Dark mode + a warmer look
Dubsado adds dark mode for everyone on Dubsado 3.0 and refreshes the interface with a warmer, softer color palette. Statuses are easier to read at a glance, tags are toned down, and client-facing pages stay unchanged.

The most requested appearance change we've ever had. Switch between light and dark anytime available to everyone on Dubsado 3.0. One deliberate exception: email previews and the form canvas stay light in both modes, because what renders there is your content in your colors.
A warmer palette throughout
The system moved from cool gray to warm cream. Backgrounds, panels, and buttons all shifted to softer tones that are easier on the eyes over a long workday. Nothing moved, same layout, same navigation.
Color is set intentionally
Color appears when something needs your attention instead: an unread message, an overdue invoice, a date waiting on approval. Less visual noise, faster scanning.
Status you can read at a glance
Every status pill now has its own icon shape, so paid, unpaid, in progress, closed, and overdue are distinguishable without relying on color alone.
Overdue is the one status that keeps color, so it still jumps out. Two status colors that previously failed contrast standards now pass, which makes status readable for everyone.
Softer tags, same colors
All ten tag colors kept their identity but now render as soft washes instead of saturated fills, so a busy project list reads quietly. Nothing to re-set, your saved tags are untouched.
What your clients see: no change
Public forms, contracts, schedulers, invoices, the client portal, and your outbound emails all look exactly the way you designed them.
This is one step in an ongoing refresh of the Dubsado interface, so you'll keep seeing small improvements over time.

Dubsado releases a big round of fixes and improvements across invoicing, Projects, forms, flows, tasks, and calendar tools, with stronger tax code handling, smoother search and sorting, better form reliability, and cleaner workflow and privacy behavior.
Improvements
Choose which view the Projects page opens on
You can now set a default view for Projects in Manage Project Settings, so the page opens on All projects, Leads, Jobs, or a specific status every time.
Sorting moved into the list toolbar
Sorting for list and table views now lives as a button right in the toolbar next to search and filters, instead of being tucked away inside the display settings menu.
One time tracker at a time
Starting a new timer now pauses whatever else was running, so you no longer end up with hidden timers quietly racking up hours in the background.
PDF upload and one-time link options are easier to find on projects
When you add a form to a project, you can now upload a read-only PDF or link a one-time external form directly from the easy form building screen, without having to switch to Start from scratch first.
Pending payment visibility on installments
In-flight payments (like ACH transfers awaiting settlement) now show as pending on payment plan installments and transaction records, so you can see what is on the way before it clears.
Clearer QuickBooks connection errors
When a QuickBooks connection fails, you now see the specific error from Intuit instead of a generic failure message.
Project overview polish
The Overview page now uses a clean, flat background with no color wash or stray seam, sidebar info rows show label and value side by side again, and the follow-up prompt reads "No reply yet: Follow up?".
Public issue tracker removed
The customer-facing issue tracker has been removed from the client portal.

Invoicing and taxes
QuickBooks tax codes stay on your invoice line items
Editing an invoice no longer quietly drops the QuickBooks tax code from individual line items, so an invoice that looks taxed actually charges tax. Codes now carry through packages, proposals, forms, recurring invoices, flow actions, and scheduler payment settings. Line item dates stop shifting on every save, and newly added or time tracker line items inherit the invoice's tax code instead of arriving untaxed.
Clearer tax and activity log details
QuickBooks-sourced tax rates are now marked as such with the applied code name shown, and the invoice Tax column has room for a rate plus its QuickBooks mark. Activity log entries show real dates instead of "[object Object]" and no longer invent an invoice date change on every save.
Legacy recurring invoice drafts save without errors
Saving a recurring invoice draft with incomplete recurrence fields no longer throws a validation error. Missing fields now default sensibly so you can save and return to finish later.
Xero income category mapping cleaned up on delete
Deleting an income category now also removes its Xero mapping, preventing invisible orphaned entries.
Projects
Projects no longer crash when you search a number
Searching the Projects list by an invoice number or any all-digit term now filters normally instead of throwing an error screen, and the screen stays healthy on later visits. Leading zeros in a search term are also preserved.
Projects list grouping, paging, and search fixed
Project groups with projects in them no longer disappear when "show empty groups" is off, group pages load automatically as you scroll, "Load more" works on the first click, and searching now finds projects across every group instead of only the ones already loaded.
Leads and Jobs stay in the right place
Changing a project's status now moves it between Leads and Jobs correctly from every surface, including the board view and the projects table. Sorting the projects list by Client now actually orders the results, and projects with no status can still be given one from the table.
Bulk action bar no longer hidden behind headers
When you select items on the Projects, Contacts, and message templates lists, the bulk actions bar now stays fully visible and clickable above the sticky column headers as you scroll.
Forms
Forms created inside a project keep their client
Forms built from within a project now carry the project's client, so applying them to the client portal works instead of erroring.
Forms with older packages open again
Proposal forms containing packages built in Dubsado 2.0 without tax data now open normally instead of showing "Form not found".
Form expiration reminders fire correctly
Form reminders now schedule from the form's actual expiration date, saving form settings no longer clears already-queued reminders, and reminders are only armed once a form is applied to a project.
Form template dropdown loads all templates
The template picker in project and contact forms now loads all templates with proper pagination rather than stopping at the first 25.
Flows and workflows
Reordering flow actions sticks
Rearranging actions on a project's flow now saves for actions you added manually, not just the ones copied from the template. Flows with previously scrambled ordering fix themselves the next time you reorder them.
Smart fields menu no longer closes the workflow editor
Clicking Smart Fields or Project Links in a workflow action editor no longer saves the action and force-closes the editor.
Workflow "Waiting for you" actions fixed
The dashboard widget and Project Assist no longer flag workflow actions as needing approval before the workflow has actually triggered them.
Flow actions show the flow name in the activity log
Workflow-triggered actions in the project activity log now show the flow name (like "The flow X sent the email") instead of "Someone."
Tasks and calendar
Private calendar tasks stay private
Creating a task from the Calendar with Private turned on now saves it as private and assigns it to you. The Private toggle is also hidden on teammates' tasks, where flipping it would have made the task disappear from your views.
Tasks now show correctly across 2.0 and 3.0
Private tasks created in the classic app are visible again to the right person, task comments written in the new app now appear in the classic app and the client portal (with the client's name attached), and private tasks no longer leak onto teammates' calendars or task boards.
Calendar event popovers stay on screen
Event detail popovers on the calendar now stay fully within the viewport instead of getting clipped at screen edges.
Everything else
Buttons in emails update in place
Editing the link on an existing button no longer creates a duplicate button at the top of your email. Buttons made in Dubsado 2.0 are now recognized properly, so they keep their styling instead of turning into plain text links. The same fix applies to rich text in flows, recurring invoices, and package summaries.
Share menu in the portal popover is reachable
The Share dropdown on contact and project overviews now appears above the portal popover, so View portal, Copy link, and Send link all respond to clicks.
Email sender name saves correctly
The sender name setting now reliably saves changes that were previously ignored on submit.
Lead status and package pickers show all options
Pickers across Create Project, invoice, and recurring invoice screens now paginate correctly so no options are cut off on long lists.
Deleting a scheduler used by a group is blocked
Instead of silently cascading and deleting the group, you are now told to remove the scheduler from its group first.

