What's new
- AI data sovereignty: Karbon AI processes all data exclusively within the region where your Karbon data is stored, which means no cross-region data transfers. This satisfies recent regulatory requirements in some regions.
- Expanded client summaries: Client summaries now draw from 10x more context by pulling in 100+ notes and timeline entries instead of 10, so you always have the full picture before client interactions.
DOCUMENTS
Navigate client documents with greater control
Client-level documents are now easier to browse, filter, and manage. You can view all files related to a client in one place, including files uploaded by clients, files shared with clients, and recently added files.
This gives teams better visibility into client documents and makes it faster to locate, share, and confirm file status. This feature is rolling out progressively over the coming weeks.
TRIAGE & WORK
Create work in bulk with more control
Bulk work creation now gives you more flexibility when setting up recurring work at scale. You can configure work and task creation timing, remove individual clients before finalizing a run, and assign client groups during setup. This helps firms reduce rework, avoid manual cleanup, and manage large bulk runs with more confidence.
Bulk update work status on work items
You can now easily update work statuses on work items in bulk via the Karbon app directly. Select up to 100 items in the Work List, and apply a desired new work status across all selected work items at once.
KARBON FOR CLIENTS
Strengthen your brand with custom client portal backgrounds
You can now add a custom background image to Karbon for Clients, giving your firm more control over the client portal experience and helping create a more polished, branded experience for clients.
ENGAGEMENTS
Download signed engagements as PDFs (open beta)
Signed client engagements can be downloaded as a PDF directly from Karbon. When all signatories sign your engagement, a copy is automatically sent your client. This makes it easier to keep engagement records, support compliance needs, and share a clean, client-ready version without extra manual work.
Engagements is available in open beta to all customers by request. You can take a sneak peek of its latest capabilities in the overview video.
TIME & BUDGETS
Reassign time entries while invoicing
You can now move time entries to the correct client or work item directly within a draft invoice. This removes a tedious correction process, helps billing admins fix mistakes faster, and reduces manual rework during invoicing.
BILLING & PAYMENTS
Increase confidence in Xero sync with mismatch visibility
Karbon now highlights when invoice due amounts do not match between Karbon and Xero. This helps you quickly identify discrepancies, reduce manual checks, and maintain accurate financial records.
INTEGRATIONS & API
Jump
The integration with Jump, a meeting assistant for Financial Advisors, brings AI-powered meeting summaries, notes, and follow-up tasks directly into Karbon. Client conversations are automatically captured, structured, and added to contact timelines, with tasks created and assigned based on discussion outcomes. This reduces manual admin work and ensures nothing falls through the cracks after meetings.
FinOptimal
The FinOptimal integration provides real-time visibility into automated workflows directly within Karbon work items. Teams can see when workflows ran, whether they completed successfully, and if balances reconcile all without leaving Karbon. This helps reduce status-checking, improves confidence during close, and keeps all supporting context in one place.
FuseSign
The FuseSign integration automatically syncs client contact details from Karbon into FuseSign, ensuring accurate signer information for engagement letters and other documents. With hourly updates and a single source of truth for contacts, firms can eliminate duplicate data entry, reduce errors, and streamline document signing workflows.
Filed
The Filed integration brings AI-powered document validation and preparation into your Karbon workflow. Work items and client documents can be sent directly to Filed for processing, where AI reviews, validates, and prepares outputs automatically. Once complete, results, status updates, and review notes sync back to Karbon timelines to help teams reduce manual work, speed up turnaround times, and maintain a clear audit trail.

After working closely with early access customers to refine and improve the experience, Engagements is now in open beta and available by request for all customers.

KARBON FOR CLIENTS
Share invoices and collect payments in the client portal (early access)
Clients can now view and pay Karbon Billing invoices directly in the Karbon for Clients portal. Rather than reaching out to you, clients can access their unpaid and overdue invoices whenever they need in the same place where they already see their tasks, complete requests, and sign documents. This helps you collect faster and with less friction.
You can also control which client contacts have access to invoices and payments in Karbon for Clients through a new Billing Permission setting.
This feature is currently in early access. You can sign up here to try out first.
KARBON ANALYTICS
New revenue metrics added to the Portfolio Performance dashboard
The Revenue page of the Portfolio Performance dashboard has new hour-based and realization metrics, giving firms instant context behind revenue performance.
New hour-based metrics include:
- Hour capacity
- Time off hours
- Actual hours broken down by billable, non-billable, utilization, and percentage billable
Write-on and write-off data from Karbon Billing has also been added, helping explain shifts in revenue quality. In addition, a new Capacity Recoverability metric shows revenue as a percentage of revenue capacity, highlighting how much of your potential revenue is actually being captured.
By bringing together signals for time, utilization, and revenue in one place, teams can quickly diagnose whether revenue changes are driven by capacity constraints, utilization mix, or realization leakage. This leads to more confident performance reviews and better-informed planning decisions.

