hyperlinks
- Preview bios through the provider’s scheduling link
- Expand or collapse bios during booking for a clean view
- Access via GraphQL for read and write functionality
This update helps healthcare organizations build trust, personalize their booking experience, and improve client conversions.
Bios will only display to clients when booking within organizations that have multiple providers (i.e., when clients are prompted to select a provider during scheduling). If there is only one provider on the account, the provider selection step will be skipped, and the bio will not appear during the booking process.
Charting Refresh (Full Release)
We’ve refreshed the Charting Edit view to make everyday charting clearer, cleaner, and easier to use. This update modernizes the Edit view’s design while keeping workflows the same. Providers will notice a more organized layout, more intuitive controls, and refinements that add up to a smoother charting experience. This release was partially deployed in September, but will now be fully live in November for all accounts.
What’s New:- Refreshed layout — cleaner spacing and alignment, with each form answer in its own row.
- Addendums, organized — add via a clear button; addendums now display in their own section, while the audit trail still records the action.
- Share in Edit — the Share button has moved under the ⋯ (More) menu for consistency. It remains unchanged in View mode.
- Responsive design — improved readability across laptops and mobile browsers.
- Behind the scenes — modernized architecture for more reliable saves and proactive monitoring to catch issues earlier.
Enhancements to Forms Behavior (Charting & Intake)
- The “Require Client to Agree” field will now always show the standard text (“I hereby agree to the document above.”) to ensure consistency across all client forms. While custom edits were previously allowed, they never appeared to clients — so there will be no impact to your existing forms or workflows.
- You can now add and view images more seamlessly within charting notes and forms. Uploaded images will appear below the text field for a cleaner, more consistent viewing experience across both provider and client accounts. Coming soon, we’ll extend this functionality to form templates. We'll introduce a dedicated image field that allows you to include and resize visuals like logos, reference images, or educational graphics directly within your forms.
- You can now successfully submit or sign a form even when a required Open answer (long) field contains only image attachments (no text). This update removes the “Can’t be blank” error and ensures smoother submission for forms and charting notes that rely on visual uploads. Providers can now include reference images, documents, or client visuals in place of written text — no unnecessary errors or workflow interruptions.
Insurance: Navigation and Filtering Updates (Full Release)
Insurance workflows now have a dedicated home in your main navigation — making it easier to manage claims and related tools. This update will be made to all customer accounts in November.
Key updates:- CMS-1500s will be moved from Billing to the new Insurance section.
- Filters have been updated to match Healthie’s design system.
- A provider filter is now available for CMS-1500s.

Update to Office Ally Integration Settings
We’ve made a small update to where you’ll manage your Office Ally integration within Healthie. This is a UI-only change designed to make settings easier to find and maintain. There is no impact to your current workflow if you already use Office Ally.
What’s changing- You’ll now enable Office Ally directly from the Integrations page.
- The former “Submit claims to Office Ally” setting has been removed from Insurance Settings to reduce duplication.
- User permissions for sending claims remain exactly the same. Admins can continue to manage which team members can submit claims to Office Ally.
What’s not changing - No changes to the way claims are sent or processed.
- No action required from your team.
This update simply streamlines where these settings live in the platform and ensures a more intuitive integration experience.

What's changing?
We're simplifying our roadmap status labels to make it easier to understand where features are in our development process:- Under Consideration → "Exploring" (No timeline) – Items being researched and validated. We're gathering feedback and assessing feasibility.
- Long Term → "Later" (6+ months) – Planned for future development but not yet scheduled. We're committed to building this, but it's not in our immediate pipeline.
- Up Next → "Next" (3-6 months) – On our roadmap with a near-term timeline. These will move to "Now" soon.
- In Development → "Now" (0-3 months) – Actively being built by our engineering team. Expected to release soon.
- Released → "Released" (no change) – Features that have shipped and are available to customers.
Why?
We heard your feedback that our current labels could be confusing. The new structure creates a clearer timeline and better sets expectations about our commitment level at each stage.
As we finalize our 2026 roadmap, we're also using this opportunity to refresh the roadmap to ensure accurate statuses and timelines. You may notice some changes as we align features with our current priorities and development capacity.