Dubsado improves 3.0 with dozens of fixes across scheduling, payments, email, forms, and Note Taker. Manual payments now sync to Xero and QuickBooks, calendar and autopay issues are smoothed out, and many bugs, crashes, and email glitches are resolved for a more reliable workflow.
The small stuff adds up. This month part of our team focused on bringing 3.0 to parity with 2.0, closing dozens of little gaps across scheduling, payments, email, and more. Each fix on its own is tiny. Together they smooth out the parts of your day you shouldn't have to think about.
Improvements
Manually logged payments now sync to your accounting integration.
Payments you record directly in the Dubsado push automatically to Xero and QuickBooks, closing a gap where only edited payments synced.Remove tax items from line items.
Taxes applied from deleted or legacy tax records now show a removable chip, so you can tidy up your line items.Autopay cancels automatically when a payment processor is disconnected.
Disconnecting Square or Dubsado Payments cancels any active autopay tied to it, so nothing tries to charge your clients on a disconnected account.Scheduler groups now appear in project email links.

Design updates
Dubsado introduces a phased UI refresh that moves navigation into a slim sidebar, adds slash search, and reorganizes project, contact, and Insights pages for quicker access to key finances, activity, and reports. It also tweaks tag and status colors ahead of future design updates.
This is a small, structural release that is being released in phases over the next several days! It moves a few things into better places and clears the way for the design work coming next, which is the part most of your feedback has been about.
Navigation
- The bar across the top of every page is gone. You get that space back.
- Your sidebar is a slim rail that expands when you hover it. Pin it to keep it open.
- The time tracker, notetaker and the Chat button to reach our team all moved into the sidebar.
- Press the forward slash key anywhere to open search.
Project and contact pages
- Project overview now leads with your finances, anything needing your signature or approval, recent client activity, and what is on your calendar this week.
- Contacts have an overview page now too.
Insights
- Your finance reports, project reports and chart of accounts live together in the sidebar under Insights. Old links and bookmarks still work.
One heads-up
Your tag and status colors will look slightly different. We configured them better so they work in dark mode later. The color names you picked are unchanged.
What comes next
The next round is the bigger one. A dashboard screen built around what matters to you today, a smoother start for new accounts, and a lot of the small touches people have told us they miss. That work is underway now.

Dubsado releases a broad invoicing, scheduling, and workflow polish update with cleaner invoice layouts, stronger safeguards for unsaved changes, improved QuickBooks sync and tax handling, better email and PDF behavior, and a long list of bug fixes that make core tools more reliable.
Here's the complete changelog with all four new fixes folded in.
Improvements
Invoice line item and header polish.
Squinting at tiny invoice notes and hunting for the delete button slows down your billing. We widened the bill-to and note previews and moved line-item actions to more obvious spots, so you can get invoices out the door faster.
Invoicing safeguards and clarity.
Clicking away and losing your invoice line items is a gut punch. We added a safeguard to protect unsaved changes, plus a note that clarifies exactly how invoice titles appear in the client portal, so you can bill with confidence.
Cleaner invoice line item layout.
Cluttered invoices make it hard for clients to see what they are actually paying for. We adjusted line item spacing and made category chips easier to read, giving your invoices a cleaner, more professional look.
Specific QuickBooks sync error messages.
A generic "sync failed" message leaves you guessing. You'll now see the specific reason a QuickBooks sync failed, so you know exactly what to fix.
Updated device verification email copy.
The device verification email now accurately reflects that verification can be triggered by a new device or by an expired previous verification.
Hide or show the payments panel in invoices.
A new button lets you collapse the payments column while you edit line items, and your preference is saved across page loads.
Recorded meeting notes link to the right project automatically.
Notes from recorded appointments booked through a project-linked scheduler now appear on that project, not just in your standalone notes list.
Active hours validation in flows.
The active hours modal now blocks saving an invalid range, like a start time at or after the end time, and shows an inline error so the misconfiguration gets caught before it affects your automations.
Unsaved line items now hold payment plan and transaction actions.
Creating a payment plan or logging a transaction against an invoice with unsaved line items used to put stale data on your installments. We now hold those actions until you save, so your installments always reflect the real numbers.
Dates display in your brand's timezone.
Form response dates, project custom date fields, and project table dates now consistently show in your brand timezone instead of the viewer's local browser time.
Saving a discounted invoice as a package keeps the package clean.
Discount state is now stripped when you save an invoice to a package, so any proposal or invoice built from that package won't inherit stale discount data.
Brand owner tasks show when grouping by assignee.
The tasks board and grouped table now include the workspace owner's tasks under the assignee grouping.
Longer, customizable call summaries.
Call summaries no longer get cut off mid-sentence, and your brand voice preferences can now rename, reorder, add, or remove the summary's sections.
Bug fixes
More reliable CSV exports.
Exporting your data shouldn't end in an error just because you used a filter. CSV exports for projects, contacts, and categories now process successfully even with custom sorting applied.
Email sending validation fix.
A validation error was stopping emails from sending when you used your business name as the sender but hadn't saved a business email address. Emails now send using your connected account email as a backup.
Conferencing link status and management restored.
Guessing whether a video link actually generated is a stressful way to start a client call. We restored the conferencing toggle on individual appointments and added clear status indicators, so you always know if a link is ready.
PDF preview fixes.
Opening a client PDF to a blank screen is not the moment you want. We fixed the blank preview issue and upgraded the viewer with high-resolution support, so your documents look crisp and fit the screen.
Delete paid installments in payment plans.
A small adjustment to a payment plan shouldn't mean deleting the whole thing and starting over. You can now delete paid installments individually without scrapping the entire schedule.
Invoices respect your brand currency.
The installment progress text and a few other spots in the new invoice UI showed USD no matter your brand currency. Everything now formats in your actual currency.
Currency format preview fix in brand settings.
The currency preview in brand settings was defaulting to USD instead of your actual local currency. We fixed it, so you get an accurate look at exactly what your clients will see.
Lead and job statuses back in sync.
Some projects showed up as leads while sitting in a job status, or the reverse. Those projects have been corrected, and dashboards and filters now reflect the right status.
Applying a proposal creates the invoice again.
Applying a proposal form to a project with no invoices was failing to auto-create one because of a broken internal link. That works again.
Recurring invoice update fix.
Updating a recurring invoice that used an older payment plan was throwing an error. We fixed it, so you can make your updates directly without untangling the payment plan first.
Invoice and package template notes save properly.
Notes typed on invoices and package templates in 3.0 were sometimes not saving. They now save reliably.
Rejecting a team invitation works.
Rejecting an invitation could fail with an error. The reject button now behaves correctly.
Restoring archived projects works with payment plans.
Restoring an archived project failed with "oops something went wrong" when its invoice had a payment plan with paid divide-equally installments. Restore away.
Fully discounted invoices show as Paid.
When a 100% discount brings an invoice total to $0, the invoice and all its payment plan installments now correctly show as Paid instead of staying unpaid.
Longer form title character limit.
Long template titles were getting locked and becoming uneditable in the form builder. We raised the limit to 200 characters, so you can name your templates whatever makes the most sense for your business.
Scheduler invite links use the correct project-specific scheduler.
Scheduling links sent from a project were incorrectly using the public scheduler link. They now use the project-specific link, so clients land in the right place.
QuickBooks tax codes apply in the redesigned invoice builder.
Tax codes from your QuickBooks integration were missing from the invoice builder after the redesign. They now apply correctly.
Task workflow actions show the correct status label.
Workflow actions that create a task showed "Sending on..." while the task was pending. They now correctly display "Awaiting completion".
Delayed emails in threads send without errors.
Scheduled and delayed emails that were replies in a thread were failing to send because of an unhandled format in the recipient field. Fixed.
Email stats no longer time out for large inboxes.
The unread count query was timing out for accounts with big inboxes. We split it into two optimized queries to resolve it.
Team members added in 2.0 can see their data in 3.0.
When a team member is added to a brand through the legacy app, their pages now load normally on the next request instead of showing up empty. No logout or re-login needed.
Package quantity box shows in the form editor.
The quantity input on a proposal package is now visible on the editor canvas, not just in preview.
Invoice CSV export respects the date filter.
Exporting invoices while filtered by created date now downloads only the invoices in that range instead of all of them.
Custom scheduler durations work as expected.
You can now type custom durations like 150 minutes without them snapping back to a preset, and durations can use decimal hours such as 2.5.
Firefox link placement fix.
In Firefox, adding a link in the email editor was making it jump to the bottom of your message. We fixed it, so your links stay right where you type them.
Scheduler invite link no longer breaks.
The default Send Scheduler email now renders a working scheduler link instead of showing the raw smart-field text.

