We’ve improved the signing flow on desktop and mobile to make it faster and easier for recipients to complete documents.

The updates include:

• Clearer action prompts that guide recipients to complete the document
• Fewer visual distractions for a cleaner, more focused interface
• Improved mobile layout and field guidance for easier navigation
• One-click signature and initial creation to boost document completion rates

We’ve also added a new option in Workspace → Workflow Settings — Automatically generate signatures for signers when filling out signature fields — giving organizations a smoother, more efficient signing experience.

SignNow streamlines how templates work within native app integrations by aligning them with your Workspace. When you upload templates through Admin Tools, they now go directly to your default Workspace Team Folder, making them instantly accessible to everyone in your organization. This eliminates the need for automatically created team folders and delivers a cleaner, more predictable experience — one shared folder where your team can always find the templates they need.

As an Integration Admin with Workspaces enabled, your first template upload through the Native App Admin Tools automatically saves to your default Workspace Team Folder. The system associates this folder with your organization, so all subsequent uploads remain centralized. No additional team folders are created in the background, and users joining from the native app for the first time are not automatically added to extra folders or Workspaces. Your team simply accesses templates through the single shared Workspace Team Folder that every user already belongs to by default.

SignNow now simplifies how you navigate the document editor in View Mode.

Tapping Done closes the editor directly, giving you a faster way to exit without additional steps.

The options menu — including email a copy, print, and close — moves to the three-dots overflow button, keeping useful actions accessible while streamlining your primary workflow.

This updated navigation applies consistently across both individual documents and document groups.

In Invite mode, the primary button now stays as Send whenever you prepare documents for others, providing a more predictable and consistent editing experience.

When you open a document or document group in View Mode, tap Done to close the editor immediately.

To access additional options like emailing a copy or printing, tap the three-dots button in the toolbar to open the actions menu.

If you work in Invite mode (Myself & Others), the primary button always displays Send, regardless of whether fields are present on the document.

When you sign documents yourself using the Myself option, the primary button remains Done.

These changes keep your toolbar consistent and predictable across all editing scenarios.

SignNow now supports the approver role within embedded signing workflows for both individual documents and document groups.

This update extends the embedded signing API, giving you full control over approval steps, enabling you to build complete review-and-approve workflows directly within your integrated applications. By including approvers alongside signers, you can streamline multi-step processes without requiring participants to leave your platform.

To add an approver, include an approvers array in your document embedded invite request with the approver's email, role, signing order, and optional parameters such as authentication type, subject, first name, last name, and message.

For document groups, set the {{approver}} role for each signer object in the {{documents}} array.

Each step supports one approver, and the approver's email must differ from any signer email within the same step.

Approvers can receive their invite through both email and link delivery types.

Once the invite is created, you can retrieve a valid approver link using the standard link endpoint.

Approvers review and approve documents without generating a signature, keeping the workflow clean and role-appropriate.

The new SignNow Chrome Extension brings your document workflows directly into your browser. Now you can detect, sign, and send documents for signature without leaving the page you're on — whether you're browsing the web, reading emails in Gmail, or working in Google Workspace. By removing the need to switch between tabs and manually upload files, the extension streamlines how you handle everyday signing tasks and helps you move through documents faster.

After installing the extension from the Chrome Web Store, log in with your SignNow account to get started. The extension automatically scans your active tab and lists all supported files it detects, including email attachments and linked documents. Click any file to choose your action: sign it yourself or invite others to sign. SignNow opens as a modal overlay on your current page by default, or you can switch to a new-tab experience in settings. You can also right-click any file link for quick access to the same actions. Use the settings panel to customize which file formats the extension detects and how SignNow opens.

SignNow expands its MCP server capabilities so you can manage the entire signing workflow directly through your AI agent. Based on early adopter feedback, this update introduces document preview before sending, support for existing documents and file uploads, invite management with cancellation and resend options, and enhanced invite parameters including expiration, reminders, and signer authentication. You no longer need to switch to the SignNow UI to handle common tasks like following up on pending signatures, recovering from a misdirected invite, or generating a quick signing link to share via Slack or email.