Aged AR now available in the Aging dashboard
The Aging dashboard now includes a new Aged AR page, alongside the previously released Aged WIP, giving firms clear visibility into outstanding receivables at any point in time.
What's new:
- View aged accounts receivable as of any historical date
- Track how balances move across standard aging buckets (current, 1–30, 31–60, and beyond)
- Analyze AR trends over time to better assess collection risk

BILLING & PAYMENTS
Filter unbilled work and expenses by date ranges
Monthly and period-based billing just got even faster and more accurate with the new date range filter for the Unbilled section in Karbon Billing.
Apply a preset period (such as a specific month) or a custom start and end date, and only time entries, expenses, and fixed-fee work items within the set range will appear for invoicing.
When a draft invoice is created, only the selected WIP is included, while anything outside the range is automatically carried forward. This removes the need for manual cleanup and double-checking, helping you invoice accurately and confidently.
This new capability will be rolled out to customers in phases with full general release by the end of March.
TRIAGE & WORK
Filing deadlines enhancements
Filing deadlines are now available in more places across Karbon. You can apply filing deadlines when creating work in bulk, ensuring all work items inherit the same deadline in one step.
Filing deadlines can also be used in repeat work by setting the due date to ‘On filing date’ and selecting the relevant filing deadline, keeping recurring work aligned with statutory deadlines.
Additionally, filing deadlines can now be updated via automators, allowing you to automatically switch deadlines to extension dates or revert them back based on task completion or other criteria.
Bulk update due dates on work items in app
You can now easily update due dates on work items in bulk via the Karbon app directly. Select up to 100 items in the Work List, and apply a desired new due date across all selected work items at once.
ESIGNATURE & APPROVALS
Upload multiple files at once
Uploading multiple files to eSignatures and Approvals is now faster and easier. You can drag & drop up to 10 files directly into the browser or select multiple files through file picker.
INTEGRATIONS & API
StanfordTax integration enhancements
The StanfordTax integration now supports 1120S and 1065 for corporate and partnership tax workflows.
Firms can also now link and track StanfordTax organizers that weren’t sent from Karbon, making it easier to keep organizer progress visible no matter how the client received it.

More ways to customize and present your invoices
Invoice customization just got more powerful. You have more options to control how you configure, group, and display invoice details—so you can tailor each invoice to match what your clients expect to see.
What’s new
- Simplified tax configuration: Set tax rates on invoice items directly in the invoice’s Data tab.
- Flexible grouping: Group invoice items by ‘Work’, ‘Colleague’, or ‘All’. When grouping by ‘All’, every invoice line item will be combined into one editable text field that you can customize accordingly.
- Granular display controls: Show or hide zero-value line items and group headers. Edit group headings to your preferences. Choose which details appear on each line: quantity, date, person, role, unit price, or description.
- Custom expense views: Show expenses individually or roll them up into a single line.
Find client payment information faster
Two small enhancements help you find client payment details faster:
- Filter Payments report by clients: This allows you to hone in on specific clients’ payment statuses quickly in Karbon. You can find the filter via ‘Billing’ > ‘Finance’ > ‘Payments’.
- Quickly view client payment history: A new Payments section now appears under each client's ‘Billing’ tab, showing their five most recent payments at a glance. Need the full picture? Click ‘View All Payments’ to jump directly to finance reports filtered for that client.
ENGAGEMENTS
Duplicate engagements
You can now use the ‘Duplicate’ feature to create engagements for up to 50 clients at once. Set up default templates using the engagement builder, and then use ‘Duplicate’ to batch-create similar engagements for a group of clients directly in Karbon.
Revert engagements to draft
Need to revise an engagement after it's been sent or accepted? You can now revert it to draft, make your updates, and resend. When you do, clients will see that the previous version has been withdrawn so there's no confusion about which engagement is current.
Engagements builder enhancements
Placeholders, hyperlinks, images, emojis, and attachments are now available in the introduction and agreement section of the engagements builder. This adds much-needed flexibility in how you present engagements to clients.
View work items and recurring invoices associated to engagements
Activated engagements now include a Work tab showing all associated work items and a Billing tab showing paid and planned recurring invoices—so everything you need is in one place.