The Dubsado Notetaker is here
Dubsado introduces Notetaker in Dubsado Labs, a new AI meeting assistant that joins video calls, records them, and delivers transcripts with speaker labels, recordings, and clean summaries inside Notes. It also supports auto-join, custom summary settings, and on-the-spot recording.

You know how a discovery call goes.
You're trying to be fully present, really listening, building that first bit of trust... while also writing down the date, the budget, and the three things they said they absolutely need. Then the call ends and you're piecing it back together from a messy half page of notes.
Notetaker changes that. It joins your video calls, records them, and hands you back the recording, a full transcript with speaker labels, and a clean summary, all inside Dubsado. Who said what, what matters, and what to do next.
This feature is part of the new Dubsado Labs
Dubsado labs is our space for trying new, experimental features and getting them into your hands early, instead of waiting until everything is polished. Notetaker is the first feature we've released widely in labs. It's genuinely useful today, and it's going to keep getting better as you tell us what you need. Right now, while it's in labs, Notetaker is available on all plans. You're in on the ground floor.
Getting started
First, head to Settings to turn Notetaker on. From there you can have it auto-join meetings booked through your scheduler, and adjust how your summaries are written.
There are two ways to record.
- Set it and forget it: with auto-join on, Notetaker joins every call booked through your scheduler.
- Or record on the spot: use the Start Notetaker button in Notes, or Quick actions on your dashboard, to paste any meeting link from Zoom, Google Meet, Teams, and more, and Notetaker hops in. Great for the calls that weren't booked through a scheduler. You can link an on-the-spot recording to a project or client right away.
While you're in Settings, you can shape your summaries too. Set the tone, choose the perspective, add a little business context, or give custom instructions so every recap reads the way you'd write it.
Once a call wraps, everything lives in Notes, your home base. Find it in the main navigation or inside the Notes section of any project. Play the recording back, read the transcript, view the summary, leave feedback, and assign it to a project or client if it isn't already.
One more thing: you can always deny Notetaker at the start of a call if you don't want it on that particular meeting. Once denied, it leaves right away.
What's not in this first version yet
Since it is in Dubsado Labs, there's still a lot being built out...
- In-person meetings are not supported yet. For now, Notetaker joins video calls, so it won't capture a conversation happening across your kitchen table.
- It won't jump onto everything sitting on your calendar... yet! It joins calls booked through the Dubsado scheduler with auto-record on, or any link you paste.
- Sharing with clients is hands-on for now. You can copy, download, and share the summary and recording yourself, you just can't auto-send them to a client yet.
What we're thinking about next
This is a version one, and here's where we're looking to take it...
- One-tap action items. Notetaker already suggests next steps from your call. Soon you'll be able to turn them into real tasks, invoices, forms, and workflows with a click.
- Auto-send to clients. Drop the summary, transcript, or recording into a post-call email automatically.
- Ask Dubsado. Ask a question about any call and get the answer pulled straight from the transcript.
- Jump to the moment. Click a line in the transcript to jump to that exact spot in the video.
- Save it anywhere. Send recordings to Google Drive or Dropbox, or share a link you can embed in emails and forms.