- Improved handling of recurring appointments and time blocks for Healthie Calendar.
- Office Ally integration must be enabled from the Integrations page, activation is no longer supported from Insurance Billing settings.
- Insurance Policy Filtering for Client Self-scheduling: When clients use a self-scheduling link and select an insurance policy and choose “No Preference” for a provider, the time slots display for only those providers who accept that insurance policy. Previously when selecting "No Preference", the time slots displayed for all providers in the link, even those who don't accept the selected insurance. As a result, clients could erroneously book with providers outside their coverage.
- The red "current time" indicator on the organization calendar now reflects the timezone you've selected, rather than your computer's local timezone. This enhancement ensures you can accurately view the current time across timezone - making it easier to schedule appointments and coordinate care.
- Appointment Request Email Notifications: Providers with notifications enabled will now receive a “New Appointment Request” email whenever a client submits a request — ensuring timely visibility without needing to manually check the Appointment Request list.
API Updates

- [API] Safeguard when archiving users with API keys
Archiving a user already revokes their API keys. With this upcoming update, the API will raise an error if the user being archived has active keys. To proceed intentionally, add the new parameter bypass_api_key_warning: true to your API call. Please update your workflows before enforcement begins on November 3, 2025 to avoid disruptions.

Auto-Billing for Copays, Deductibles, and Coinsurance
Let Healthie handle patient responsibility — automatically.
You can now configure Healthie to automatically charge or invoice clients for patient responsibility amounts (copays, deductibles, and coinsurance) tied to insurance-based appointments.How it works:
- Set the Patient Responsibility Billing Method in a client’s insurance policy (copay, deductible, or % coinsurance).
- Enable Auto-Charge or Auto-Invoice in the appointment.
- Once the appointment is marked Occurred, Healthie will trigger the charge or generate an invoice.
This update reduces manual follow-up, improves cash flow predictability, and enhances the patient billing experience.

Seamless Note Creation + Appointment Updates
We’ve enhanced appointment workflows so that providers can now create notes and save appointment details in one seamless step — no need to return to the calendar.
Key improvements:- Update appointment status, duration, or price directly within appointment details
- Click Create Note and your changes save automatically
- Navigate straight into the client’s record to complete documentation

We’re rolling out a new Appointment Details Page that brings everything about a session into one, read-only view — eliminating the need to toggle between workflows.

Under the Hood: Encounters & Episodes of Care
To support longitudinal, patient-centered care, we’ve also introduced two new backend concepts:
- Encounters (live today): Every time an appointment is marked as occurred, Healthie now automatically generates an Encounter object in the backend. This ensures every billable interaction is consistently captured and reportable.
- Episodes of Care (via API): Through the API, you’ll soon be able to bundle multiple encounters into an Episode of Care — adding a title, start date, and end date to represent a structured patient journey (e.g., a 3-month PT program or 6-month chronic care plan).
Why It Matters - UI: Providers get a clear, consolidated view of every appointment.
- API/Backend: Organizations and developers gain a framework for interoperability, value-based care models, and longitudinal reporting.

🌱 Care Plans Just Got More Flexible
You can now add custom recommendation types to Care Plans — like Therapy, Breathwork, or Mindfulness — to reflect your unique care model. This enhancement gives care teams the flexibility to personalize treatment plans, improve client engagement, and scale programs with structure that truly fits their approach.
From the new Care Plans Settings tab, you can:- Add, edit, or archive custom recommendation types