Send professional emails with the new rich text editor (beta)
The email experience in Karbon is getting a major upgrade.
The new rich text editor gives you full formatting control and a more modern, reliable interface—enabling you to send polished emails without leaving Karbon.
What’s new:
- Improved formatting options, including bullet and numbered lists and better font size control
- Responsive image resizing
- Ability to add tables directly in the editor
- Auto-hyperlinking for URLs and email addresses
- Works with Grammarly and other browser-based writing tools
Join the beta for your firm to be among the first to try out this new feature. Once activated, all Karbon users at your firm will have access.
ESIGNATURE & DOCUMENTS
Customize document folder names with new DMS placeholders
You can now use more placeholders to name your document folders when generating them from recurring work, giving you more flexibility to match your firm’s DMS structure. These include Start Date, Due Date, Repeat Period, Work Item Name, and Deadline Date.
Go to Repeat Work Settings > Folder Naming Rules to add placeholders like {Work Item Name} or {Due Date}.
KARBON ANALYTICS
Karbon Practice Intelligence is now Karbon Analytics
After a slate of new feature releases in 2025, practice intelligence is no longer a single feature. Analytics, insights, and new AI-powered capabilities now run across the Karbon platform—helping firms make smarter, faster decisions as work happens. The rebrand from Karbon Practice Intelligence to Karbon Analytics reflects this platform-wide approach and product philosophy.
This is a naming update only, but it reinforces Karbon's commitment to actionable intelligence at every level of your firm. And with upcoming innovations like AI Agents, Karbon will continue bringing intelligence directly into your workflows, surfacing insights and helping your team take action.

Clients can now access StanfordTax organizer requests in both the Karbon for Clients mobile app and desktop browser, enabling them to respond and collaborate with you however they prefer.

END-TO-END TAX WORKFLOW
Centralize tax filing deadlines with built-in workflow support
Managing multiple tax-deliverable deadlines (and their extension dates) just got easier. With the new filing deadlines feature, firms can set standardized due and extension dates for each deliverable once, then apply them everywhere across tasks, templates, and work item settings. This means more consistent, scalable tax workflows, and simpler tracking from a single source of truth.
To get started, go to Settings > Filing Deadlines to enter your dates, then use them in templates, work, and tasks to roll deadlines out across your firm.
Bulk update extension status for up to 100 work items
The new bulk extension action allows teams to apply extension statuses to large volumes of work at once—up to 100 items per batch. This is especially helpful during tax season when extensions are common, enabling automation triggers and reducing time spent making manual updates.
ENGAGEMENTS
Link and manage work more easily
Karbon’s engagements feature now offers easier work linking, helping firms clearly connect the right services to the right work with less manual setup. From the Engagement screen, you can now view all linked work items, connect them via the refreshed Services tab, and automatically update repeat schedules and billing details.
This update improves onboarding, reduces admin, and gives teams greater visibility into what work is included in each engagement.
What’s new:
- View all work items linked to an engagement from a new Work tab
- Link work directly from the Services tab
- Link work with matching client, work template, and repeat frequency
- Link work that already exists or work that will only be created in future
- Link work of any fee type, the engagement will update the fee settings on activation

BILLING & PAYMENTS
Clearer invoices with simplified totals
Invoices now display just one clear total, removing the redundant due amount from the top right. This change eliminates any client confusion, and the current due amount is communicated in invoice emails and when paying via magic link.
Detect and resolve invoice mismatches with QBOA
If an invoice’s total due amount doesn’t match between Karbon and QuickBooks Online Accountant (QBOA), a new sync status—Synced (Needs Review)—will flag it.
When spotted, you can easily select ’View in QuickBooks Online Accountant’ to open the invoice directly. You can then compare the invoices side-by-side and correct the difference. Once resolved, rechecking the sync from the banner or refreshing the invoice or list will update the status back to ’Synced’.
Record complete Karbon Payments and payout details in QBOA
Karbon now posts detailed journal entries to QBOA for your Karbon Payments—including surcharges, fees, taxes, and payouts—so your ledger reflects reality. This makes reconciliation easier and prevents inflated undeposited funds balances.
INTEGRATIONS & API
TaxBandits is a leading e-filing platform that simplifies IRS compliance for W-9 and 1099 forms. The enhanced TaxBandits and Karbon integration automates every step—from collecting W-9s to tracking 1099 filing status and delivering submission confirmations. Real-time IRS updates and document attachments are synced directly into your Karbon timelines and workflows, reducing manual effort and ensuring compliance at scale. - Activate the integration Go to Karbon Settings > Connected Apps to connect StanfordTax.