Dubsado adds a public checkout page in Dubsado Labs for quick, shareable payments without an invoice or project. Clients can pay via branded checkout, and transactions, client records, and receipts flow back into Dubsado automatically.
Sometimes you just need to collect a payment. A deposit to hold a date. A retainer from a client who already knows the number. A quick add-on someone asked for mid-project. Building a full invoice for those moments is more than the moment needs.
The public checkout page gives you a faster path. It's a single link you can share anywhere, and when someone pays, the transaction and their client record land in Dubsado automatically. No portal, no project, no invoice required to get started.
🚨 IMPORTANT NOTE: This is the first feature in Dubsado Labs, which means it's early and it's going to grow. As part of Labs, this is only available to a select group of users and will open up as it evolves. Here's how to use what's live today (if you have it), and where it's headed.
How to turn it on
- Go to Invoices
- Click Payments page.
- Flip the toggle on.
That's it. Your page is live. From there you have three options:
- Send opens a pre-composed email with a branded button, ready to go to a client.
- Copy link grabs the URL so you can paste it anywhere.
- Preview shows you exactly what your client will see.
Custom domains aren't supported yet for public checkout, but will be in the future.
One thing to have ready:
you'll need at least one payment processor connected before you can turn your page on. You can connect one in Settings → Payments.
What your client sees
Your client lands on a page with your logo and brand colors. They see a space to enter an amount, a description field.
After pressing continue they are directed to pay using the payment methods you already have connected (card, ACH, or PayPal. Surcharging, when turned on in your account's settings, also applies to public checkout pages.)
When payment is completed they land on a branded confirmation screen.
Your clients are also emailed a receipt.
If they need to send another payment, they can start a new one right from that screen.
Where your payments show up
Every payment lands in Invoices → Transactions, so your bookkeeping stays in one place. A client record is created automatically, or the payment links to an existing client if that email is already in your account. Your client gets a receipt by email. And if you sync with QuickBooks or Xero, the transaction flows through like any other Dubsado transaction. No manual entry on your end.
The one thing to know
Right now, your client enters the amount on the page. So the smoothest way to use it is to tell them what to send. "Your deposit is $300, you can pay it here." "The balance is $1,200." "Add a $50 rush fee at this link." You set the expectation, they enter the number, you both move on.
That also makes it a natural fit anywhere the amount varies on its own, like tips or pay-what-you-feel offerings.
Ways to use it
Collect a deposit to lock in a booking.
Someone wants to hold a date or reserve a spot. Send the link, tell them the deposit amount, and you've secured the booking without building anything.
Take a retainer from a repeat client.
Your regulars already know what they owe. Drop them the link each cycle instead of rebuilding an invoice every time.
Charge for a quick add-on.
A client asks for an extra hour, a few more prints, a small upgrade mid-project. Send a link for the add-on amount instead of reopening the whole invoice.
Add a rush or expedite fee.
When something needs to move fast, collect the rush fee fast too.
Accept tips and gratuity.
The open amount means your client decides what feels right, and it all flows into Dubsado. Works perfect for when the invoice is already paid and your client wants to send a little something more.
Sell in person.
At a market, a pop-up, an event, or a workshop, share your link or pull it up on your phone so people can pay on the spot.
Run a pay-what-you-feel or sliding scale offer.
Community classes, donation-based sessions, sliding scale services. The flexible amount fits these naturally.
Replace your outside payment link.
If you've been pasting a separate Stripe or Square link when an invoice felt like too much, this brings those payments back into Dubsado, with your branding and your bookkeeping in one place.
Put it in your bio.
Drop the link in your Instagram bio or link-in-bio for quick session bookings or one-off purchases.
Where this is going
This is V1, and it's intentionally simple. We're starting here so we can learn how you actually use it, then build the next layers around what you tell us. Here's what we're working toward.
Set the amount and description yourself. Soon you'll be able to share a link that already has the amount and description filled in, so your client just enters their info and pays. Same service, same price, every time, one link you reuse.
Pay right inside a form. We're building a way to add a payment step directly into your questionnaires, proposals, and lead capture forms, so a client can fill out the form and pay in one flow instead of jumping to a separate page.
Connect it to your workflows. This is the big one. We want checkout to trigger what happens next: send a file, kick off a workflow, deliver content the moment someone pays. Imagine selling a digital product, a template, or a quick service and having it delivered automatically, no full invoice required.
We're building toward a real checkout experience for the way small business owners actually sell, and the version you have today is the first step.

Dubsado adds Easy form creation in Dubsado 3.0, letting users generate working forms from a prompt, a PDF, or chat edits. The feature drafts form structure, maps smart fields automatically, and speeds up building questionnaires, proposals, contracts, and more.
Building a new form in Dubsado used to start with a blank canvas. Now it can start with a sentence, a PDF, or a conversation. You bring the idea. Dubsado drafts the bones. You bring the design.
What it does
Easy form creation lets you generate a working Dubsado form in three ways. Type a description of what you need. Drop in a PDF you already use. Edit the result by chatting with the builder.
The form you get back has the structure laid out, the sections in place, and the fields mapped to your client and project data. You step in to handle the polish, the brand, and the final touches.
NOTE: This feature is only available on Dubsado 3.0
Three ways to use it
Describe what you need.
Click new form. Type a sentence describing what you want. The more specific you are, the better the draft. "A timeline questionnaire for wedding photographers with venue details, hair and makeup times, and special requests" gets a stronger draft than "a photography questionnaire." Include the form type, the audience, and the key questions or sections you need.
Upload a PDF.
Drop in any PDF you already use, up to 10MB. The timeline you send wedding clients. Your podcast guest intake. The onboarding form you've been emailing as an attachment. The proposal template you built years ago. Dubsado reads the structure and converts it to a working form.
If your PDF is already filled in, check the box that says "This PDF already has data filled in." That tells Dubsado to reverse-engineer blank, reusable fields from a completed document. You end up with a template, not a copy.
Chat to edit.
Once your form generates, a chat sidebar opens on the right. Type what you want changed. "Move the venue questions above the timeline." "Add a dropdown for package size." "Make the welcome message warmer." The form updates in real time, with the affected elements highlighted as they change.
You can also describe and upload at the same time. If you have a reference PDF but want to make a few tweaks upfront, drop in the PDF and type your notes in the same prompt.
What it works on
All five form types: questionnaires, proposals, lead captures, contracts, and sub-agreements. Easy form creation handles the content scaffolding for any of them. As always, anything with legal weight should be reviewed before you hit send.
Smart fields work automatically
When Dubsado generates a form, it identifies which questions match your existing client and project data and wires them up. Client names, wedding dates, package selections, venue locations, project budgets — all the standard data points get smart fields connected for you.
No more typing handlebars syntax to remember. If a field maps incorrectly or you want to remap it, you can adjust in the form builder the same way you always have.
What you still own
Easy form creation handles the content. You handle the design.
What comes out is the structure: sections laid out, fields mapped to your project and client data, the basics in place. What you bring is everything that makes the form feel like yours. The brand colors. The voice. The visual hierarchy. The personal touches that make a client know they're working with you, not a template.
Think of it as skipping the blank canvas, not skipping the work that makes your forms feel like you.
Where to find it
Open your forms page. Click "New form" or "New form template." The single prompt box is your new starting point. From there you can describe, upload, or both.
If you'd rather start from scratch the old way, click "Start from scratch instead." The original form builder is still there, exactly where it was.
Things worth knowing
File size and format.
PDFs only, up to 10MB. If you have a Word document or Google Doc, convert to PDF first.
Specificity matters.
A vague prompt gets a vague form. The more context you give, the less editing you'll do on the back end.
Always review before sending.
Smart fields should auto-map correctly, but confirm those mappings match your specific workflow triggers. The system is fast, not psychic. A two-minute review at the end is the difference between a good draft and a sent form.
Editing by chat is faster than editing by click.
Once your form generates, resist the urge to click around the builder to make changes. Type what you want changed in the chat sidebar instead. Most users default to clicking because that's what they've always done. Try chat editing once and you won't go back.
Rate limits.
Up to 20 generations per minute. If you hit the limit, give it 60 seconds.
Privacy.
Your form content stays yours. We don't train on customer data.
Common questions
Does it replace the existing form builder?
No. The original builder is still there. Easy form creation is a faster way to start. You'll likely still spend time in the regular builder to design and refine your form.
Can I use it on forms I've already built?
Yes. Open any existing form and use the chat sidebar to make changes by description.
What if the draft is wrong?
Edit it by chat, regenerate from a more specific prompt, or click "Start from scratch." Whatever's faster.
Does it work on mobile?
The form builder is desktop-first. You can review generated forms on mobile, but generation works best on a larger screen.