Recurring Charge Reminder Emails
Clients on recurring packages will now have the option to receive an automated email 24 hours before their next scheduled payment, including package name, billing frequency, and charge date.
This helps clients stay informed, avoid surprise charges, and update payment details if needed — while reducing failed payments and billing support for providers.
Clients can enable this email in their Settings > Notifications > Recurring charge reminder.
By default, this setting will not be enabled for clients. They will need to go into their Notifications and enable it if they want to receive these payment reminder emails.Organization Calendar Enhancements
We’ve modernized the Organization Calendar to make scheduling smoother, faster, and more intuitive for administrators and providers.
Key updates:- Type-ahead search in the top bar quickly opens any provider’s calendar
- The calendar’s date range is now more prominent for clearer context
- Provider names in Day view are clickable to open provider view
- Location and room details are cleaner and easier to scan
- Calendar and Availability controls have moved from the left panel to the right
- A thin red line now indicates the current time directly on the calendar

Enhancements to Appointment Request Status Tracking
Appointment Requests now include status tracking to make it easier to manage incoming requests from start to finish.
How it works:
When a client doesn’t find a suitable time while self-scheduling, they can submit an Appointment Request for an alternative. Staff can schedule directly from the request and now choose whether to close it or leave it open after scheduling.
Key updates:- Appointment Requests remain open until manually closed (scheduling no longer auto-closes)
- Selecting a proposed time pre-fills the scheduler for faster entry
- The Appointment Requests list now includes client phone numbers and expandable request details
- Requests can be filtered by open or closed status
- All requests are retained for future analysis
Coming soon: - Appointment Requests Dashboard with metrics such as time from client join to first appointment and time to request closure
Insurance: Easier Navigation and Organization
Insurance workflows now have a dedicated home in your main navigation — making it easier to manage claims and related tools.

Key updates:- Assign multiple team members to a single task for shared accountability
- Edit, delete, and complete tasks inline wherever they appear (My Tasks, Client Overview, Quick Profile, etc.)
- The My Tasks badge now matches your true task count
- New card layout on the Tasks page with quick sort and advanced filters (status, assignee, creator, client, due date)
- Completed tasks can be archived and viewed later with “Show Archived”
- Bulk complete multiple tasks at once (for users with full task permissions)
- Task reminders now send reliably, even when no client is associated

Redesigned Quick Profile
We’ve redesigned the Quick Profile to make charting, reviewing details, and managing clients faster — without changing how you access it.
Key updates:- Redesigned header displays Client ID and tags for quick identification
- Default-on Vitals section (height, weight, blood pressure, temperature, oxygen saturation) is collapsible for quick scanning
- Insurance policies can be added, edited, and verified directly from Quick Profile
- Appointments can be toggled between upcoming, past, and didn’t occur; tasks are editable inline
- Pediatric profiles now display exact age (weeks/days up to 2 months, then months), plus parent/guardian links
Organization Owners can fully customize which components appear and in what order under Settings → Client Profile → Quick Profile
Improvement: Org Membership Tag Filters
Tag filters on the Org Membership page will now use AND logic, returning only users who match all selected tags.

- New users will now see a default free text form, and organizations will only receive a global free text form if one doesn't already exist for them. Providers will have their own Free Text form in their forms list.
- We’ve improved how custom module forms are managed across organizations by moving ADIME and Free Text forms from a shared, global setup to organization-specific versions. This update ensures your forms are consistent, reliable, and easier to maintain, while preserving existing data and preventing duplication. By giving each org its own version, you gain greater stability and flexibility in customizing forms for your workflows—without the risk of conflicts from global changes.
- Fixed an issue where creating a new CMS 1500 automatically prefilled Box 22 with information from a previously resubmitted claim. Now, Box 22 will be blank when a new CMS 1500 is created, preventing incorrect resubmission data from carrying over.

Charting Refresh
We’ve refreshed the Charting Edit view to make everyday charting clearer, cleaner, and easier to use. This update modernizes the Edit view’s design while keeping workflows the same. Providers will notice a more organized layout, more intuitive controls, and refinements that add up to a smoother charting experience.

- Refreshed layout — cleaner spacing and alignment, with each form answer in its own row.