Mobile push notifications for client requests
Push notifications are now available in Karbon for Clients, ensuring clients never miss important requests. This feature helps clients take timely action on their tasks while reducing the need for firms to send manual follow-ups.
What’s new:
- Karbon now sends push notifications through the Karbon for Clients mobile app.
- Clients are prompted to enable notifications when logging in to Karbon for Clients.
- Clients receive real-time alerts when new client requests are assigned to them.
- Notifications can be enabled or disabled at any time within the app.

Manage Karbon for Clients access without administrative dependency
Team members with permissions to edit contact details can now also manage Karbon for Clients access directly within the Contacts and Documents sections within Karbon. This includes the ability to:
- Enable or revoke Karbon for Clients access for individual clients.
- Send or resend client invitations.
- View and update client access permissions at the contact level.
By extending this functionality beyond administrators, firms can now manage client access more efficiently and eliminate common rollout bottlenecks.

Enhancements to templates and progress reports
A new Instances tab is added to work templates, easily showing you every work item created from any template.
There is a new ‘Work Status’ filter in progress reports, allowing you to refine results based on the primary status of your work items. For example, you can filter to only see work that is in the ‘In Progress’ status or the ‘Ready to Start’ status. Or perhaps you want to exclude all work in the ‘Completed’ status.

The Aging dashboard combines WIP and AR data to provide a clear view of what’s unbilled, unpaid, and overdue, enabling you to pinpoint bottlenecks, mitigate financial risk, and enhance cash flow control.
How this helps you:
- Monitor aging WIP to identify and prioritize older time entries and expenses for billing.
- Analyze aging trends by team or client to highlight where work is stalling.
- Spot overdue invoices and group clients by Owner, Manager, or Type.

Karbon + Xero: Full integration now live
The complete Karbon-to-Xero workflow is here. You can now sync contacts, invoices, and payments from Karbon to Xero automatically, eliminating duplicate data entry and time-consuming manual reconciliations.
What’s new:
- Two-way contact sync: Import Xero contacts into Karbon and keep them in sync automatically.
- Automatic invoice sync: Invoices created and sent in Karbon automatically generate matching invoices in Xero.
- Two-way payments sync: Payments in Karbon mark the linked Xero invoice paid, and payments entered in Xero sync to Karbon.
- Clearing account flow: Karbon-collected payments debit the Xero clearing account and reconcile the invoice in Xero.
- Accurate journals: Base, fee, and surcharge split to mapped Xero GL accounts, and entries include payment and invoice IDs for audit clarity.
- Faster reconciliation: Use a simple ‘Karbon’ bank rule in Xero to clear payouts against the Karbon clearing account, and the month-end gets lighter.

Progress reports help you visualize work across each stage of the tax season or for other high-volume workflows. This feature will be rolled out in phases to all customers over the next week. Once available, you will see a new ‘Progress Reports’ tab under Work.

Bulk work creation improvements
A more flexible and intuitive bulk work creation experience makes work management more efficient.
What’s new:
- Bulk-create work for custom client segments directly from the Work tab.
- Create work for up to 2,000 contacts at once.
- Assign due dates and deadlines directly in the creation flow, with flexible options including fixed or relative dates.
- See a clear confirmation screen before submission, reducing mistakes and making it easier to review your setup.
- Quickly review what’s been generated with a filtered Work view sorted by creation date.

TIME & BUDGETS
Improve time tracking accuracy with mandatory time entry notes
The new mandatory time entry notes setting gives firms greater control and visibility over time tracking by requiring users to include notes with every time entry. This ensures that all logged hours have context, improving clarity during billing reviews and project evaluations.
What’s new:
- A new Notes Required toggle is available in Settings > Time & Budgets.
- When enabled, time entries cannot be saved without notes, regardless of where time is logged—whether from timesheets, work items, or the global add function.
- Users can start a timer freely but must enter notes when stopping and confirming it.
- Firms can enable or disable this setting at any time to suit their workflow.
Faster payroll and utilization reporting
You can now include detailed time entries in utilization exports, making it easier to calculate payroll and analyze productivity.
Previously, firms had to manually combine and clean multiple timesheet exports to prepare payroll data. Now, you can:
- Choose a date range and export utilisation data including time entries.
- Build your pivot table directly from the export.
- Adjust and import data into payroll without merging or reformatting files.
This change streamlines payroll preparation, saving significant time each cycle and reducing the risk of human error.

The Brieff and Karbon integration surfaces direct links to Brieff meeting workflows and related content, such as client check-ins, actions, agendas, notes, and attachments, inside the relevant Karbon organizations and contacts.

Delegated Triage
After a successful beta, Delegated Triage is now available to all firms. This feature allows you to grant team members access to your Triage inbox, ensuring critical communication doesn’t get missed when you’re on leave or supported by an assistant.