The updated toolset lets you upload files and convert them into reusable templates, search your existing documents by name or signing status, and preview any document before confirming recipients. When sending invites, you can now set expiration days, automatic reminder intervals, custom email subjects, and authentication requirements — all within the AI conversation. A new one-step pre-fill tool creates a document from a template and populates fields in a single call, replacing what previously required multiple steps. You can also generate one-time signing links that recipients can use without a SignNow account, cancel pending invites, and resend reminders to specific signers who haven't yet signed.

SignNow for Salesforce now supports document generation combined with e-signature in a single automated workflow. Using the new SignNow Apex actions in Salesforce Flow, you can create documents populated with live Salesforce data — including single-line values and dynamic tables — and send them for signing automatically, without leaving your Salesforce environment. This eliminates the need for separate document generation and e-signature tools and lets your team embed document generation directly into existing Salesforce automation, driving faster deal completion across your signing workflows.

To get started, your Salesforce admin prepares a DOCX template with merge tags and a Document Flow with pre-configured recipients, then adds the SignNow document generation Apex action in Flow Builder. When the Flow runs, SignNow pulls the relevant Salesforce data, generates the completed document, and creates the signing invite automatically. If anything needs attention — such as a template or configuration issue — the admin receives a clear notification describing the problem and how to resolve it.

SignNow introduces a redesigned SharePoint Online integration built on the Native Integration framework, delivering a more streamlined experience for sending, signing, and managing documents directly within your SharePoint environment.

Admins now have greater control over templates, document flows, and custom actions, while end users benefit from a more intuitive sending experience — whether working with files from SharePoint folders or SignNow templates. The updated integration also introduces proper support for self-signing, so you can sign documents without leaving SharePoint.

To get started, install the SignNow for SharePoint app and log in using your SignNow credentials, Google, or Microsoft account via OAuth.

Admins can upload and manage templates, add fillable fields, map template fields to SharePoint data, configure document storage settings, and create custom actions for sending templates or files.

End users can select one or more files from a SharePoint folder, choose a SignNow template from a SharePoint list, or send documents through custom actions — all with a complete guided sending flow. You can also track all sends directly within each record.

SignNow now delivers a significantly expanded Zapier connector, giving you more automation power over document groups, search, signing links, and document generation. Whether you manage multi-step signing workflows or generate documents from external data, these new actions let you build sophisticated, end-to-end automations without code. By embedding SignNow deeper into your Zapier workflows, you gain the flexibility to automate complex processes — from canceling group invites to deactivating signing links — making your workflows stickier, more reliable, and easier to scale as your business grows. This update introduces several new capabilities within the Zapier connector. You can now select and act on document groups directly, cancel document group invites, and choose between email or SMS delivery when sending group invites. A general search action lets you find documents across your account using multiple search modes. You can create document group templates from existing document groups, and create or deactivate signing links for document groups — all from within a Zap. Additionally, the connector now exposes SignNow's document generation API, enabling you to upload files with data, generate documents, and route them into signing workflows automatically. Each action is available as a new step when building or editing your Zaps.

SignNow introduces a document management tool on iOS, giving you a streamlined way to organize and manage your documents directly from your mobile device. This update brings a refined interface designed for clarity and ease of use, ensuring you can handle essential document tasks efficiently while on the go.

Access the document management tool from within the SignNow iOS app to view, organize, and take action on your documents. The screen presents your document information through a clean, structured layout that keeps key details and available actions easy to find, helping you stay productive from anywhere.

Spanish localization updates for iOS

Spanish-speaking users can enjoy a better experience on iOS.

What’s new:

1. Language selection prompt: Returning users who registered before April 7, 2025, and have Spanish as their device language will see a new prompt when visiting the folder screen.

Prompt options include:

• Mantener español (Keep Spanish): Continue with no changes.
• Volver al inglés (Switch to English): Quickly access system settings to change your language.