We’ve introduced the AR (Accounts Receivable) Aging Report to give your organization a clearer view of outstanding invoices and overdue balances. This comprehensive report combines insights from Payments and Invoices reports—plus new fields like payment history and aging ranges (0–30, 31–60, 61–90, 90+ days)—to help you:
- Monitor unpaid balances across clients
- Understand how long payments have been overdue
- Identify at-risk or long-overdue accounts for follow-up
- Improve cash flow forecasting and collection strategies
Delivered as a .csv, this report makes it easy to review and take action in your preferred spreadsheet tool.

Changes to Adding Participants in Chat
We’re making a small but impactful update to improve visibility and keep Chat conversations clutter-free. The Add participants button will now live in the existing More actions (⋯) menu, alongside Archive and Close. This helps free up space while keeping all actions easy to access.

- Clients are now automatically added and removed from appointments as expected when their user group client list is changed. Previously, clients were not automatically removed from recurring group appointments that had been edited.
- Our PDF generation now efficiently handles larger documents by processing up to 5 notes synchronously before transitioning to asynchronous generation for larger batches. This ensures that users can generate extensive PDFs in a single instance without experiencing timeouts, eliminating the need to create and fax multiple documents.
- Users can now successfully set up calendar sync on both their whitelabel and non-whitelabel accounts, resolving an issue where only one account could connect to an external calendar.
- Healthcare providers can now add information to client profiles with one-click access to "Add" functions across all CAT components, minimizing navigation and clicking and streamlining patient documentation workflows.
- Providers can now easily access and copy full Zoom meeting details, including dial-in numbers, directly from the appointment details page. Previously, only the Zoom meeting URL could be copied. Now, a new "(joining instructions)" hyperlink provides a side sheet with comprehensive meeting information, such as your link, client link, one-tap mobile, dial-by-location, meeting ID, and passcode.
- Now, when filtering the Organization Calendar by provider, group appointments where that provider is listed as an "Organization Member" are included in the filter results. Previously, these appointments were not displayed.
- Users with disabled "Can modify folders and documents shared within your organization" permission will no longer be able to upload documents into shared folders. This prevents unauthorized users from adding documents to folders, ensuring greater control over shared content.
- AddendumContainer component has been redesigned to be a collapsible section. Behavior change: Users now click "Add Addendum" to reveal the textarea for content. Existing addendums display above the button and text area. The "Save Addendum" button includes a loading state and new addendums populate instantly upon saving. Users can add addendums from both Edit and View states of the note.
- The Quick Profile no longer automatically opens after creating a new chart note from a client's charting notes page, which will revert to automatically opening for a consistent experience.
- For existing users invited to multiple organizations, email notifications now provide clearer, personalized details about each organization they've been added to, making account setup easier. This updates the welcome email subject line and body copy to reflect multiple organization invitations, including a bulleted list of organizations.
- [Mailer] Fixed provider email delivery when patient emails are disabled
For non–white label customers, disabling patient emails previously blocked provider emails as well. This has been corrected—provider emails now send as expected, even if patient emails are turned off. - Receipts for Late Cancellations & No-Shows
Client payment receipts will now clearly display the reason for charges related to late cancellations or no-shows (e.g., “Fee for Late Cancellation on [Date]”). This enhancement improves transparency for clients and reduces confusion or disputes for providers. - To maintain data integrity and prevent duplicate forms, new organization-specific custom module groups will be created, with some automatically marked as deleted to ensure users only see relevant ADIME and Free Text forms. This change helps streamline form management and reduces potential confusion from multiple similar forms.
API Updates

Updated documentation to better explain when to use availableSlotsForRange vs. daysAvailableForRange. Guidance now clarifies that availableSlotsForRange should be used for shorter ranges, while daysAvailableForRange is recommended for periods over one day—reducing common mis-use and support questions. - [API] Clearer error messaging for invalid provider IDs
When calling the createAppointment mutation with an invalid other_party_id, the API now returns a specific “provider not found” error. This replaces the previous generic internal server error, making it easier for developers to debug queries without contacting support. - [Settings] Support users can now update provider timezones
Support users are now able to edit a provider’s timezone directly in the Healthie UI, eliminating the need for engineering updates via API. - [Documentation] Clarified date_to_show in RequestedFormCompletion