- Delegate your Triage temporarily or indefinitely to one or more Karbon users
- Delegates can assign, clear, and add emails to timelines, while replying as themselves

Reconcile faster with invoices and receivables export files
You can now export all your invoices and receivables in Karbon as Excel files. This makes it quick and easy to reconcile your AR records in Karbon with your general ledger, without extensive manual data manipulation.
If you have filters applied for invoices or receivables, the export file will download only the filtered data, giving you exactly what you need.
Get granular invoice data from the Invoice API
You can now retrieve tax and revenue data from Billing with the Invoice API using $expand=Data. This allows much more granular and powerful custom reporting in your BI tool with your underlying Karbon data for revenue and performance analysis.

Karbon releases a feedback-driven platform update with smarter workflow automation, faster Triage and task management, easier billing and payments, stronger Xero and QuickBooks syncing, improved document search, more accurate capacity reporting, and expanded API and company data.
You asked and we delivered. In this special release, we made over 20 small but mighty updates across the platform—each sparked by your feedback in Karbon Community.
My Week: Smarter workflow automation and prioritization
- Move cards automatically: When work and tasks are completed or cancelled, the cards move automatically to Cleared. When work and tasks are reassigned, the cards automatically move to Later or To Plan.
- Add emails or notes to a desired week directly from Triage: Assign emails or notes to a desired week from the My Week dropdown options in Triage.
- ‘Due Today’ shortcut: Filter to only show everything that’s due today.
Triage: Faster, more intuitive email handling
- Add to a timeline in bulk: Select multiple emails and notes in Triage and add them all to a timeline at once.
- Smarter Triage list view: When you click into an email and then navigate back to the Triage list view, you will be returned to the exact place in the list where you left off.
- Find email templates faster: The email template lookup modal is now a dropdown list of all the available templates to help you quickly select what you need.
Work: Easier reassignment and visibility
- Smarter reassignment: A new global automator is available to help you automatically remove a colleague from the work team when their tasks are reassigned. You can turn this automator on by going to Settings > Workflow > Automators. Once this automator is on, it applies to all work going forward.
- Quick add for nested subtasks: Add nested tasks faster with a new option in the overflow menu, or by pressing Tab on your keyboard. Additional keyboard shortcuts for managing tasks faster include: Backspace or Delete key to convert a subtask back to a parent task, save subtasks and create new ones with Enter; and use the Escape or Cancel key to exit editing a task or subtask.
- Edit repeat schedules with fewer clicks: Clicking ‘Edit’ on a repeat schedule now takes you directly to the section you need—no more digging around.
- Improved pagination for Work and Contacts: Page through your work and contact lists with greater speed and predictability, making navigation smoother across your views.
Billing & Payments: More control over the basics
- Filter invoices by invoice date: Quickly locate specific invoices with the new Invoice Date filter. Just select a date to narrow down your view and find what you need faster.
- Payment due on receipt for ad hoc invoices: You can now set ad hoc invoices to be due on receipt to speed up your payment collection. Setting up is easy: Go to Settings > Billing > Billing Templates > Ad hoc Invoice Template > Payment Due: Net 0 (On Receipt).
- Undo invoice export: Move accidentally exported invoices back to approved, so that you can send them to your clients for payment collection.
- Retry failed direct debit payments: You can now use ‘Collect Payment’ to retry collection after a previous payment was declined.
Xero and QuickBooks Online Account (QBOA) integrations: Stronger syncing and searching
- Add ‘Xero/QBOA Contact Status’ as a filter in Segments: Use segments to find whether Karbon contacts are syncing to Xero/QBOA, allowing you to easily solve discrepancies in contact data between systems.
- Search matched/unmatched Contacts in integrations: Search across your contact list in Xero/QBOA and XPM to efficiently find contacts.
- Improved error messaging for Xero/QBOA syncs: Errors are now more understandable to help you quickly troubleshoot and fix invoice sync failures.

- Folder search across SharePoint, Dropbox, Google Drive integrations: Quickly find the right folder to connect to Karbon from your integrated DMS solution by searching for it, rather than scrolling through the full list.
- Open files in Dropbox from a Karbon connected folder: Open files directly in Dropbox from your Karbon connected folder.
- Download all files on a comment or note: One-click download all uploaded files on a comment or note to make document management more efficient.
Karbon Practice Intelligence: More accurate capacity reporting
- New % Billable’ calculation in the Time dashboard: Easily track billable time for team members against their capacity taking into account any time off.

- Show services in Accounting Details API response: The Contacts and Organizations API responses now include any services (such as bank, payroll provider, or law firm) that have been added under accounting details.