A redesigned invoice builder is live
Dubsado adds a redesigned invoice builder, smoother form, calendar, scheduler, and workflow tools, plus a wave of bug fixes that improve payments, email sending, client portal access, calendar sync, and QuickBooks connectivity for a faster, cleaner experience.
Less clicking, less digging, more doing. The redesigned invoice builder brings the details you actually edit into view, so you can build and send invoices faster.

- Switching between Google Meet and Zoom used to require completely disconnecting your accounts. We smoothed out the video conferencing setup so you can easily swap providers and always generate the right meeting link for your clients.
Calendar re-sync
- Disconnecting and reconnecting your calendar just to fix an out of date event is a massive waste of time. You can now manually trigger a re-sync right from your calendar settings to bring everything back in line instantly.
Assign projects to scheduler-created invoices
- Losing track of an invoice just because it was created through the scheduler can bring your workflow to a halt. You can now manually assign these orphaned invoices to a project so you can easily view, share, and download them.
Calendar reconnection button
- Fixing a calendar sync error used to mean disconnecting your account and losing all your settings. Now you can just hit the new re-authorize button to get things talking again, keeping your exported events and settings exactly where you left them.
Project navigation cleanup
- Accidentally editing a master template when you meant to tweak a single client's project is a rite of passage we'd rather you skip. We hid the templates section from the sidebar while you're working inside a project so your master copies stay safe and sound.
Time tracker creation
- Having to name a time entry before you could edit the rate or estimate was slowing down your workflow. Clicking 'Log Time' now instantly creates an entry with a default title so you can jump straight into editing the details.

Project assignment for manual payments
- Manually logging a payment from the global invoices page was failing to assign that payment to the correct project. We fixed this so your transaction history stays accurate and organized.
Manual payment date persistence
- Editing the date of a manual payment on an invoice wasn't saving correctly, which messes with your bookkeeping. We fixed this so your payment records stay accurate.
Autopay next payment date
- Updating a payment plan sometimes caused autopay to skip an installment, which meant chasing down payments manually. Autopay now correctly recalculates the next payment date, so you get paid exactly when you're supposed to.
Decimal values in payment plan offsets

Custom scheduler invitation emails
- Applying a scheduler to a project was accidentally sending your brand's default invitation email instead of the custom template you set up for that scheduler. We fixed this so your clients always get the exact messaging you intended.
Scheduler reminder template selection
- Adding a reminder to a scheduler without picking an email template first was causing a frustrating save error. You'll now be prompted to select a template so your scheduler changes save successfully every time.

Scheduler invoice description display - Invoice item descriptions in scheduler templates were disappearing if you navigated away and came back. Your saved descriptions now stay visible exactly as you wrote them.
Conferencing account visibility for team members - Team members were seeing their own video conferencing accounts in settings instead of the brand owner's connected account. Your team will now book meetings under the right brand.
Checkout link routing - Some checkout links were routing to the wrong domain. Links now route exactly where they should, so clients can complete payments without confusion.
Messages compose button on mobile - The compose button and navigation menu were missing on mobile devices, making it impossible to send a quick message from your phone. Both are restored, so you can reply to clients on the go.
Mobile layout fix for sign-in settings - Long email addresses were pushing the disconnect button off-screen on mobile. The layout now fits everything properly.
Project source dropdown limit - Accounts with more than 25 project sources were having some cut off from the dropdown menu. The cap is removed, so all your project sources are visible and ready to use.
Red button and status pill readability - Red text on a red background was nearly impossible to read on some buttons and status pills. They now correctly show white text, so you can actually see what you're clicking.

Template tags and archiving
Dubsado adds custom color-coded template tags, smart matching, and tag-based filters to keep template lists organized. It also lets users archive unused templates so active lists stay focused while old ones remain easy to restore.
If your template list has turned into a scroll-fest, this one’s for you.
Tag any template, your way
You can now create custom, color-coded tags and apply them to any template in Dubsado: packages, forms, workflows, flows, schedulers, and scheduler groups. Tag them however your brain works. By service type, client tier, season, project phase, whatever makes sense for your business.
A web designer might tag templates "Brand design" and "Website." A coach might use "VIP," "Group program," and "1:1." A photographer might tag "Wedding," "Engagement," and "Portrait." The tags are yours to create and yours to name.
How to add tags:
- Go to any template list (packages, forms, workflows, flows, or schedulers)
- Click "Add tags" on the template card (or the tag icon if tags already exist)
- Select existing tags from the list, or type a new tag name and click "Create"
- Click outside to close. Changes save automatically
Smart matching does the thinking for you
This is the part you're going to love. When you're inside a project and go to add a template, Dubsado checks your project's tags against your template tags and surfaces the best matches at the top of the list.
So if you're in a project tagged "Wedding" and you click to add a form, your wedding forms appear first. You'll see a colored dot next to matched templates, and hovering over it shows a tooltip like "2 tags match project" so you know exactly why it's there.
A quick note: smart matching only works when you're adding a template from inside a project. Make sure both your project and your templates have tags applied for this to work its magic.
Filter your template lists by tag
This is an example of filtering by tags in forms.
Tags work as filters too. On any template list, click "Filter," choose one or more tags, and your list narrows down to just what you need. You can stack filters together (filter by tag and archived status at the same time) and clear them with one click when you're done.
Archive what you're not using
Got templates you're not using right now but can't bring yourself to delete? Same. You can finally archive them. They're hidden from your active list but always one click away if you need them again.
To archive a template:
- Click the three-dot menu on any template card
- Click "Archive"
- The template disappears from your active list
To unarchive:
- On any template list page, click "Filter"
- Toggle on "Archived"
- Find the template you want back
- Use the three-dot menu to unarchive
Nothing is ever truly gone. Your active list stays focused on what you're actually using day-to-day, and your old templates are safe in the background.