Failed webhook notifications now include the environment and org ID, making it easier to identify and troubleshoot issues without contacting support. Additional logging improvements also capture the webhook ID for faster lookups. - [API] UPCOMING RELEASE — Safeguard when archiving users with API keys
Archiving a user already revokes their API keys. With this upcoming update, the API will raise an error if the user being archived has active keys. To proceed intentionally, add the new parameter bypass_api_key_warning: true to your API call. Please update your workflows before enforcement begins on October 31, 2025 to avoid disruptions.

A Faster Way to Manage Client Info
We’ve updated the Actions Tab in the Client Profile to help you view and update client information more efficiently—reducing clicks and eliminating the need to navigate away from the page.
What’s New:
- For sections like Addresses and Allergies, you can now quickly add new entries using the streamlined “Add” button within each section.
- Edit, delete, and manage existing details via a consistent three-dot menu across all sections.

Quick Profile Customization
We’ve introduced a new Client Profile customization setting in Settings that lets Organization Owners decide which components appear in both the Client Overview and Quick Profile, and in what order. The first phase of this rollout starts with Quick Profile customization.
The Quick Profile appears alongside charting and note-taking workflows, giving clinicians at-a-glance client context. Now, Organization Owners can:
- Choose which components display in the Quick Profile

- Surface the right information at the right time for more efficient charting

- The Quick Profile will now automatically open when creating a new chart note from the client's charting notes page, providing a consistent experience with creating notes from the Charting tab.
- Enjoy enhanced date and time selection across the platform! You can now select dates using a date picker or by typing, with specific updates to Service Date, Group Charting client notes, and separate date/time fields. Additionally, the date of birth field now utilizes the improved date picker.
- Members can no longer upload documents into shared folders if their "Can modify folders and documents shared within your organization" permission is disabled. This prevents unauthorized users from adding documents to folders.
- Clients are now correctly added to and removed from group appointments when changes are made to the client list within a user group. Previously, clients were not automatically removed from recurring group appointments edited.
- Now, when filtering the Organization Calendar for a specific provider, group appointments where that provider is listed as an "Organization Member" are included in the filter results. Previously, these appointments were not displayed.
- Improved Chat Button Behavior in Quick Profile
We’ve updated the Chat button in Quick Profile, so it now works just like the Chat button in the main Client Profile. Even if you don’t have a direct conversation with a client, clicking the Chat button will take you to the Organization chat view filtered for that client (when you have permission to see those conversations). This ensures a consistent experience when starting or finding chats from any profile view. - Consistent Diagnosis Code Order in Chart Notes
We’ve fixed an issue where diagnosis codes in chart notes could appear in a different order than in the client’s profile. Diagnosis codes will now display consistently, making it easier to review and reference information across the platform. - View Chat Images Without Errors
We’ve fixed an issue where opening an image from chat in a new browser tab could sometimes cause an error. Images in chat will now open in a popup viewer, allowing you to see them full-size (with scroll bars if needed) without disruption.
Note: Images will no longer open in a new tab, since they will expire due to security concerns.

Healthie’s July 2025 release adds insurance-based provider filtering in client bookings and org calendars, plus CPT codes now drive services, claims and superbills. Location filters for appointment requests go live and a refreshed Integrations page debuts with Phase 1 Claim.MD ERA view.
Assign Insurance to Providers for Streamlined Booking
We've introduced new functionality to filter providers by accepted insurance plans — making it easier to connect clients with in-network providers during booking and scheduling. This enhancement streamlines insurance management workflows by integrating filtering directly into both the client booking experience and organizational calendar views.
What's New
- Client Booking Flow: Insurance-Based Filtering
- Clients can now filter to see only in-network providers by selecting their insurance plan during booking
- When enabled, clients are prompted to select their insurance at the start of the booking process and will only see providers who accept that specific plan
Organization Calendar: Insurance Filtering
- New "Insurance Accepted" filter allows you to view providers by accepted insurance plans in your calendar
- Quickly sort and identify which providers accept a specific client's insurance when scheduling appointments

