Workiva rolls out DOCX Style Guides export and Sustainability updates like copying automations, attachments, comments, or labels when rolling to a new Program year, plus a Sustainability Program topic limit increase to 1,000. User invite flow tweaks enhance org management.
Documents
- New: DOCX Export now includes Style Guides.
Workiva document style guides are now exported as part of Microsoft *.docx exports. This allows you to see the Workiva styles when a document is exported as *.docx files.
General
- Change: Name and email display when adding an existing Organization user.
We have modified how the Workiva platform behaves when adding a user to an Organization. When adding a user to an Organization, the platform checks to see if the user name already exists. If it does, you will be asked if you would like to proceed with inviting the existing user. If you say "yes", the platform will attempt to retrieve the full user info. If it succeeds (i.e. if the operator is a superadmin) the user info is displayed in a read-only manner (this is the same as existing behavior). If it fails to retrieve the full user info, the UI will still appear, but the email, first name, and last name are hidden.
Sustainability
- New: Copy automations, attachments, comments, or outline labels to new Program year.
- New: Sustainability Program now supports up to 1,000 topics.
When you add a reporting year in Sustainability Program, you can now choose whether to copy automations for files created during the roll-forward. You can also now choose whether to also include attachments, comments, or outline labels 6 separately 6 in the copies; previously, you could only include them together.

The following commands have been added to the Workday premium connector.
Get Worker
The Get Worker command executes the Get Worker action in Workday. This allows you to retrieve information about Workers stored in Workday.

Convert destination links to source links across documents
You can now convert a destination link into a source link1even across different documents. Previously, this was only possible within the same document. This update makes it easier to manage and update links without recreating them, helping you maintain document accuracy and integrity.To use this feature, right-click on a destination link and select Convert to source.

Merge source links
You can now combine two source links into one to keep your destinations organized under a single source. Merging works across text, tables, charts, and spreadsheets.
To do this, copy a source link and paste it onto another source link, and confirm the merge1your copied link will now be the source link for all connected destinations.Comment Historical Actions
When a comment thread is resolved or reopened, a comment action will be added to the thread. This comment automatically includes the name of the user who resolved or reopened the comment and a timestamp.Documents
New and updated spacing option!
The spacing option in the toolbar has been consolidated into a dropdown. All formats are still available, including a new option for distributed spacing. This option will be available when the document locale is set to Chinese, Japanese or Korean.
Note: Distributed spacing is not supported with editable XHTML export.Carbon
Version 4 Emission factor library now available
New Emission factor publications are available in Version 4 of the Emission factor library. In addition, this update removed of outdated factors and methodologies, and going forward, the newest library version will be selected by default for any years that have not yet had any data uploaded.

Workiva Carbon does not automatically recalculate emissions when you select a new emission factor library version for a reporting year with existing entries. To apply emission factors from your newly selected library version, you can either delete and re-upload the entries to recalculate, or request a recalculation from your Workiva Carbon point of contact.

Biogenic CO₂ is now reported "Outside of Scopes" (OOS)
Workiva Carbon has streamlined how emissions from biogenic CO₂ are calculated, categorized, and displayed. To align with reporting standards, Biogenic CO₂ is reported "Outside of Scopes" (OOS), with N₂O and CH₄ remain within Scopes 1, 2, or 3. Additionally, the formulas for biogenic emissions are now available when you go to Report and click Audit.
Chains
Chain Builder UI improvements
The Chain Builder UI has been refined to make the Chain Builder UI more usable, robust, and responsive.
- When a chain is executed (running), nodes now show a running animation and each node shows an icon and color based on its result. Nodes and edges that are not part of the running chain are hidden while the chain is running.
- Hovering over a node on the Chain Builder Canvas when you are on the Execute Chain page displays two icons.
- Clicking the first and then clicking Run Chain runs only the command in that node.
- Clicking the second and then clicking Run Chain runs the chain starting from that node.
- While that node is selected, all other nodes and edges are grayed/opaqued out. Clicking elsewhere on the graph unselects the node.
- Here are the other improvements we have made:
- Cleaner design: All components in the Node panel include descriptions.
- Faster filter access: The reoriented filter panel allows quicker access.
- Quicker deletions: Pressing Backspace removes selected nodes.
- Smart scrolling: Dragging a node to the edge of the screen auto-scrolls the canvas.
- Improved start: Nodes with outgoing edges can now be dragged directly into the "START" position.

Glossaries increased to 50 Languages
The machine translation glossary now supports 50 languages. These languages are still limited to those languages supported with Workiva's machine translation.
Sustainability
Add multiple assignees to metric tasks
When you create a task for a Sustainability Program metric, you can now add multiple workspace members as the assignee, such as to assign a backup or a cohort of subject matter experts. When a task has multiple assignees, any of them can prepare its values and complete the task.

If a metric task has multiple assignees, queries that use the Program as a source return a comma-separated list of the assigned members; previously, queries returned only one assignee. If necessary, edit queries to accommodate comma-separated lists as a possible result.

You can now customize the appearance of your hyperlinks in your Style Guide. This update gives you granular control over formatting while reducing the need to create different styles for your hyperlinks when required to maintain your design. By leveraging the new hyperlink styles, you can achieve a more consistent, professional look across your entire project with a more streamlined Style Guide.