Dubsado releases bug fixes and workflow improvements across the platform, including easier email resending, clearer workflow errors, stronger calendar and sync reliability, improved invoicing and payment plan handling, and cleaner UI updates.
Hi friends! We've been busy squashing bugs and smoothing out rough edges across Dubsado. Below is everything we shipped recently, from being able to resend emails easily in 3.0 again to a long list of fixes you've been asking for. Thanks for sending in the reports that helped us catch these.
Improvements
Visual updates for skipped workflow actions
- Scanning through workflows used to mean guessing which steps actually ran. Skipped actions now show a distinct orange badge and skip icon, so you can see exactly where a project stands at a glance.
Database stability improvements
- We updated how our database handles transactions so your account runs smoother and more reliably behind the scenes.
UI component improvements
- Extra-long email template names were stretching out the screen. Long names now truncate neatly, keeping your workspace clean and organized.
Transaction export column updates
- Your transaction CSV exports now include separate columns for payment type and method, matching your transaction table exactly. Bookkeeping just got easier.
DKIM settings for SMTP
- Emails landing in your client's spam folder brings business to a halt. If you use SMTP or have no email connection, you can now manage your DKIM settings directly in your email settings to keep your messages in the inbox.
Descriptive workflow error messages
- Staring at a generic "action failed" message doesn't help you fix a broken workflow. When a workflow hits a snag, we'll now tell you the exact reason why so you can fix the issue and move on.
Discounts for schedulers
- You can once again enable discount codes directly on scheduler templates, letting clients apply their own promos during the booking process instead of you manually adjusting invoices after the fact.
Re-send email button
- You can now click the new re-send icon on any previously sent email to instantly open a pre-filled composer and send it again, no copy and paste required.
Bug Fixes
Smart field character encoding fix
- Smart fields with special characters like ampersands were occasionally showing up as messy HTML code in client emails. We fixed this formatting issue so your brand name and details always look polished.
Fix for forms not appearing in client portal
- Uploaded forms and PDFs were sometimes failing to appear in the client portal after you applied them. We resolved this so your clients can reliably access all the documents you share with them.
Mobile bottom navigation visibility
- The bottom navigation bar was getting cut off or hidden when using mobile browsers like Chrome and Safari. We adjusted the spacing so you can easily navigate your account from your phone again.
Time tracker unpause fix
- Unpausing the time tracker after a break was incorrectly adding your paused time to the total duration. We fixed this calculation so your tracked hours stay accurate.
Search bar click interaction fix
- A collapsed search bar was blocking clicks on nearby buttons. We fixed the layout so you can click sorting options and other actions without interference.
General reliability improvements
- Validation errors in calendar views and inconsistent naming for duplicate discounts were causing unnecessary friction. We smoothed out these bugs to keep your template and scheduling workflows running reliably.
Fix installment payment display in Flows
- Installment options in Flows were displaying as "undefined" when using specific payment triggers. We fixed the labeling so your payment plan details show up exactly as they should.
Fix for appointment scheduler reminders not sending
- Missing appointment reminders lead to frustrating client no-shows. We fixed a bug that was preventing reminders from sending on certain schedulers, so your clients always know exactly when to show up.
Tax and discount precision fix
- Tax and discount percentages were showing up with way too many decimal places on invoices. We fixed the rounding so your numbers look clean and professional again.
Corrected status for zero-balance invoices
- Invoices with a $0.00 total were incorrectly marking themselves as paid before any action was taken. They now stay in the unpaid status so your records stay accurate.
Increased time tracker limit
- Time trackers left running for more than 168 hours were getting stuck and couldn't be paused. You can now edit and pause those marathon tracking sessions without running into errors.
Extended date range for project events
- Appointments scheduled more than six months out were hiding from the project events tab. You can now see events up to 24 months in advance to easily manage your long-term bookings.
Prevent duplicate invoice creation
- Clicking the "New invoice" button a few times while the page loaded was accidentally creating duplicate invoices. The button now disables after the first click so you only create exactly what you need.
Payment plan due date saving
- Switching between fixed and relative dates on payment plans was causing custom due dates to not save properly. Your date changes will now stick exactly as you set them.
Form saving and duplication fix
- Leaving a URL field empty was causing form saving and duplication to fail. You can now save your progress and duplicate forms even if you don't have all your links ready yet.
Workflow action button behavior
- Clicking quick actions like approve or skip on a workflow was unintentionally opening the full action editor. You can now manage your workflow steps without the sidebar popping open every time.
Calendar event availability toggle fix
- The "Show as busy" toggle on project events wasn't saving properly from the calendar view. We fixed this so your availability stays accurate and double-bookings stay away.
Form template saving fix
- A validation error was preventing new lead capture forms from saving. We fixed this so your new forms save on the first try.
Contract countersigning fix
- Expired security tokens were causing contract countersignatures to fail unexpectedly. We fixed this so you can successfully sign your documents as long as you are logged in.
Calendar export sync fix
- Re-enabling the export setting on an existing calendar wasn't pushing events to your external calendar like it should. Toggling event export on now immediately pushes your Dubsado events to your connected calendar.
Email template editor save button fix
- The save and cancel buttons in the email template editor were hiding when you needed them. They now appear exactly when you make a change so you never lose your work.
Project tab filtering fix
- Status filters were sticking around when you switched between project tabs. The project list now correctly resets so you can see all the right projects for your selected category.
Improved workflow error messaging
- Error messages now clearly tell you if a form is missing or deleted so you know exactly how to fix your workflow.
Project assist card crash fix
- A bug was causing the project assist card to crash when trying to load your suggestions. We fixed this so you can reliably view and act on your project reminders without interruption.
Missing font sizes in text editor
- The 16pt and 20pt font sizes were missing from the text editor. We brought them back so you have full control over the formatting in your emails and forms.
Infinite scroll reliability
- Zooming in on your browser was causing lists to stop loading new items as you scrolled. Infinite scroll now works reliably no matter how you resize your screen.
Workflow template push fixes
- Updating project workflows from a template was sometimes scrambling the action order or losing skipped steps. We fixed the sync logic so your workflows stay exactly how you organized them.
External calendar sync fix
- Looking past 90 days in your calendar was causing external events to disappear. We fixed this so your synced events show up consistently, no matter how far out you're planning.
Workflow action reordering fix
- Reordering workflow actions with the up and down arrows was causing them to snap back to their original spots. They now stay exactly where you put them, and we batched rapid clicks together so you don't get spammed with save notifications.
iCal calendar sync fix
- External events from iCal and Google Calendar weren't showing up in the new calendar view. We fixed the connection so your full schedule is visible and up to date.
Fix for missing payment plan installment dates
- A bug was causing some payment plan installments with event-based triggers to hide their due dates. We restored the missing dates so your payment plans are accurate again.
Prevent Zoom links on project calendar events
- Project calendar events were incorrectly generating Zoom links just because a Zoom account was connected. We fixed this so conferencing details only appear on actual scheduled appointments.
PayPal toggle fix
- The PayPal toggle in payment settings was unresponsive for some users in Dubsado 3.0. This is now fixed so you can easily enable or disable PayPal as a payment method.