We’ve added the ability to filter appointment requests by location — giving your team more control and clarity when managing incoming client requests.
If your organization operates across multiple locations, support staff and admins can now easily view and work only the requests relevant to their site. This enhancement helps streamline scheduling workflows and ensures no request gets missed.

- The CPT Codes you add to your Services page will now drive your experience across Healthie. Once added, these codes will appear in:

- The legacy CPT Code Favorites experience will be deprecated.
- Previously, CPT Code Favorites were limited to CMS 1500 claims only. With this change:
- You’ll no longer see the full CPT code drop-down or your old favorites

- Understand the full claim processing history — including CARC and RARC codes — in a single view

- Update to API Folder Permissions
We’ve made an important update to how document upload permissions are enforced for API users. Going forward, API users will only be able to upload documents into shared folders if they have the “can modify folders and documents shared within your org” permission enabled.- If you notice that uploads are no longer working as expected, we recommend checking this permission setting by navigating to: Organization > Member Permissions > Shared Organization Resources.
- This update helps ensure more secure and intentional access management across shared folders.
- Improved folder permissions for API users:
Organization members without edit access can no longer upload documents via the API into folders shared with them — ensuring stricter permission enforcement and data integrity. - We’ve added a short delay to the appointment.updated webhook to ensure updated Zoom links are included when an appointment is converted to a recurring series. This prevents stale data from being sent.
- You can now pass an argument to bulkUpdateClients to disable patient.updated webhooks. This is useful for large migrations where webhooks may cause performance issues. By default, webhooks are still sent unless explicitly suppressed.

Reports is Now Visualize
You’ll notice that the Reports tab in your sidebar navigation is now called Visualize. This update reflects a refreshed layout that makes it easier to explore your data and identify meaningful trends.
The first changes are live on the Appointments dashboard, where you’ll see:
- A cleaner layout that improves readability
- Easier filtering to explore your data
- A more visual experience to help you spot patterns

Improved Design in Client Actions Tab Sections
We've improved the design of the Allergies and Diagnoses sections on the Client Actions Tab to help you quickly scan and review critical client health information. There is no functionality change as part of this update.
What's New
Status Indicators: Both sections now use status chips to clearly display active vs. inactive items, making it easier to identify relevant information at a glance.
Responsive Layout: Improved design adapts when you adjust your browser window size for optimal viewing.
Allergies and Sensitivities Section:
- Allergy severity and reaction details are now combined in one column, reducing the time needed to assess allergy risks.
Diagnoses Section:
- Primary diagnoses now display with a special icon, helping you quickly focus on the most important health conditions.
These design improvements help you access critical health information more efficiently during care delivery.
Refreshed Sub-Org Creation Form (Design Update Only)
We’ve given the Create Sub-Organization form a visual refresh! While functionality remains the same, you’ll notice a cleaner, more consistent design that improves usability. Longer tool tips have been replaced with streamlined text and helpful links to documentation—making the form easier to scan and complete. Learn more about sub-organizations.
Updated Appointment Details Experience (In Progress)
We’re rolling out an updated Appointment Details experience that’s cleaner, more intuitive, and built for what’s next. While the interface will feel familiar, you’ll notice a more organized layout—and a rename from Session Details to Appointment Details.
What’s Improved:
- Faster Navigation: Improved load time and responsiveness
- Streamlined Layout: Key info is easier to review and edit
- Future-Ready: Built on modern code for performance, scalability, and upcoming enhancements
What’s Changed:
- “Session Details” has been renamed to “Appointment Details”
- Applies to individual appointments, group sessions, and calendar blocks
- No major UI overhaul—the familiar feel is intentional to reduce friction
- Fully refactored codebase for improved performance and long-term maintainability
New Stripe Fee for Countering Disputes
Stripe will now charge a $15.00 fee when you counter disputes, initiated 6/17/2025. If you win, this fee will be returned. The existing $15.00 dispute fee, charged each time you receive a dispute, is not changing. Per Stripe documentation, this newly introduced fee is due to increased fees from card networks for handling disputes. You can read more here.