Improved: Folder Copy content placeholders and secondary connections
We’ve improved how Content Placeholder secondary connections (a placeholder connection brought into a document through a destination link) are handled when copying folders.
Previously, when a folder containing documents with these secondary connections was copied, the connections did not automatically update to the newly copied source spreadsheet. An initial publish of the source document was required before the secondary connections would update.
With this improvement, secondary placeholder connections now update automatically as part of the folder copy process. Documents copied into the destination folder correctly connect to the newly copied source spreadsheet without any additional steps. This enhancement removes the need to manually publish links after copying a folder and ensures copied content is immediately ready to use.Wdata
New: Intelligent Companion within Wdata Tables and Query experience
We are excited to announce the availability of the Intelligent Companion within Wdata’s Tables and Query experience. We heard your feedback that building complex queries can be challenging and that the visual query builder didn't support every operation you wanted. The Intelligent Companion allows you to write SQL using natural language to build Wdata queries — no familiarity with SQL needed! Just tell the companion what you want to do, and you'll receive a well-formed SQL statement that can be inserted directly into the Wdata Query text.

- Natural Language to SQL: Build robust SQL queries simply by describing what you want to achieve. The companion understands the tables available in your query sources.
- Query Fixes: Quickly fix broken queries caused by syntax errors.

Workiva introduces platform updates including a new Create a Process permission gate, bulk task approvals in Spreadsheets, and Formula Version 6 with performance gains and bug fixes. These changes affect who can edit processes and how tasks are approved, with admin steps for enabling bulk approvals.

Processes
"Create a Process" permission now required to create or edit a process
Users must now have the "Create a Process" permission enabled to create or edit a process (for example, as granted by the "Editor" workspace role). Previously users with only the "View a Process" permission (granted by the "Viewer" workspace role) could also create and edit processes.
With this change, be aware that there may be processes where such a creator/owner will no longer be allowed to edit the process. These users will now see an error message when they try to do so, which advises them to ask a Workspace Admin to add the Editor workspace role for them. If that is not an acceptable solution (for example, if that user needs to remain read-only), then the Transfer Process Manager workflow can be used to transfer the process ownership to a user who has the "Create a Process" permission enabled.
Spreadsheets
Bulk approval of tasks
The ability to approve tasks in bulk is now available in Spreadsheets!
This is enabled using a Workspace Setting located under Configuration.
To enable this,
- Navigate to Workspace Settings.
- Select Bulk Approvals in the left navigation area.
- Toggle Bulk Approvals on.
Note: The user also needs multiple approval tasks assigned to them within the same file.
To use this functionality when you have multiple tasks ready for review,
- Navigate to the Tasks panel in a spreadsheet and click Review tasks.
- You can then select the tasks to be approved and click the Approve button.
- Confirm the approval by clicking Approve.
Formula Version 6 Released
We have released a new formula version; this includes both performance improvements and bug fixes.
Improvements:
- Formulas that compare ranges to single values and then add or multiply them will see significant performance improvements.
Bug fixes:
- Fixed an issue where cells with Date, Period, and Text value formatting could be affected by the document default Shown In if formulas were calculated under As Displayed.
- Fixed data validations that resulted in a single option displaying zero options.
- Fixed some formulas that resulted in the text -0 when it should have been 0.
- Fixed a scenario in XMATCH where certain characters preceding a wildcard would cause XMATCH to not find and matches when it should have.
- Fixed wildcards (?, *) not being escaped in XMATCH and XLOOKUP when using the standard wildcard escape (~).
- Prevented Entered In from affecting certain array function parameters, such as the sort_order parameter in SORT.

If your Sustainability Explorer includes the Infrastructure - Real Estate (IF-RE) industry for Sustainability Accounting Standards Board (SASB), its Standards now appear as Current; previously, the IF-RE Standards inadvertently appeared as Deprecated.
To disclose the SASB IF-RE Standards through your Factbook or ISSB Gap Assessment spreadsheet, refresh the file's incoming connections to include the Standards.

"Selected Color" in Color Picker in Documents and Presentations.
After selecting a shape the color or state is now displayed in the Color Picker below the color palette. Additionally, the selected color in the palette is highlighted. This also works when multiple shapes of the same color are selected. If shapes of different colors are selected, the Selected Color will display as "none".This feature works for the following elements: text color, text highlighting, border color, and fill color; it also applies to shapes and markup.
Sustainability
New: Copy additional files for new year in Sustainability Program
From Sustainability Program, you can now choose to copy or "roll forward" additional files for a new reporting year, such Processes, reference files, or reporting outputs. Previously, you could copy only source files connected to metric values.To learn more, see this Workiva Support page:

When you download metric attachments from Program overview or a topic or metric in Sustainability Program, you can now choose the collection periods of the values with the supporting attachments to include in the ZIP file.From Program overview, Program Owners can also now choose — from Program settings — whether to append a timestamp to the file names of supporting attachments, for context of when the file was uploaded to its metric value. For added clarity, this timestamp appears when viewing attachments in the downloaded ZIP file, metrics, or Query results.