Lock in your appointments - Prevent rescheduling
Dubsado adds a scheduler setting that prevents clients from rescheduling, removing the reschedule link from the portal and calendar invites while showing a clear no-rescheduling message on old links. The per-scheduler control still allows cancellations.
A few weeks ago, 25 of our certified specialists and ambassadors flew from to Dubsado HQ for an event we hosted. During the visit, two ambassadors told us their number one scheduling headache: clients rescheduling appointments without permission. As hair and makeup artists, a last-minute reschedule doesn't just move a time slot. It wrecks an entire day.
Our engineering team heard the request, and two hours later, the feature was built.
You set a rescheduling policy. Your clients ignore it. The reschedule link sits right there in their calendar invite, and no matter what your contract says, they can move things around on their own.
Not anymore.
There's a new toggle in your scheduler settings called "Prevent clients from rescheduling." Turn it on and the reschedule link disappears from the client portal, the calendar invite, all of it. If a client somehow lands on an old reschedule link, they'll see a message that says: "Reschedules are not allowed. Please contact [Your Brand Name] if you need to make changes."
It's enforced at every level, so there are no loopholes. No workarounds. No more awkward "per my policy" conversations.
And because this is a per-scheduler setting, you still have full control. Allow rescheduling on discovery calls. Lock it down on paid sessions. Whatever fits your business.
HOW TO SET IT UP
- Go to Schedulers in your calendar settings.
- Open the scheduler you want to update.
- Head to the advanced settings and under Limits you'll see a toggle.
- Toggle on "Prevent clients from rescheduling."
- Save your scheduler.
Clients can still cancel. This only affects rescheduling.

Project action suggestions + more bulk actions
Dubsado adds project suggestions, expanded bulk actions, and personalized bulk email sending to help teams manage clients and projects with less manual work. The update surfaces overdue tasks, speeds up mass updates, and lets users send one-to-one style emails at scale.
Consider your projects handled
This release ships three interconnected features: project suggestions, expanded bulk actions, and bulk email sending.
Together they solve one problem... the mental load of managing a lot of clients and projects without anything slipping. Each feature works on its own, but they’re most powerful used together.
Available in Dubsado 3.0 only. On a slow rollout over the next couple weeks.

Project suggestions
If you manage a lot of projects, you know the feeling: something slips through. A contract your client signed sits waiting for your countersignature. A workflow step is stuck waiting on your approval.
The only way to catch these things before now was to open each project individually or look around on other pages.
Project suggestions fixes this. Open any project and you’ll now see a suggestions card at the top of the overview... it scans your project automatically and surfaces anything that needs your attention, with a one-click action to handle it right there.
What it introduces
There are four suggestion types. Here’s exactly what triggers each one and what you can do about it:
Signature needed
When a client signs a contract or sub-agreement and your countersignature is still missing, Dubsado flags it. You’ll see the contract name, when the client signed, and a Countersign button that takes you directly to the signing flow — no hunting through the Forms tab.
What triggers it:
Client has signed. Your signature field is still empty.
What does NOT trigger it:
Locked forms, form templates, or contracts you’ve already countersigned.Overdue payments
When an invoice is past due, Dubsado surfaces it with a Remind button. Clicking it opens a pre-populated payment reminder email with your client’s name, project details, and invoice amount already filled in. Edit if you want, send when you’re ready.
What triggers it:
An invoice is past its due date based on installment status, invoice status, or the next scheduled payment date.
Note:
Even if a project has multiple overdue invoices, only one suggestion appears per project. It’s a signal, not a full invoice list.Workflows requiring approval
When a workflow step is waiting on your manual approval and the trigger date has already passed, Dubsado flags it. You can approve individual actions right from the card, or — if you’re working across multiple projects — approve everything in bulk (more on that below).
What triggers it:
Active, non-paused workflow actions that require your approval and have passed their scheduled trigger date.No activity for 6+ months
Projects that have gone completely quiet — no activity log entries, no updates — for more than six months get flagged for archiving. This one is especially useful for cleaning up a project list that’s gotten out of control. You’ll see the last activity date and an Archive button.
What triggers it:
Both the most recent activity log entry AND the project’s last-updated timestamp must be older than six months. Both conditions have to be true.
Note:
Archiving from suggestions is reversible. You can restore projects from the Archive view any time.
How to find it
- Open any project from your Projects list
- Look for the Suggestions card at the top left of the project overview
- If there’s nothing to flag, the card won’t appear — a clean project stays clean

Expanded bulk actions
Bulk actions have been in Dubsado for a while, but this release takes them significantly further. You can now select multiple items from any view — Projects, Contacts, Tasks, or Invoices — and take action on all of them at once from a redesigned action bar.
Here’s everything that’s new:
In the Projects view
- Apply a flow to multiple projects at once. Select your projects, choose Apply Flow, pick your workflow template, and Dubsado applies it to all of them. Projects that already have that flow are automatically skipped — no duplicates, no error messages.
- Close primary invoices across multiple projects. Marks primary invoices as uncollectible across all selected projects in one action.
- Assign projects to team members in bulk. Select a group of projects and assign them all to a team member at once.
- Bulk add tags and change statuses. Apply tags or update project statuses across your whole selection simultaneously.
- Bulk archive and delete. Archive or permanently delete multiple projects at once. Archive is reversible. Delete is not.
- View project suggestions in bulk. Select multiple projects, open the All Actions menu (…), and choose Suggestions. More on this in Part 1.
In the Contacts view
- Send bulk email to multiple contacts. Select contacts and send them all a personalized email at once. Each recipient gets their own individual message — not a group send. (See Part 3 for everything about how bulk email works.)
- Bulk archive and delete contacts. Clean up your contacts list without going one by one.
In the Tasks view
- Mark tasks complete or to-do in bulk. Select a group of tasks and flip their status all at once.
- Bulk assign tasks to team members. Reassign a batch of tasks to a different team member in a single action.
- Move tasks between projects in bulk. Select tasks across your list and move them all to a different project at once.
In the Invoices view
- Bulk close invoices. Mark multiple invoices as uncollectible across your invoice list.
- Bulk sync to QuickBooks or Xero. Push multiple invoices to your accounting software at once.
- Bulk sync with payments. Reconcile multiple invoices against your payment records in one action.
- Bulk delete invoices. Remove multiple invoices at once. This is permanent — use with care.
How selection works
The bulk action system has a few mechanics worth knowing:
- Click the checkbox next to any item to select it
- Hold Shift and click another item to select everything in between
- Use Select All to grab up to 50 visible items at once
- Items load as you scroll — if you need more than 50, scroll down to load the next batch, then Select All again to add them to your selection
- Once you have items selected, the action bar appears at the top of the view. Look for the … icon for additional actions including Suggestions
- Right-click any selected item for a context menu with the same options
The 50-item limit applies to how many items you can select at once from the visible list — not to how many the bulk action itself processes. For large operations, work in batches by scrolling and re-selecting.
PART 3 OF 3 — THE BIG ONE
Bulk email sending
This is the feature that changes how you communicate with clients at scale. You can now select multiple projects or contacts and send a personalized email to every single one of them — in one send.
And when we say personalized, we mean it. Each recipient gets their own individual email with your smart fields — their name, their project name, their invoice details — populated automatically. It does not look like a blast. It looks like you sent it just to them.
This matters because the best follow-ups feel personal. Bulk email sending in Dubsado gives you the scale of a mass send with the feel of a one-on-one message.
Where you can send from
- From the Projects view: Select multiple projects → choose Send Email from the action bar. Dubsado emails the primary contact on each selected project.
- From the Contacts view: Select multiple contacts → choose Send Email from the action bar. Dubsado emails each selected contact directly.
- From the Suggestions modal: When reviewing bulk suggestions across multiple projects, you can send payment reminder emails to every client with an overdue invoice — all at once.
How the composer works
When you trigger a bulk send, a dedicated email composer opens. It works like your regular Dubsado email composer, with a few things to know:
- Smart fields work exactly as they do in regular emails
- You can use an existing email template or write from scratch
- You’ll see a recipient count before you send so you know exactly how many people are getting the email
- There is no “preview per recipient” before sending — review your smart fields carefully before hitting send
What happens after you hit send
Bulk emails don’t send instantly the way a regular one-to-one email does. They process in the background so your account isn’t locked up while Dubsado works through your list. Here is what is happening in the background:
- Emails are sent at 25 per minute. Example: A send to 50 contacts takes roughly 2 minutes. A send to 100 takes about 4 minutes
- You can navigate away from the screen. The send continues in the background
- Each recipient gets a separate, individual email — not a thread with everyone CC’d or BCC’d
Requirements and limits
Bulk email has a few requirements and guardrails in place to protect your sender reputation:
Email provider
You must have Gmail (OAuth), Microsoft, or custom SMTP connected in Settings → Emails. The default Dubsado email address is not supported for bulk sends.Daily quota
400 emails per 24-hour rolling window per account. The window resets on a sliding basis... not at midnight. If you hit the limit, you’ll need to wait for the window to roll.Send rate
25 emails per minute. Large batches process in the background... you don’t need to wait on screen.Max recipients per send
100 contacts per bulk send.Accountant role
Users with the Accountant role cannot access bulk email. This is a permissions restriction.When to use bulk actions