Updated label from “Note Type” to “Chart note template”
To reduce confusion, the Create Charting Note modal now uses clearer language—“Note Type” has been updated to “Chart note template” to better reflect what template providers are selecting.

Scheduling:
- We've resolved an issue where location and room info weren't properly cleared when switching an appointment or availability from in-person to virtual. Now, virtual appointments and video call availability blocks will no longer retain or display outdated in-person location details. No changes to workflows or settings—just a more accurate experience.
- Fixed an issue to ensure that client groups remain correctly assigned when saving updates to a group appointment.
EHR:
- Update to Video Call Options for Group Appointments — we’ve refined the video call setup experience for group appointments! Now, only the video call methods configured for your account—Zoom and/or External URL—will display. This helps ensure the correct option is selected and avoids confusion from seeing unavailable choices.
- We’ve fixed an issue in the Form Builder where long question labels hid the delete button—labels are now truncated so the button stays visible.
- We've resolved issue where 'intake flow complete' emails were not sent when only one form was attached; emails now send regardless of the number of forms.
- Improved Photo ID Form Behavior in Intake — we've updated the Photo ID form to better guide clients through the intake process. If a photo ID is required, the option to indicate "I don't have a photo ID" will no longer appear, and clients must upload a valid ID to move forward. If a photo ID is not required, clients can now proceed without uploading one. This ensures a smoother and more accurate intake experience.
- Removed the Insert/Edit Media option from the Open Answer (long) field in Form Builder—use the dedicated Video field to add videos to your form.
- Field order changes in templates no longer affect existing client forms. Updating field positions in a form template will no longer reorder fields on existing client forms or chart notes. This ensures form layouts remain consistent, even if the template is edited later.
- We’ve improved how PDF documents are processed when sending faxes—no more manual flattening required! PDFs are now automatically converted behind the scenes for smoother, error-free faxing.
- Updated fax delivery timing so received faxes now arrive every 15 minutes instead of only on the hour.
- We’ve refreshed the “Add Organization Member” modal to match Healthie’s latest design standards. No functionality changes—just a cleaner look, more consistent layout, and a shortened tooltip.
Engagement:
- To improve security, iFrame HTML is now restricted in chat messages (e.g. via API and via the UI), unless they are from specific whitelisted websites (YouTube, Vimeo, and Loom).
- Improved chat behavior so new conversations now appear instantly in the sidebar and are auto-selected without needing a refresh.
- Updated Smart Phrase behavior to ensure selected phrases are inserted without adding an extra paragraph break, whether clicked or selected with "Enter."
- To reduce confusion, the Create Charting Note modal now uses clearer language—“Note Type” has been updated to “Chart note template” to better reflect what template providers are selecting
Billing:
- We’ve updated CMS1500 behavior to ensure that CPT codes don’t prefill on a client’s first form unless explicitly added. This helps prevent unintended codes from being submitted on claims.
API Updates

In addition, we are laser focused on building a best-in-class customer experience, which includes continuously investing in, and iterating on, our developer experience. - Additional webhooks for Zoom — send a webhook with a Zoom recording starts or stops.
- API Support for Multiple Clinic Locations in e-Rx Order - Organizations interacting with Healthie exclusively through the API may require that prescriptions be routed through a specific clinic location — especially when proximity to a pharmacy is a key factor. This feature is available upon request for Enterprise customers only. It was developed as a custom enhancement for a specific partner and is not part of our general platform offering.