Improvements
- Smart fields in invoice terms - You can now use smart fields in your invoice terms settings to automatically pull in client names and dates, so you're not manually typing details that are one keystroke away from a typo.
- Payment plan label in flows - We added a clear "Payment plan" label and tooltip to flow templates so you know exactly what you're configuring.
- Email read receipts - Your inbox now shows "Last opened" timestamps for sent emails, so you can see when a client has engaged with your message.
- Flow's approval details - Approval steps in flows now show the specific trigger date or message, so you know exactly when that action is scheduled to run.
- Clear formatting button in email editor - Pasting text from other apps often brings along unwanted fonts and colors. We added a "Clear formatting" button to the email toolbar so you can strip those styles instantly.

- QuickBooks tax codes for invoices and packages - Tax math is nobody's favorite hobby. If you use QuickBooks, you can now apply tax codes directly to invoices and packages, automatically syncing rates so your books stay accurate.
- Heading styles in proposal editor - We brought back heading styles (Heading 1–4) in the form builder text editor so your proposals look structured and professional.
- Auto-edit for new flow templates - Creating a new flow template now drops you straight into the editor, so you can get right to building.
- Improved client CSV imports - The importer now automatically skips hidden empty rows and gives clear error messages, so you can get your contacts into Dubsado without the guesswork.
Bug fixes
- Updated scheduler label - The "Apply to project and portal" button didn't actually share to the portal. We renamed it to "Apply to project only" so the label matches what the button does.
- Microsoft email import fix - We fixed a connection issue with Microsoft accounts so your inbox scanning starts correctly and imports every message.
- Workflow trigger type switching - Switching between fixed and relative triggers in your workflows wasn't always saving your choice. Fixed, so your timing preferences stick after a page refresh.
- Home page invoice filtering - The home page invoice widget now properly hides paid and closed invoices so you can focus on the ones that still need attention.
- Scheduler template list fix - Project-specific schedules were showing up in your main template list. We fixed the filter so only your actual templates appear where they belong.
- System email delivery improvement - Team invites and system notifications were occasionally getting caught in spam filters due to link formatting. We fixed the encoding issue so these emails land in the inbox.
- Basic user invoice visibility - Basic users without invoice permissions could previously see the "Amount paid" column on the Projects page. We've hidden this so financial details stay visible only to the right team members.
- Fix for relative form expiration dates - Forms with relative expiration dates were sometimes closing too early. We fixed the calculation logic so your clients always have the full window to complete their work.
- Transaction category filtering fix - Filtering transactions by category was accidentally hiding tax items from the results. The filter now includes everything it should.
- Calendar sync and third-party connection fixes - Updates made to events inside Dubsado weren't always pushing to your external calendar. We resolved the sync issue so your schedule matches across all your devices.
- Prevent duplicate email connections during onboarding - Connecting a new email account during onboarding could sometimes overwrite an existing connection. We added a check to prevent this, so your emails always send from the right address.
- Simplified file field display in form responses - The form response parser was showing a redundant "Untitled Field" label on file uploads. We removed the clutter so you can focus on the actual files your client sent.
- Task assignment email notifications - Completing a task was incorrectly triggering an "assigned to task" notification. Now you'll only get emailed when the assignee actually changes.
- Microsoft email connection fix - Connecting a Microsoft account wasn't always updating the brand email address in your settings. We fixed this so your profile reflects the correct email immediately.
- Client email error handling - Changing a client's email to one that already exists used to look like it worked, but didn't actually save. Now you'll get a clear error message so you know exactly why the change didn't go through.
- Form element ID stability - For the CSS wizards: form element IDs were shifting when viewed by clients, breaking your custom styling. We stabilized these IDs so your custom designs stay put.
- Flows installment triggers and selection - Workflow actions triggered by installment payments were sometimes looking at the wrong invoice. We fixed the tracking logic so automations fire based on the project's primary invoice, exactly when they should.
- Fix for saving forms - Duplicating a form was triggering a validation error that prevented saves. Fixed, so you can copy, edit, and move on.
- Table sticky headers - Table headers now stay stuck to the top as you scroll, so you always know what column you're looking at.
- Scheduler rolling window default fix - Switching to a rolling window was accidentally setting your availability to zero days. It now defaults to 14 days so clients can actually book time with you.
- Category selection for project expenses - The category field for project expenses wasn't showing up. It's back now, so you can properly organize every transaction without leaving the project view.
- Recurring invoice notes HTML fix - We fixed a bug where recurring invoice notes showed raw HTML tags instead of clean, formatted text.
- Workflow action reordering - Rearranging flow steps with the arrows wasn't always sticking. Fixed, so your flow stays in the order you set it.
- Client portal link sharing fixes - Sending a client portal link via email was occasionally pulling up a blank email. We resolved this and added the client portal to the project links menu so sharing works the first time.
- Workflow scheduler tooltip fix - The workflow editor was falsely warning that a "Send scheduler" action was missing even when it was set up correctly. We fixed the validation logic so the warning only appears when it should.
- Automatic hex color formatting - Pasting a hex code without the hashtag used to break your color settings. Now we automatically add the # for you, so your brand colors look right every time.
